  • Businesses that are participating: All Tom Thumb Stores, all Kroger stores, Lowe’s stores, Bass Pro Shop and Cabela’s.Why on two opportunities during the first two rounds? To give all 900 troops the opportunity to sell a council secured booth.Round 2 and 3 based on availbiltiy.
  • Sign in through Snap for the troop booths.Email confirmation that troops need to take for proof to the stores.Confirmations will confirmation the date/time/location.
  • Troop may also set up other cookie booth locations.Troops should include in their initial cookie order any booths during the first two weeks.Troops should request additional cookies at least one week prior to the booth sale. Troops can’t expect that cupboards will have cookies in stock. Poor planning by troops should not be a crisis for the cupboards.Troops can load their booth locations into the Council Booth Scheduler. This will give customers locations, maps and time of your booth sale.Troops will receive a confirmation email for their request. Avoid double booking of troops by asking different store personnel.

  • To request a Booth Sale date/time/location, Search by entering the desired store name,city or zip to identify matching sale locations. If you know you’d like to stay within a certain area in aneighborhood, a ZIP code can be entered for that area and the number of miles to search within.Click the Search bar and you will be presented with a Result Set. To choose the one you would like, double click on the desired location. A pop-up calendar will appear to show all available dates for that location.You must click on arrow to change the month.
  • Booth Sale Notification ProcessThe Troop Cookie Chair will be notified via email to the of the Booth Sale assignments. The email will include the date, time, location and any special notes that have been entered.Verify Booth Sales for the Troop The scheduled booth sales for the troop can be reviewed in two locations:
  • Booth LocatorPotential customers who contact the council web-site, GSUSA website or phone into council can go to their computers and enter their zip code.Cookies booths in that zip code will populate and show address and locations on a map.

  • Why Booth Etiquette?Standards for girls and parents.Businesses allow girl scouts to sell at their place of business and we need to be respectful of the place of business.Every Girl Scouts leaves a place better than they found it.Troops and girls need to look and act like Girl Scouts and show troop number at the booth sale.Problems at booth sales---Girls playing and running around the place of business or in the road.Girls and parents are aggressive to customers.Girls and parents forget the Girl Scout Promise and Law.Trash is left after the booth sale.Girls and parents not being positive when someone does purchase cookies.
  • Volunteers and parents can go to the for goal setting, activities for girls, parent information, volunteers. Information about the cookies and art gallery that girls can create signs or posters from.
  • Girls and parents can set the girls goals, track the girls progress through out the sale. Girls can increase their goal if goal is reached early during the sale.
  • Troops can chart the troops goals. Troop should set goals by packages sold, money earn that can be used for a troop activity.
  • Girls can send e-cards to family and friends throughout the sale. Girls can now create a contact list and collect orders on line.
  • Educate the parents about the sale, deadline dates, safety. Troop members can share with parents the troops goal and the individual girl goals. Emphasis on the 5 Business Skills that girls will use during the cookie sale.
  • Where can we sell cookies? Think out side of the traditional locations.
  • The cookie cases tell customers what girl scouts learn and do. Marketing tools are available at council retail shops.
  • Of the top 10 cookies sold, five are Girl Scouts Cookies that only sold a short period of time each year.If a consumer is asked to purchase cookies 9 out of 10 will purchase Girl Scout cookies.

  • Cookie Activity guides for each grade level. Girls, parents or troop leadership can print part of all of the guide. Activities are grade level appropriate.

  • SNAP is our cookie software system, cookies are transferred from service unit to troop.Troop to girls cookies will be transferred by flavor.Troops will post girl payment for cookies.Recognitions are ordered through the SNAP system at the end of sale by girl,Sales, payments, girl balances, troop balances etc are produced through SNAP.
  • New in 2012Girls names are down loaded from the GSUSA membership software.Missing a girl name, or name is in correct, troops will contact SU Cookie Chairs.SU Cookie Chairs ask for copy of membership form and then contact the product sale department to add girl names.Girls will be counted as participating in the sale when you start to transfer cookies to the girl.
  • Troop cookie chairs will have to update their name and email address into the SNAP system.As SU Cookie Chairs, you will set up the troop, give a password to the individual. Make it general and easy to remember. Such as “Cookies 2012”.

Review past information in SNAP through the “Achieves” Attend your cookie trainingAt November Meeting a Product Sales Task Group will attend to go over key changes in the cookie sale.What does a troop to remember when placing an order? Will girls and parents pick up cookies at Cookie Now! What is the troop goals and what are the girls personal goals? If a troop is having booth sales within the first two weeks they need to include this inventory in their initial order. No not commit in SNAP Review new troop guide lines for suggested amounts.
  • Suggested initial order for first time cookie sellers. Girls and parents can always get additional cookies, give small amounts, turn in money and then give out additional cookies. Do not over load parents or girls, be realistic with troop leadership each girl will sell different amounts of cookies.

Review old snap records and last years sales for the troop.What about my cupboard, how do I get additional cookies? Council will work with you Percentage of flavors sold Council will have formula’s that they will use to figure your cupboard order based on percentage of SU cookies ordered. Smaller initial orders means a percentage of additional cookies will go into the cupboard. Review previous years sale.Challenge troops under order cookies and need cookies in a couple of days. Troops need to increase order to about 50 to 60% of last year cookies up front.
  • Throughout the sale your job is to manage your SU inventory.Troop reorders, booth requests.Troops need to place additional orders with you,Troops should place orders each Sunday by 7 pm (suggesttime set up by SUCC).Service Unit Cookie Chairs will: Collect troop orders and total all requests Turn in email to your regional product sale coordinator each Sunday Turn in between 9 to 10 pm Council needs to know what is in stock and what your needs are, how many booths, etc.Communicate With your troops With your regional office Share with other Service Units
  • Final 3 weeks are critical you need cookies but not what you had previously.Rotate cookies from check out quickly. To many cookies of one flavor post on your yahoo group, council will also be watching your inventory.Troops want cookies, but your goal is the inventory bonus. How do we achieve both?Move the cookie flavors that you have.Stick to the 3 day return of cookies.Have extras of one flavor give the troops an extra case of cases to sell.Mottos:Take it or leave it---meaning this is what the cupboard has!Cookies do not sell in your cupboard!   • Cookie Now! At the Fort Worth Zoo! January 7thFor girls who want to get a jump start on the cookie sale, cookie deliveries takes 6 days for the region. This allows those girls to get cookies to have in hand. These cookies need to be sold with money turned in, exchanged for other flavors or returned by January 17th. Open 10-4Fastpass lines girls who sold 75 nut and candy items and siblings.Assortment of flavors.
  • Half price zoo tickets, no parking cost, activities inside the zoo just for Girl Scouts and their families.Tickets are good any one day in the month of January.Help support the zoo who is a major sponsor of Cookie Now!
  • Recognitions are voted on by the girls, recognitions are shown on the order card along with cookie buck for camp information and cookie bucks. These are a girl recognition not a troop recognition.
  • New this year Fort Worth will have 3 Regional Top Sellers with special recognitions. The total Council Sellers will have three top sellers, if you qualify as Top Council Seller, you will move up to this level and another person from region will be the regional top seller level.
  • Project Troop to Troop:To support the men and women in uniform.In 2011 GS-TOP has donated over 26,000 packages of cookies.Great for added on sales or for individual that do not personally what the cookies.Great way to sell to business to support our troops.
  • If you have done your before the sale planning correct, this day will go great!Delivery day is for initial orders not for additional cookies those cookies can be picked up when your Service Unit cupboard is open for business.Initial order is not returnable. Once a troop signs for those cookies they belong to the troop to sell.Remember the 3 day return of cookies checked out.Busiest days for cupboards are Thursday to Sunday evening and Monday for cookies picked up on Saturday.Great days to be closed are Tuesday and Wednesday
  • How do we write out receipts?Never check out cookies and collect money at the troop level on the same receipt.Types of Receipts:1. Checking out cookies like the initial order.2. Write out a return of cookie or exchange of cookies for Cookies Now! Cookies, or 3 day return cookies.3. Checking out cookies for 3 days or less with the cookie stamp and return date filled in.4. Payment of cookie at the troop level from the girls and parents.
  • What does a Service Unit Cookie Chair during the sale? Communicate with the troops. Who have NOT heard from? What the council procedures and why do we not deviate from them? Count and count and recount, before the product leaves your cupboards. Got a problem with a troop, contact the product sales department the sooner the better. Let them help you or give you advise. Getting additional cookies from other service units or council. Don’t forget your weekly counts, or you won’t have cookies in cupboard. Get weekly counts in by Sunday evening between 9 to 10 pm Council order is turned in for approval by 8:00 am

Troops will request a set number of locations through the Booth Scheduler in SNAP. Round 1: Fort Worth Region will be November 15 -27, each troop may select two locations. Round 2: Fort Worth Region will be December 5 -12, each Troop may select two locations. Round 3: Fort Worth Region will be January 6 to February 19th, troops may secure unlimited locations. Clean up Sales for these locations will also be available starting January 6.
    16. 16. Booth Scheduler Council Secured Cookie Booth Locations Notifications Cookie Booth process will be run through SNAP. Emails will go out from SNAP to notify Troops which booth location/date/time they have received. Troop Cookie Chair will need to print the email confirmation and have it with him/her on the day of the Cookie Booth as confirmation of their Booth date/time/location. Note: Troop Cookie Chairs must complete their Profile inSNAP, or they will not receive an email notification about their booth assignments.
    17. 17. Troop Cookie Booth Troops are encouraged to secure Cookie Booths on their own, in addition to Council Secured locations. Troops should include cookies for their booth sales for the first two weeks in their initial order. Troops should request cookies at least one week prior to their booth sale. When a troop has a troop secured date/time/location theyneed to go into SNAP through the Booth Scheduler and―Request a New Location‖. Troop Cookie Chairs will receive a confirmation email for their booth request.

    23. 23. Booth Etiquette PledgeSome Examples of what is in the Booth Etiquette Pledge We will not complain about any of the rules that a business sets and will promise to follow them. When a double booking occurs at a business, troop volunteers will demonstrative the Girl Scout Promise and Law and come up with a mutually agreed upon solution to the problem demonstrating sound business ethics to the Girl Scouts. As a troop we will be identifiable as Girl Scouts and wear a Membership Pin, uniform or other Girl Scout clothing and have neat and clean appearances. At all times we are a representative of Girl Scouts of Texas Oklahoma Plains, Inc. and will obey and live by the Girl Scout Promise and Law.

Outstanding Balances and Collections Difference between Girl/Parent and Troop Delinquency New procedures: Series of 3 letters will be sent out approximately every 30 days (Need Receipts and deposit slips for proof of payment, electronic stamped) 1st letter is ―you have an outstanding balance‖. 2nd letter repeat of previous letter giving them another 30 days. 3rd letter is from the CFAO of GS-TOP stating they are going to collection and will affect their credit history. Payment plan can be set up to cover 3 months of installments, if they miss a payment then it is sent directly to collections.
