  5. 5. A “STICKY” Intranet A successful Intranet is one that keeps users coming back day after day to stay on top of everything they need to get their jobs done. The problem is, too often intranets are forgotten because: • Either employees don’t know that it exists • They have too many other LOB tools to use • They don’t know how to use it • Or they don’t have any reason to use an Intranet. If you or your intranet suffer from any of these symptoms, you are in the right session!
  6. 6. A “STICKY” Intranet IT Policy to have the default page on user’s browser be the home page of the intranet? No! It would get them there but wouldn‟t keep them there. Tip: Make your employees see value in using the Intranet (Don‟t just force a corporate policy).

An Intuitive User Interface If you want your staff to spend part of their work day within the Intranet, the user interface has to be intuitive, easy to use, and visually appealing. Tip: Don‟t clutter all the information you have on your home page. Keep it clean and simple.

An Effective Search Information is created at an ever- expanding rate and finding the right information at the right time quickly and easily is vital for your employees. Build a strong Information Architecture and tag everything! Tip: Have “best bets”, “top searches” and “did you mean?” type features to make searching easier.

Your staff will disregard the Intranet if you don't keep the information up to date. Tip: Decentralize content creation and have users write blogs/articles/news.

Tip: Have a „Governance Board‟ responsible for developing governance strategies and continue to refine them over time. IT Control User Empowerment

Tip: SharePoint OOTB analytics isn‟t going to help. Use a 3rd party software to help drive analytics. Be informed on site usage patterns  Content  Pages (Visits & Sessions)  Web Parts and apps  Documents  Searches  News and Announcements

Don’t limit personalization to just “MySites”. Tip: Not everything makes sense for everyone! Apart from providing targeted content, let users personalize/favorite links, apps and documents to make frequent use easy.

  19. 19. 10 COMPONENTS OF A SUCCESSFUL INTRANET 10. Continue Improving Don’t stop at Go-Live! Continue adding new features and keep taking feedback to improve. Tip: Have a flexible roadmap based on user feedback. Make sure you understand that go-live is not the end, it‟s just the beginning!

KEEP YOUR AUDIENCE INTERESTED Find out what they want • Separate noise from signal • Constantly ask for feedback from all users using polls and surveys Post information only on the Intranet • Use URLs instead of attachments on emails • Encourage collaboration and enable versioning and frequently audit Engage • Have a launch party/event • Also have frequent focus group meetings • Keep changing assigned roles
