New England Association of Personnel Services Annual Conference 2011 Newport Hyatt Regency on Goat Island– Newport, RI April 28th – April 30th, 2011 Application/Contract for Exhibit Space and/or SponsorshipWe, the undersigned company, do hereby make application to participate as an Exhibitor and/or sponsor in the Expositionindicated by this contract and do hereby agree unconditionally to the terms of this contract to participate in the aboveExposition. We request NEAPS to reserve the following exhibit space for use at their association’s annual conference at theNewport Hyatt Regency-Newport, RI starting with set-up on April 28, and exhibiting on April 28, 29, and 30th.CHECK ALL THAT APPLY:___ Platinum Sponsor ($7,500) Only one sponsor will be accepted___ Gold Sponsor ($5,000)___ Exhibit Booth Space Only ($2,000)___ Advertiser ($500)___ Event Sponsor $______Single Exhibit Booth Space: 8’ deep x 10’ wideNumber of Exhibit Booth Space(s) you would like to reserve _____Each Exhibit Booth space will include: (1) eight-foot table with drape (2) chairs.We, in order to validate this contract:1. Attach our check made payable to NEAPS/New England Association of Personnel Services for the cost of the requested exhibit spaces as indicated above. Contracts not accompanied by the appropriate payment for the desired space(s) will be delayed in processing and assignment of space.2. Agree that we will remit the total cost for the requested space by attaching our check to this Exhibitors Contract. Failure to make payment in full within 45 days prior to the event will result in forfeiture of any verbally reserved space.3. Agree to the exhibit space assigned, even if not assigned to the choice location selected.4. Specify that the products/services shown below are those that properly represent our company and are germane to this exposition’s industry. Any changes made, regarding the products/services to be exhibited, will be forwarded to NEAPS, in writing sixty (60) days prior to the conference opening.5. Agree to indemnify and hold harmless the conference sponsor, the exhibit facility and the show management from any and all liability, including attorney’s fees, due to our negligence and/or the negligence of our contractors, representatives, exhibit appointed contractors, etc. through our/their presence or actions.6. The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of Exhibitor’s activities on the Hotel premises and will indemnify, defend and hold harmless the Hotel, its agents, servants and employees from any and all such losses, damages and claims.7. We understand that this contract will not be processed unless all requested information is given.8. Authorized facsimile transmitted copies of this application/contract received at NEAPS office shall be binding legal document if executed properly by both parties.9. All vendors who use copyrighted music in their booths must have their own separate signed agreements with the appropriate music association. Neither NEAPS nor the Hotel will be liable for any music copyright violations.10. All vendors must certify that their equipment is fully covered by their own insurance for fire, theft, liability and general comprehensive.4
