We all know how Covid-19 has affected thousands of people world wide and we also know that a lot of businesses was affected too especially for those who are used to having meetings in person, submitting hard copy documents and have on-premise infrastructure that has set up in their workplace.
Today I want to focus on how we can help you in these turbulent times, to help you keep the flow of productivity and collaboration running through one of the best applications to use which is Microsoft Teams. Now Teams is a great application because it is a central hub for all your chats, emails, file repository and even use it to edit documents online and I’ll be discussing it more later on in this webinar series.
While companies are all unique and have their own identities, we are seeing common trends affecting the culture of work and employee’s expectations on what a modern work environment provides.
By 2020, Millennials will account for over 50% of workers – they seek more open collaborative workspaces, a greater sense of purpose, and a deeper connection to their company’s mission. People are asking for more touchdown spaces (instead of traditional office) where they can easily interact and work with one another. 42% of the global workforce will be mobile by 2020. And so people want the option to work remotely, anywhere, at any time. To do this, they need the tools and digital workspaces to communicate, access their data, and stay productive. 72% of workers believe creativity fuels success. Employer expectations are changing, too. We’ve seen a shift away from routine tasks to a way of operating that requires all employees to be creative and to think critically. And of course, the security risks have also changed dramatically. 74% of the businesses expect to be hacked in the next year. On the one side, there’s pressure to have open flow of information to drive productivity and teamwork. And on the other side, it’s as critical as ever to protect your estate because threats today are complex, use advanced social engineering, and target everyone in an organization.
We see demand from customers who want to embrace these workplace trends and use technology to empower employees to do their best work
The way in which organizations work has evolved. There are several trends that we’re seeing in regards to teamwork. Both work styles and the workforce are changing and becoming more diverse.
[DIVERSE AND GLOBAL] Teams are becoming more diverse. In today’s work environment, teams are often comprised of people in different buildings, time zones, or even different companies. For the first time, there are five generations in the workplace, – all with different background and expectations about collaboration tools. For example, some are comfortable chatting on a phone, others prefer e-mail, or face to face.
[TEAM-BASED AND COLLABORATIVE] There is also a movement towards transparency and inclusivity in how decisions are made. Organization structures are becoming more flat which results in people being on more – often cross-organizational – teams. And those teams are dynamic. It's rare that people don’t change on a multi-month project. And when they leave, the first step is for all to go through their e-mail to find the information needed to get the new person up to speed. Being on more teams has also led to a dramatic increase in the amount of collaboration. The new way of work is team-based and collaborative. Workers report that 80 % of their time at work is spent collaborating.2 (i.e. in meetings, calls)
[GLOBAL] Teams are increasingly geo distributed. Employees are no longer in the same office, let alone time zone. Per IDC, 72.3% of employees will be working remotely by 20205, making it more challenging to have face-to-face conversations.
For many employees, this has made collaboration more challenging. It’s hard to maintain open dialogue when teammates are distributed. It’s complicated to manage the volume of information. It’s difficult to attend every meeting. All these challenges hinder teamwork and productivity.
[MAIN POINT TO LAND]For teams to be at their very best, each member must feel included, have access to information easily and be able to participate in the collaborative process. We’ve built Teams to enable that. What happens when you don’t provide tools to support these new workstyles? Users download consumer grade tools. This creates friction as users have to manage multiple logins and move between different experiences, and it creates risk for the organization as shadow IT develops.
[This is an animated slide. Please show it in presentation mode] [MAIN POINT TO LAND] Microsoft Teams is a hub for teamwork, a chat-based workspace that enables teams to be more productive by giving them a single and secure location that brings together everything a team needs: chats, meetings, calls, files, and tools. Microsoft Teams is one place for all the needs your teams have.
Microsoft Teams delivers on four core promises to create a digital workspace for high performing teams.
- Read 4 pillars
Microsoft Teams provides a shared workspace that enables teams to communicate without effort through chats - across geographies, languages and organizations. boundaries.
Today, teams are dynamic. Members, roles, priorities and goals can change, resulting in different communication needs. [MAIN POINT TO LAND] In Teams, people can choose how to communicate. They can engage in private 1:1: chats, in group chats or in team conversations that are visible to the entire team. Chats are threaded, persistent and contextual allowing your team to easily understand the context of the conversation. Team conversations are open by default allowing your team to share information in an open and transparent way. Working in the open has a transformative effect on the culture of a team and helps organizations move from personal to team productivity.
With guest access, translation and federated chat, you can chat with everyone on your team, whether they’re inside your organization or an outside partner and wether they speak your language or another one.
Teams allows you to have fun together. Successful collaboration is based on relationships. So, people can include emojis, memes and fun graphics in messages, which allows them to show their personality, and humanize messages. Most teams have a fun channel to communicate about other topics than work. For example, when somebody joins the team, or has a baby – you can get to know the people beyond work interactions creating a culture of teamwork. Changing the communication style can change the style of a team. You can worry less about formalities and focus more on the substance.
Teams is available across mobile, desktop and browser and integrated with communications and meeting room devices, providing a frictionless experience no matter which device users work from.

Let’s take a closer look at meetings….
[MAIN POINT TO LAND]Microsoft Teams offers a complete meeting solution supporting sharing, video and audio conferencing that enables you to meet from anywhere. You can use Teams for all types of meetings – spontaneous, scheduled and formal with internal and external users. This also includes large 1:many meetings.
All meetings provide a contextual experience so that you have the context and content you need right at your fingertips before, during and after a meeting including conversation history, files and meeting notes. And no worries if you miss a meeting – team members can access recordings with transcribed and translated text that is indexed so that people can search for content relevant for them. You can also translate them with a simple click.
Teams supports a range of intelligent devices and services which can understand the spoken, and even unspoken nuance of meetings even when we’re not in the room, carry those insights into our broader team experiences, and create opportunities for everyone to collaborate in more immersive ways. Teams allows you to schedule and join a meeting with others without technology getting into the way.
Later Netpluz will cover more into phone system with Teams
- Way integrate with SIP Trunk
[MAIN POINT TO LAND] Microsoft Teams also offers a reliable, cloud-based telephony solution that allows you to connect with anybody. This can enable you to save cost, reduce hardware dependencies, and leverage the power of the Microsoft Cloud.
The basis for calling (telephony) is the Microsoft Phone System which is a fully integrated, software-based PBX in Office 365. It allows you to have enterprise phone features for all Office 365 users in your organization and manage their telephony completely in the cloud. customers can then choose 2 different approaches to have dial-tone added to their Microsoft Phone System deployment:
Microsoft Calling Plans: which allows users to have a dedicated phone number for placing and receiving domestic and international calls. Currently we service 10 geographies. In this model, Microsoft is your dial plan provider. The value to you is that you have one provider for calling – less vendors means less points of failure and one vendor to resolve issues. Microsoft Direct Routing: Customers can also choose to use their local Telco provider for dial tone and connect those “trunks” via SBCs to Microsoft. Customers use a Microsoft certified Session Border Controller (currently AudioCodes, Ribbon, and Oracle are certified)
Because each customer’s telephony needs are different we support a mix and match of Microsoft Calling Plans usage and Direct Routing. Customer can even use both in the same geography. Together, they provide worldwide coverage for dial tone to Microsoft Teams users
Information often lives across various services and locations today – like mail, files, PowerBI dashboards, other services. [MAIN POINT TO LAND] Teams is a hub – both for communication and collaboration – that brings all the Office 365 services together in one single workspace. So, teams have one less place to go to resulting in more time for productivity as you do not have to toggle between apps or search for information
All your common tools, all the Office apps that people use every day - Word, Excel, PowerPoint, OneNote, SharePoint, Planner, even Power BI - are all built-in, giving people access to the files and tools they need right within Microsoft Teams. Users can share, co-author and edit Office and other files right in the app. As all files are stored on SharePoint, the latest version of the file is always accessible to any member on the team. This enables organizations to democratize knowledge and give everybody access to the information they need to get their work done. You can take notes with OneNote or access an integrated calendar from Outlook. Microsoft Teams leverages the intelligence of the Microsoft Graph. A team member can access org chart information and search for files, chats and contacts within an organization. We’ve also built integration with email, so users can forward an email into a Team’s channel for further discussion, and they will receive an email notification to assure that they don’t miss any important messages in Teams.
[MAIN POINT TO LAND] While every team is unique, one thing that is consistent is that every team will need a variety of apps and tools to get their work done. Microsoft Teams is the universal hub for teamwork that infuses them all together, allowing you to customize and extend your workspace with 3rd party apps, processes, and devices.
Teams offers an extensible platform that allows for a personalized experience in order to get work done better, more efficiently, and more transparently. You can customize the workspace itself by pinning important files, apps or dashboard at the top of each channel for easy reference.
Infusing Teams with the applications you use, every day, allows you to better leverage the apps and tools you love – giving you access to the information you need right in the context of Teams. By connecting your workplace tools into one single hub, users can simplify processes and accelerate decision-making.
For Firstline workers, Teams provides an additional set of capabilities. Schedule management will empower your firstline workers to take control of their schedules and focus more on what matters most to getting their jobs done.
Finally, Microsoft Teams provides industry leading security and compliance capabilities and rich management capabilities. [MAIN POINT TO LAND] From Day 1, the requirement has been for Teams to provide you with the same Office 365 capabilities that you’re used to and to build security, privacy and trust directly into the service. With Microsoft Teams, customers benefit from the Office 365 hyper-scale, enterprise-grade cloud. Data encryption at all times, at-rest and in-transit. Customer data at rest remains in region Ability to have local data residency for core customer data at rest, plus failover and disaster recovery (see data residency slide in the appendix for details) Human back-up via on-call support engineers standing by 24×7 Customer content is never accessible in logs or telemetry Multi-factor authentication for enhanced identity protection. Secure guest access with AAD managed guest accounts
Microsoft Teams supports key compliance standards including SOC 1, SOC 2, EU Model Clauses, HIPPA, GDPR, and more, and comes with built-in information protection including audit log search, eDiscovery and legal hold for channels, chats and files – and soon Data Loss Prevention.
The Microsoft Teams admin center provides you with a single coherent admin experience where you can manage all aspects of Microsoft Teams including users, settings, and analytics. Teams provides enterprise manageability to configure and set policies at a per-user level and manage trusted apps for employees and the organization. This also includes advanced call management controls include call routing, auto attendant, call queues, and reporting.
While security and compliance are critical, our responsibility goes beyond this. Our mission talks about empowering every person to achieve more. With that in mind, we’re focused on building an inclusive experience, including immersive reader capabilities and support for those who use screen readers, high contrast, and keyboard-only navigation, to enable the collective brainpower and potential of everyone.
We want everyone to have experience that great Teams meetings experience across all your devices, where you work, and how you work. We now have an amazing and growing list of partners that are expanding our portfolio of Teams Devices.
Microsoft works with 3P partners to create purpose-built devices across personal and shared spaces so you can access your Teams meetings and calling instantly. And only with our Certified for Microsoft Teams devices, which are tested in independent labs to meet our high bar for video and audio quality, you can be sure you are getting devices with the best Microsoft Teams integration, supported by Microsoft and our certified partners.
While some of this is still in the works, we already have AI powered capabilities in Teams today. Inline message translation allows you to translate messages in channels and chat - into almost 40 languages. With a simple click, people who speak different languages can fluidly communicate with one another ensuring that every worker in the team has a voice and facilitate global collaboration. Meeting recording and transcription powered by Stream enables all team members to easily catch up on missed meetings as you can read the transcription, search within the conversation, and playback all or part of the meeting. With the mobile companion mode, Teams picks up if you are in a meeting room or suggests that you can use your phone as a companion device, so you can for example advance slides from your phone. With background blur, participants can blur their background during a video call to ensure professional meetings on-the-go or avoid possible disturbances in the background like a dog running into the room. This allows other meeting attendees to focus on you, not what’s behind you.
