  2. 2. Copyright 2013 | Saigun Technologies Pvt. Ltd. 2 The Applicant Tracking System allows you to manage recruitment in your organization. With Applicant Tracking module, you can: • Create Job Requirements and publish them for internal and / or external candidates • Add candidates to shortlist and assign Test and Interview to Candidates. • Fill the interview and test scores and make job offers The users of the module are: • HR Manager • Interviewer • Test Coordinator • Candidates Users and Functionalities of Applicant Tracking Module
  3. 3. Copyright 2013 | Saigun Technologies Pvt. Ltd. 3 To create a job requirement, you need to: 1. Log in as Terri Osborne (HR Manager). 2. Go to Manage >> Recruitment >> Applicant tracking and then click Create new request. Continued…. Create a Job Requirement
  4. 4. Copyright 2013 | Saigun Technologies Pvt. Ltd. 4 The Create new request page appears. 3. Fill the form and select External candidate option if you want to make this job available to external candidates. 4. Click Create. The Job is successfully created. Create a Job Requirement
  5. 5. Copyright 2013 | Saigun Technologies Pvt. Ltd. 5 You should publish the jobs for both internal and external candidates before candidates can apply on it. To publish the job that you have created, you need to: 1. Go to Manage >> Recruitment >> Applicant tracking. On the View open requests tab of Applicant Tracking page, click on the Actions icon for the job that you want to publish and the select Publish job option. Continued… Publish the Job

The page displays the sample text in each field and a select button to allow selection/ deselection of that field in the published page. 2. Deselect the checkboxes for the fields that are not required on the published job vacancy. You don’t need to fill details in those fields. 3. Fill the form and click Publish. The form will be published to internal candidates and also to external candidates if you had selected External candidate option while creating the job. Publish the Job

To assign test and interview to candidates, you need to: 1. Log in to the system as HR Manager. 2. Go to Manage >> Recruitment >> Applicant tracking. 3. Click on the Actions icon for the job for which you want to shortlist candidates. Select Manage candidates option from the menu that appears. The Manage candidates page appears. 4. Click Add More Candidate To Shortlist to select candidates and add to the list of shortlisted candidates. 5. Select candidates and then click Assign Interview/Test to Multiple Candidates to assign interview or /and test dates to the selected candidates.   8. 8. Copyright 2013 | Saigun Technologies Pvt. Ltd. Add Candidates to Shortlist and Assign Test and Interview to Candidates The Assign Tests and Interviews page appears. 6. Select Test option from the Assign field to assign Test to the candidate(s), select Interview option to assign Interview or select Both option to assign both test and interview to the selected candidate(s). 7. Fill the Test/ Interview details and click Submit. The form will be sent to the Test and interview coordinators that you have specified in the form to conduct test and interview and fill the respective scores. 8
  9. 9. Copyright 2013 | Saigun Technologies Pvt. Ltd. Test / Interview Candidates and Provide Feedback To conduct test or interview candidates, you need to: 1. Log in as test or interview coordinator and click on the View button of the Recruitment message that you get on the Activities List >> Received page. 2. Click View Profile link for the candidates on the Test/Interview Details page that appears to view the candidate’s resume. 3. Conduct Test/ interview offline. 4. Click Input Test Feedback link to add test scores to the system and/ or click Input Interview Feedback link to input interview feedback scores for the candidate. 9

Log in to the system as HR Manager and go to Manage >> Recruitment >> Applicant tracking. 2. Click on the Actions icon for the job that you want to offer to the candidates. Select Manage candidates option from the menu that appears. The Manage candidates page appears. 3. Click Actions button corresponding to the candidate to whom you want to offer job and select Make offer option. 4. Fill offer details on the Make offer page that appears. The job is successfully offered to the employee. Make Job Offer
