Auto Ftp Final

  1. 1. Thank you for your interest in AutoFTP. This “quick start” kit will give you a basic overview of the product, the services that are available while using it, how to set your account up to be able to use AutoFTP, requirements for using the service, and how to place orders. Please read the entire document to understand this service or click on the links below to skip to the specific information you are looking for. Table of Contents Overview of AutoFTP Services that are available using AutoFTP Setting up your Listcleanup.com account to use AutoFTP Before placing your first order using AutoFTP Creating a Control file Placing an Order Retrieving Processed Orders Secured Transfer Requirements Contact Information
  2. 2. Table of Contents I. Overview of AutoFTP 1. What is AutoFTP? i. AutoFTP is a feature of Listcleanup.com for use by our clients for the purpose of automating the order process on the client’s side. Any time the client has a recurring order that does not change in file layout, services ordered, or turnaround time, AutoFTP can be used to “bypass” the online ordering screens. 2. How does it work? i. Instead of placing your order and uploading your file using our web based ordering screens, simply FTP your data to a designated FTP inbound folder along with a control file containing the specifics of the order (file name, record count, end user, etc.). Once this is done, our system “places” the order for you. Once the processing of your order is complete, your data is posted in an outbound folder for you to download. To download the file, you simply connect to that folder and use FTP to download your completed file. 3. What are the requirements for using AutoFTP? i. You must have a current account with Listcleanup.com with AutoFTP enabled. ii. You must have a past order in your order history for the system to “clone”. iii. The ability to create and save ASCII text files on your computer. iv. PKZIP/PKUNZIP or compatible compression/decompression software installed on your computer. v. The ability to upload and download files over the Internet using FTP (File Transfer Protocol).
  3. 3. Table of Contents II. Services that are available using AutoFTP 1. Move48 (NCOALink – 48 months) 2. Move18 (NCOALink – 18 months) 3. DSF 4. FastForward 5. CASS/DPV 6. Gender Coder 7. Geocoder 8. Telephone Append
  4. 4. Table of Contents III. Setting up your Listcleanup.com account to use AutoFTP 1. In order to use AutoFTP, you must have a current Listcleanup.com account set up in our system with AutoFTP enabled. To set up an account with Listcleanup.com, point your web browser to http://www.listcleaup.com, click on the “Orders” button and select “Create new account”. Follow the online instructions until you have completed the account setup process. 2. Once you have an account set up with us, you need to have AutoFTP enabled on your account. To do this, please contact our Customer Service department at 1-800-346-0073. One of our representatives will enable your account to use AutoFTP. You will be assigned a username and password for uploading and downloading files. 3. You must be assigned a username and password to access your FTP folder for incoming and outgoing files. Once your account is enabled for AutoFTP, Customer Service can give this information to you. 4. On your first order, you must complete a walk-through/certification with a member of our technical support staff. When you are ready for to proceed with a walk-through, contact out Customer Service Dept. and ask to speak with a member of Technical Support for a first order walk-through for AutoFTP.
  5. 5. Table of Contents IV. Before placing your first order using AutoFTP. 1. You must first have an existing order in our system to “clone”. When placing an order, you will FTP your file to us along with a control file that references a past order that you want to copy the following specifics from that past order to your current one. i. Services ordered (i.e. Move48, Move18, DSF, FastForward, etc.) ii. Turnaround time iii. File format (i.e. dBase3, Delimited or Fixed Length) iv. File layout (i.e. the field/column specifications where your name and/or address data reside in your input file.) 2. IMPORTANT! The specifics listed above will be copied exactly as they were in your referenced past order to your current one! AutoFTP was designed to duplicate orders where the file format, layout, turnaround time and services are the EXACTLY the same for each order. 3. You must have a username and password for accessing your AutoFTP incoming and outgoing folders. 4. Your data must be in one of the following formats 5. DBase3 6. Text Delimited 7. ASCII Fixed length 8. Your data file MUST have a file extension. (i.e. .dbf, .txt, .asc, etc.) 9. Your file must be “zipped” using a PKZIP compatible program like WinZip. 10. You must have a Control file with the same name as your “zipped” data file. (i.e. File4Upload.zip, File4Upload.xml)
  6. 6. Table of Contents V. Creating a Control File 1. Control File Overview i. Your Control file is an ASCII text file with an .xml file extension that tells AutoFTP what to do with the data file that you are uploading. If you do not upload a Control file, our system will not know what to do with your uploaded data file, and therefore, will NOT process it. 2. Requirements for your Control file i. Must be ASCII text. ii. Must have a file extension of “.xml” iii. Must have the EXACT same name as the zipped file that you upload for processing. 3. Contents of your Control File. i. The following information will need to be provided by you in your control file: 1. Contact ID - A numeric value that references your account information. Customer Service can provide your contact ID if you do not know yours. 2. File Name - The name of your zipped file. 3. Record Count - The actual record count of your data file. 4. Services - You will reference a Job ID of a past job with the same services that you want performed to your current file. 5. Layout - You will reference a Job ID of a past job with the same layout as the file you are currently uploading. 6. End User - You will provide numeric ID for the End User of the data that you are uploading. (For Move48, Move18 & FastForward only) 7. PO Number - You may provide an internal PO number. 4. Sample of a properly formatted Control file. i. The values that must be provided by you are highlighted in RED. Click here to view a sample file. 5. Control file notes. i. Your Contact ID must match the account that owns the folder you are uploading to or the job will not run. ii. The File Name must match the actual name of your zipped file or the job will not run. iii. The record count in your control file must match the actual record count in your file or the job will not run. iv. You must provide a Job ID in the Services and Layout tags or the job will not run. v. For Move48, Move18 and FastForward orders, you must provide an End User ID or the job will not run.
  7. 7. Table of Contents VI. Placing an Order 1. Our FTP Address for incoming files. i. http://ftp.listcleanup.com 2. Use the following steps to place an order. i. Login to your AutoFTP account using your assigned username and password. ii. Change directories to the “IN” folder. iii. Upload your zipped file completely. iv. Upload your Control file completely. v. Log off. 3. Notes i. The zipped file must be uploaded first or the job will not run. ii. Both the zipped file and the Control file must be uploaded to the “IN” folder or the job will not run. iii. The zipped file can contain only one (1) data file. If more than one file is contained in your zipped file the job will not run. iv. After both of the files are uploaded, our system reads in the control file, unzips the matching data file, and places the order in the system for verification. If an error is generated, an email will be sent out the email address on file associated with the Contact ID referenced in your Control file. If you receive an Error Message, there is something wrong with the job that has been submitted and it will not run. Please contact Customer Service. Do not attempt to re-upload your files again until your error has been resolved with Customer Service. v. After your submitted job passes validation, it is assigned a 5 character Job ID that is automatically emailed to you. You will need this Job ID to identify your completed data file after it has finished processing and you are ready to download it. Only orders placed under accounts in good standing will be processed.
  8. 8. Table of Contents VII. Retrieving Processed orders. 1. FTP address - http://ftp.listcleanup.com 2. When your order is completed, an email is sent out to the email address associated with the Client ID for the processed job. Use the following steps to retrieve a completed order. i. Login to your AutoFTP account using your assigned username and password. ii. Change directories to the “OUT” folder. iii. Download the file named with the Job ID of your current job. iv. Log off 3. Notes i. All orders are kept on our servers and made available for download for seven (7) days after the order has been completed. All orders that are not retrieved after seven (7) days will be deleted from our servers. ii. Your order will not be available for download until after the file has finished all processing.
  9. 9. Table of Contents VIII. Secured transfer requirements 1. It is possible to establish a secure “tunnel” for transmitting files to and from our FTP server by using a Secure FTP client with TLS/SSL support. Most of the current FTP clients on the market do support this type of encrypted connection. See your software user’s guide to see if your FTP client application will support TLS/SSL encryption. Below are three examples of available software FTP clients that do support TLS/SSL. GlobalSCAPE CUTE FTP Professional (http://www.cuteftp.com) - Ipswitch WS_FTP Professional. (http://www.ipswitch.com) - Bulletproof FTP Client (http://www.bpftp.com/) - In order to set your FTP client to establish a secure connection using TLS/SSL encryption, please refer to your FTP client software users manual. Essentially, you will need to create a new connection to: ftp.listcleanup.com, using the username and password for your current FTP account, set the connection to use TLS/SSL Encryption, set the port that the connection will use to 21, save your settings and connect. (If you do not currently have an FTP account set up with us, contact customer service to do so.) Though each FTP client is slightly different, the basics are the same. Below is an example using GlobalSCAPE CUTE FTP Professional. Example: 1. Create a new connection using your AutoFTP username and password.
  10. 10. Table of Contents 2. Click on the “type” tab and set the connection FTPS with TLS/SSL (AUTH TLS – Explicit.). 3. Set the port that this connection will use to 21. 4. Save your settings and connect.
