The project is budgeted for $30,000 including all work and materials needed for the project.
Approach
•Develop website content categories (metal stamping, precision stamping…)
•Research the metal stamping industry
•Grade current website and look for areas of improvement
•Make entire website handicap accessible (alt image text and web safe colors)
•Build website to be search engine friendly (headers, titles, keyword density, internal linking)
NameRoleResponsibilityJake SoderbergCEO, Project ManagerPlan and execute projectEJ Ajax & SonsClientReceive progress updatesPhil BerkeyWeb DeveloperDesignDesign site, maintain siteDennis O’ConnellContent EngineerWrite website contentDustin NormanSocial MediaBuild web presenceJeremy NasonVideo and PhotosTake photos and video
Sign-off
Jake Soderberg _________________________________
EJ Ajax & Sons_________________________________
Phil Berkey _________________________________
Dennis O’Connell _________________________________
Dustin Norman _________________________________
Jeremy Nason _________________________________
Scope
Socio Website Development
Project Name: EJ Ajax & Sons Website Redesign
Prepared By: Jake Soderberg
Version: I
Document ID: II
Date: Early Start: Monday, September 14, 2009
Scope Table of Contents
Scope Statement…..………………………………………………………………………………………..……................8
Scope Statement Purpose………………………………………………………..………………………..…................8
Project Background and Objectives……………………………………………….……………..………................9
Project Description……………………………………………………………………….............................................10
Scope and Requirements……………………………………….………………………............................10
Vendor Proposal Requirements………….………………………………………...............................10
Timetable/Schedule………………………………………………………………………...........................................12
Vendor Cost Proposal………………………………………………………………………........................................12
Political or Business Environment………………………………………………………………..…....................12
Vendor Liability………………………………………………………………………....................................................13
Evaluation Criteria………………………………………………………………………..............................................13
Administrative Items……………………………………………………………………….........................................13
Scope Statement
Department/Agency:Socio Website Development
Issue Date:Early Start: Monday, September 14, 2009
Project Name:EJ Ajax & Sons Website Redesign
Project Client:EJ Ajax & Sons
Project ContactJake Soderberg
Contact Phone:612-670-4577
Contact Email:sodjakd@dunwoody.edu
Due Date for Statement of Work:Late Finish: Wednesday, December 12, 2009
Scope Statement Purpose
The scope statement is to define the project in definite terms. Exactly outline what will be in the project and what will not be included. Any additional tasks or requirements after an agreed upon scope statement will be an additional charge. Definition of scope: “The actual and literal definition of what the term project scope, in terms of project management terminology, is the actual functions, features, and characteristics that make up and delineate the entirety of a particular service, result, or project.”
Project Background and Objectives
History of the company
The company name Socio Website Development came around because the company believes in combining its core services into solutions for the client. The word “Socio” is Latin for are (to unite, combine, associate). The company focuses on four key concepts: website design, search engine optimization, internet marketing, and social media. Those four services can be tailored and customized to meet any website design or website management goals for existing or new e-businesses.
The company URL at www.websocio.com is available from GoDaddy.com for $10.69/year. The company name and URL achieve goals from a search engine optimization standpoint. The targeted keyword phrase web (found in website) is included in the domain name. If you re-arrange the website URL there is also the phrase SEO included which is another targeted keyword phrase. The URL is also short enough that it would be easy to remember. The URL www.socioweb.com is taken but the services offered are completely different. www.socioweb.com is an online directory of sociology resources.
The company Socio Website Development was started by Jake Soderberg in May 2009. He followed Dunwoody’s trend of producing entrepreneurs and he started his own website development business. Jake’s own strengths lie in internet marketing and search engine optimization so he hired a small but quality staff to strengthen the total company services offered. The company now has four other employees in addition to Jake Soderberg (the company outsources all of its accounting and legal).
History of the project
The current assigned project is a redesign of EJ Ajax & Sons website. Socio Website Development was contacted to redesign their website because EJ Ajax & Sons has lost business due to the economy. EJ Ajax & Sons hopes that a redesign of their website at http://www.ejajax.com/ will attract new clients to their metal stamping business. Socio Website Management was contacted about a possible website redesign in July of 2009 and the early state date is scheduled for Monday, September 14, 2009.
Project Description
The project entails redesigning the website at http://www.ejajax.com/. The process involves writing all new product content for the various services including metal stamping and metal forming. New pictures and video for the website will also be taken. Pictures and videos will be taken to be uploaded to the website and also posted on social media services such as YouTube, Facebook, and LinkedIn. There will also be a link building campaign to increase the number of inbound links. The increase in inbound links will help the redesigned website rankly higher for targeted keyword phrases. Target keyword phrases include metal stamping, metal forming…
Scope and Requirements
I will require an office, a computer, desk, chair, note pad and pencil/pens, all the ordinary office supplies. To write the content I will need to interview top management. To start the link building campaign I will need a company e-mail address. I will also need access to server space to store the web pages, the pictures and videos. I will also need a phone line to communicate.
Vendor Proposal Requirements
Material / WorkVendorPriceDetails
Adobe DreamweaverAdobe$399
Adobe FlashAdobe$699
Adobe IllustratorAdobe$599
Adobe PhotoshopAdobe$999
Adobe Elements (video)Adobe$79
Internet Business PromoterIBP$249Used for search engine optimization
Microsoft SQL ServerMicrosoft$24,999
Microsoft Office ProMicrosoft$499
Dell Studio XPS LaptopDell$999Laptop purchased for each employee
Extra computer batteryBest Buy$90For additional travel
Computer mouseBest Buy$44
IBM serverIBM$11,560
External hard driveBest Buy$139Used to backup work and files
Flash driveBest Buy$99
Surge protectorBest Buy$23
Office phoneBest Buy$169
Phone headsetBest Buy$31
Voice mail systemVerizon$1,000
Company e-mail accountMicrosoft$109
Blackberry TourVerizon$699Company phone and calling plan
Call and data service planVerizon$100Company phone and calling plan
ChairOffice Depot$149Chair purchased for each employee
DeskOffice Depot$679Desk purchased for each employee
PenOffice Depot$7Purchased for general office supplies
PencilOffice Depot$6Purchased for general office supplies
Desk LampOffice Depot$39
NotepadOffice Depot$5
PrinterHewlett Packard$315Purchased for general office space
FaxHewlett Packard$250Purchased for general office space
ScannerHewlett Packard$199Purchased for general office space
Copy machineHewlett Packard$699Purchased for general office space
Paper for copy machineOffice Depot$35
Ink for copy machineOffice Depot$28
Company letterheadOffice Depot$6
Internet service providerQwest$54
Ethernet cableBest Buy$37
Internet modemBest Buy$129
Registered domain nameGoDaddy.com$10Socio company website domain URL
Company carFord$15,995 Used for company travel to clients
Conference room spaceRemax---Space already leased
Office spaceRemax---Space already leased
Cubicle panelsOffice Depot$18,000 Purchased for general office space
Business cardsOffice Depot$29
Business suitMen’s Warehouse$499
Dress shirtMen’s Warehouse$59
Dress shoesMen’s Warehouse$99
Office refrigeratorSears$1,559Purchased for general office space
Office microwaveSears$169Purchased for general office space
Office water coolerSears$74Purchased for general office space
Computer screen cleanerBest Buy$19
Disinfectant wipesOffice Depot$6
Post-It notesOffice Depot$73Quantity 40 pads
Computer security softwareBest Buy$69
CameraBest Buy$299Used to take pictures for clients
CamcorderBest Buy$429Used to take video for clients
SEO Hour a Day bookBarns & Noble$13
Analytics Hour a Day bookBarns & Noble$16
Inbound Marketing bookBarns & Noble$16
Website Usability bookBarns & Noble$26
Metal Stamping bookBarns & Noble$51
Web cameraBest Buy$70Used for video conferencing
Computer carrying caseBest Buy$39
Office wall clockOffice Depot$37
Mouse padBest Buy$16
Coffee makerSears$44 Purchased for general office space
Coffee potSears$24 Purchased for general office space
Coffee mugOffice Depot$15
Conference room tableOffice Depot$358Purchased for meetings with client
Conference room chairsOffice Depot$264Purchased for meetings with client
Office paperOffice Depot$4
Tissue KleenexOffice Depot$10
CalculatorOffice Depot$34
File cabinetOffice Depot$189
FoldersOffice Depot$6
Eraser for pencilOffice Depot$2
Computer speakersBest Buy$99
Computer keyboardBest Buy$99
Security badgeADT Security-Item already owned
Company IDADT Security-Item already owned
Conference room projectorBest Buy$4,499
Voice recorderBest Buy$87
Book shelfOffice Depot$169
Plant for officeHome Depot$59
Wireless routerBest Buy$99
SwitchIBM$69
Keys to officeADT Security- Item already owned
BinderOffice Depot$4
Microsoft Project softwareMicrosoft$999
FTP serverIBM$454
FTP software FileZillaAOE Media$0Free download of software
SkypeeBay$0Free download of software
Timetable/Schedule
Start and finish dates taken from Microsoft Project table schedule
Early Start ES – Monday 9/14/2009
Early Finish EF – Wednesday 12/9/2009
Late Start LS – Monday 9/14/2009
Late Finish LF – Wednesday 12/9/2009
Vendor Cost Proposal
For a majority of the office equipment, the office space and internet service provider I plan to do an open public bid. I plan to get a lot of bids and then select the best value. I will try to negotiate situation where I buy a majority of the office supplies in bulk to receive a discount. The bidding process and selection of vendors will be an open transparent process with all information documented.
Political or Business Environment
We will be an equal opportunity employer. We will hire not based on gender, race, or sexual ethnicity. We will have a sexual harassment free workplace environment. The dress code with be business casual. Business casual includes slacks or khakis and dress shows. The exception is if an employee is not able to wear business casual for religious reasons. If you are accused of sexual harassment you will get a warning and have a sit down with management to discuss the situation. Depending on the situation you might be let go in the more severe instances.
Vendor Liability
If the office furniture is defective we will want to be able to return it within a 30 day return policy. We would want to have an internet repair policy if the internet cuts out on our business. We would also want some type of office repair policy. If the water line or piping breaks then the company that leases our office space should fix the issues.
Evaluation Criteria
In the internal evaluation I would ask what is important to be an effective team member. Since I am the project manager I would try to evaluate the team members based on their work ethic, ability to complete work on time, ability to accurately judge the amount of time a task requires, also their skill level for the specific task. As a client I would expect that the projects are completed on time and on budget. The external evaluations would reflect those expectations as client. Is the project being completed on time? Is the project being completed on budget? The processes will be evaluated to see what can be improved for the next project. The evaluations will be collected by hand or returned through the mail.
Administrative Items
We will institute a blogging and update requirement. Myself as the project manager will have access to all the blogs to check status updates. Blogs will be written on the Socio Website Development company intranet with updates about their task progress. We will also plan monthly project team meetings and progress updates with the clients.
End of Scope Statement
Sign-Off
Jake Soderberg Project Manager _____________________________
EJ Ajax & Sons Client_____________________________
Phil Berkley Senior Web Developer _____________________________
Dustin Norman Manager Social Media_____________________________
Jeremy Nason Photos and Video_____________________________
Dennis O’Donnell Content and Editor_____________________________
Adobe_____________________________
ADT Security_____________________________
AOE Media_____________________________
Barns & Noble_____________________________
Best Buy_____________________________
Dell_____________________________
eBay_____________________________
Ford_____________________________
GoDaddy.com_____________________________
Hewlett Packard_____________________________
Home Depot_____________________________
IBM_____________________________
IBP_____________________________
Men’s Warehouse_____________________________
Microsoft_____________________________
Office Depot_____________________________
Qwest_____________________________
Remax_____________________________
Sears_____________________________
Verizon_____________________________
Task List
Project Manager: Jake Soderberg
Project Name: EJ Ajax & Sons Website Redesign
Tasks Listed 1 To 70 | EJ Ajax & Sons Website Redesign
Resources For Tasks 1 To 70 | Microsoft Project
Tasks Listed 71 To 140 | EJ Ajax & Sons Website Redesign
Resources For Tasks 71 To 140 | Microsoft Project
Tasks Listed 141 To 210 | EJ Ajax & Sons Website Redesign
Resources For Tasks 141 To 210 | Microsoft Project
Tasks Listed 211 To 252 | EJ Ajax & Sons Website Redesign
Resources For Tasks 211 To 252 | Microsoft Project
Gantt Chart
Project Manager: Jake Soderberg
Project Name: EJ Ajax & Sons Website Redesign
Gantt Chart Tasks 1 To 35
-8477252962275
2228850107315
Gantt Chart Tasks 36 To 70
-828675136525
222885085725
Gantt Chart Tasks 71 To 105
-847725136526
223837672073
Gantt Chart Tasks 106 To 140
-847725107950
220980076835
Gantt Chart Tasks 141 To 175
-859790127000
2194560111125
Gantt Chart Tasks 176 To 210
-866775117475
226695012700
Gantt Chart Tasks 211 To 245
-889000107950
219075035560
Gantt Chart Tasks 246 To 252
-85725069850
590550125095
Resource Sheet
Project Manager: Jake Soderberg
Project Name: EJ Ajax & Sons Website Redesign
Resources Listed 1 To 67
Resources Listed 68 To 117
Project Summary
Project Manager: Jake Soderberg
Project Name: EJ Ajax & Sons Website Redesign
Project Summary Friday, November 27, 2009
Calendar
Project Manager: Jake Soderberg
Project Name: EJ Ajax & Sons Website Redesign
September
-732790150495
October
-755165116354
November
-728980165735
December
-73558511685
Cash Flow Report
Project Manager: Jake Soderberg
Project Name: EJ Ajax & Sons Website Redesign
Cash Flow Tasks 1 To 66 September
1905067945
lefttop
Cash Flow Tasks 1 To 66 October To January
Cash Flow Tasks 67 To 134 September
482917554610
lefttop
Cash Flow Tasks 67 To 134 October To January
1905069215
Cash Flow Tasks 135 To 200 September
484759040640
Cash Flow Tasks 135 To 200 October To January
1905088265
Cash Flow Tasks 201 To 252 September
489521535560
Cash Flow Tasks 201 To 252 October To January
1905088265
Internal Evaluation
Project Manager: Jake Soderberg
Project Name: EJ Ajax & Sons Website Redesign
Project Team Member Name: _________________________Date: _______________
Socio Website Development Internal Survey Directions
Answer the category self questions by reflecting on your own personal skills as a project team member.
