The Problem With Passwords Passwords are the most common tool for protecting our data, including documents such as PDF and Microsoft Office files Password protecting a file prevents others from opening that file However, most documents are created for someone else to see, in other words to “share” That is the problem with passwords; they are not meant for shared documents

A Shared Password is a Useless Password To share a password protected document, one must also share the password A shared password can be re- shared, stolen, or otherwise disclosed, making it pretty much useless Sharing a password with a document is like leaving your car with the keys in the door
  4. 4. I Forgot the Password… We have all forgotten or lost a password Passwords are a pain to manage, especially when they are not yours It is a hassle to enter a password every time you open a document Passwords really suck! I can’t remember the password…

No Recovery From a Compromised Password If a document and password are shared, there is no recovery from a breach • Cannot change the password for a document that is already shared and out of your possession Passwords don’t specify who can open a document • Whoever knows the password can open the document • If the password and document are posted on the Web, everyone can see the contents

Why Digital Rights Management is Better than Passwords Digital Rights Management (DRM) is designed to facilitate sharing of content while preventing unauthorized access • Passwords are not designed for sharing of content DRM solutions control who can open a document as well as other permissions such as expiry date, editing, and printing DRM can revoke access to a document after it has been distributed Well implemented DRM solutions eliminate the use of passwords for a better user experience …But aren’t DRM systems complex and expensive?
