The importance of email signatures for corporate companies

  1. 1. The Importance of Email Signatures for Corporate Companies Over a billion emails must be sent and received every day, and emailing has become the most favoured means of communicating today. Whether it is business or pleasure, email is the fastest means to keep in touch with your colleagues and friends. Every email that goes out from your company can be turned into an opportunity. However, with so many emails flooding various inboxes, the chances for the all- important email you send being ignored is too great. Cost effective and convenient One can’t deny the fact that email signatures are very cost-effective and can be a great marketing tool in the hands of clever business person. As a business, you need to set yourself apart and get noticed, and email signatures are probably the best way to do so. These are a cheaper and more effective version of the traditional business or visiting card, and getting yourself an impressive looking one is very important. You need to pack in as much information about the company as possible, though you need to adhere to certain basic practices. Keep it short Keeping it short and sweet is extremely important. While the appearance should look great, it should convey everything concisely. You can’t afford to overload prospective customers, lest they lose interest and dump your email in the bin. However, any useful information needs to be included. First decide how long you want the email signature to be. Normally it should never exceed four to six lines, which is the accepted norm in corporate circles. Precise Info Make sure that the email signature features your name, contact and business information, including phone numbers, and email addresses. If you have more than one phone numbers, list them in order of importance, the same should go for email addresses as well. You may also include your business title, the website address, and fax numbers, if any. The challenge, however, lies in consolidating all this information into the four or six lines you are allowed. Include just enough information for the prospective customer to be able to get back to you.
  2. 2. Choice of font You don’t need any fancy font or color, black or blue font should do fine. No point in having jazzy colors and sticking to the most legible font does make a lot of sense. Make sure that the text is either not too large or too small to be legible. Some people prefer adding famous quotes as exit lines, however, although this is a personal choice, it is best avoided, unless it is a personal message that you are sending. You may also want to direct a few links to social media websiteslike Facebook,Twitter and LinkedIn, as this has become an accepted norm today.
