  1. 1. I NFORMATIONM ANAGEMENTFocus on Database Management
  2. 2. I NFORMATION M ANAGEMENT Information – is a processed data; that is, it is organized, meaningful and useful.  Information can be in the form of audio, images and video example: we can post photos in the webpage Management – means organization of and control over structure, processing and delivery of information. Information Management – is the collection and management of information from one or more sources and the distribution of that information to one or more audiences.  Information Management entails organizing, retrieving, acquiring and maintaining information. It is closely related to and overlapping with the practice of data management.
  3. 3. I NFORMATION M ANAGEMENT FOCUS ON D ATABASE M ANAGEMENT Data – is a collection of unprocessed items, which can include text, numbers, images, audio and video  example: typing text in a keyboard Database –is a collection of data organized in a manner that allows access, retrieval and use Source: bpmsocialite.wordpress.com of that data. Computers process data in a database into information.  Example: a database of an school where it contains data about its students and classes
  4. 4. D ATABASE MANAGEMENT Database Management System – users create a computerized database; add, modify and delete data in the database; sort and retrieve data from the data base and create forms and reports from the data in the database. Data Integrity identifies the quality of data ex. Erroneous student address Data Integrity is important because computers and people use information to make decisions and take actions. Source: propertycasualty360.com

  7. 7. D ATA I NTEGRITY  Garbage in Garbage Out is a computing phrase that points out the accuracy of a computer’s output depends on the accuracy of the input.  If you enter incorrect data into a computer (garbage in), the computer will produce incorrect information (garbage out).Soure: delvinia.com
  8. 8. Q UALITIES OF VALUABLE INFORMATION  Accurate Information is error free.  Verifiable Information can be proven as correct or incorrect information.  Timely Information has an age suited to its use.  Organize information is arranged to suit needs and requirements of the decision maker.  Accessible information when the decision maker needs it.  Useful Information has meaning to the person who receives it.Source:don-jai.com  Cost-effective information should give more value than it costs to produce.
  9. 9. H IERARCHY OF DATA Data is organized in layers. In the computer profession, data is classified in a hierarchy. Each higher level of data consists of one or more items from the lower level. Database contains files (sometimes tables), a file contains records, a record contains fields and a field is made up of one or more characters.

  11. 11. M AINTAINING DATA File maintenance refers to the procedures that keep data current.  Adding Records  Modifying Records  Deleting Records  Validating Data
  12. 12. F ILE PROCESSING VERSUS DATABASES  Almost all application programs use the fileSource: expertilog.com processing approach, the database approach or a combination of both approaches to store and manage data.  File processing system if each department or area within an organization has its own set of files. The records in one file may not relate to the records in any other file.  Database Approach many programs and users share the data in the database.

  15. 15. D ATABASE MANAGEMENT SYSTEM  It is a software that allows us to create, access and manage a database. DBMSs are available for many sizes and types of computers.  What constitute the DBMS?  A data dictionary sometimes called a repository contains data about each file in the database and each field in those files.  File Retrieval and Maintenance  A DBMS provides several tools that allow users andSource: newjerseymls.com programs to retrieve and maintain data in the database.
  16. 16. D ATABASE MANAGEMENT SYSTEM  Data Security – A DBMS provides means to ensure that only authorized users access data at permitted times.  Back Up Recovery – Occasionally a database is damaged or destroyed because of hardware failure, a problem with the software, human error or a catastrophe such as fire or flood.Source: kivala-hr.com  A DBMSs provides a variety of techniques to restore the database to a usable form in case it is damaged or destroyed i.e back up
  17. 17. D ATABASE MANAGEMENT SYSTEM  Managing a company’s database requires a great deal of coordination. The role of coordinating the use of the database belongs to the database analyst and administrators.  Information Technology (IT) professionals follow database design guidelines and need cooperation from all database users.Source: chulacrc.org
  18. 18. I NFORMATION M ANAGEMENT IN PANGASINAN S TATE U NIVERSITY (S TUDENT I NFORMATION ) PSU Lingayen Campus is on the line of computerizing all its transactions particularly student information . Currently, the campus still employ manual process in filing and maintaining data ( e.g. grades of students management, personal records of every student etc.) which contains volume of records. A project has been initialized by students under the supervision and leadership of the Math, ICT and CS Dept. to fulfill the computerization of student information.
