OHSAS 18001:2007 is a global occupational health and safety management system (OHSMS) which is adopted in thousands of companies all over the world, and many more are in the process of doing so. One of the reasons for its wide adoption is because it reduces work-related accidents and ill-health and costs associated with them. OHSAS 18001:2007 applies to all types and sizes of companies. The management system is intended to enable organizations to control their occupational health and safety risks and improve their performance.

This presentation is meant to be used to brief staff, new hires and potential auditees so as to create general awareness on the OHSMS. It is intentionally kept at a high level and introduces the audience to the OHSAS 18001:2007 framework and its elements, highlights the common non-conformances, and offers practical tips on how handle an audit session. For best training impact, you may include specific examples of actual OH&S issues and applications in your workplace, as well as recent audit findings (if any) and the corrective actions that have been taken.

All rights reserved. 10 What OHSAS 18001 Is Not • OHSAS 18001 is not an ISO standard, but integrates with ISO 9001 (quality) and ISO 14001 (environment) • OHSAS 18001 does not state specific occupational health and safety (OH&S) performance criteria  It sets a baseline and implements continuous improvement

All rights reserved. 15 Key OH&S Definitions • Hazard – Anything with the potential to cause harm, injury, illness or loss • Risk – A description of the likelihood and consequence of a hazard causing injury or illness • Risk assessment – The process of determining the likelihood and consequence of injury, disease or illness or damage arising from exposure to a hazard • Risk control – Measures that eliminate or reduce the risks associated with hazards

All rights reserved. 17 OHSAS 18001 Approach Establish objectives & processes needed to deliver results (in line with the OHSMS) Check the processes against policy, objectives, targets, regulations & report results (auditing) Take actions to continually improve the OHSMS Implement the needed processes of the OHSMS

All rights reserved. 19 4.2 OH&S Policy • Top management shall define and authorize the organization’s OH&S policy and ensure that within the defined scope of its OH&S management system it: a) is appropriate to the nature and scale of the organization’s OH&S risks; b) includes a commitment to prevention of injury and ill health and continual improvement in OH&S management and OH&S performance;

All rights reserved. 20 4.4 Implementation and Operation • Resources, roles, responsibility, accountability and authority (4.4.1)  Top management needs to take ultimate responsibility for health and safety. This requirement defines relevant management, accountability, structure, roles, responsibilities, authorities and includes the appointment of an OH&S management representative.

All rights reserved. 21 4.5 Checking • Performance Measurement and Monitoring (4.5.1)  Measures data for action and describes the plan to monitor and measure OH&S performance on a regular basis. • Evaluation of Compliance (4.5.2)  Procedure(s) required for scheduled evaluations of compliance. The organization will need to keep records of these periodic evaluations.

All rights reserved. 23 Common NCs – H&S Policy • The policy is not defined by top management • The use of a corporate policy where a site policy is more appropriate • The policy is not relevant to the company’s activity or scope • Commitment to continual improvement is not clearly defined or missed out altogether • No mechanisms are in place for revision of the policy • The system records do not support the policy commitments • Communication with employees is not carried out or is inadequate

All rights reserved. 24 Common NCs – Structure and responsibility • Management representative responsibilities are not clearly defined • Failure to identify OH&S responsibilities and authorities of other personnel • Meaningful changes to job descriptions are often overlooked • Responsibilities often not communicated to relevant personnel

All rights reserved. 26 Common NCs – Management review • The frequency of management reviews is not clearly stipulated in the procedure • The agenda of the management review does not include an examination of the effectiveness of the OH&S system in delivering the policy • Information gathered to review the OH&S system is insufficient Failure to document and follow up actions agreed action of the management review

All rights reserved. 28 How to Handle the Audit Session? • Do not panic • Ask and clarify • Admit obvious non-conformities • Offer evidence and explain patiently • Take note of improvement areas highlighted by the auditor • Show internal audit report, when necessary

All rights reserved. 29 Do’s • Answer questions directly • If you don’t understand the question, ask the auditor to clarify • If you don’t know the answer, tell the auditor – I don’t know • Get the right person in to answer the question • Show documents / records • Turn mobile phones to silent mode
