Normal & Virtual meetings <ul><li>Effectiveness of normal and virtual meetings for different meeting types… </li></ul><ul><li>The two are not competitive but rather… complementary </li></ul><ul><li>People need to meet on at least two occasions </li></ul><ul><ul><li>To get introduced and to sign agreements </li></ul></ul>1 (lowest) to 5 (highest) scores
  9. 9. Normal or Virtual meetings? The choice depends on simple criteria : For short meetings it is often much more effective to have a webconference. Also remember that it’s often more effective to have two 1 hour meetings remotely than one that lasts 2 hours face-to-face. does the meeting last all day or can the meeting be combined with other (usefull) business at the same location then maybe you’d be better of meeting face-to-face. Duration of the meeting: If the participants are in many different locations and/or travel a lot it is very interesting to replace normal meetings with webconference meetings If all participants are in the same place and available at the same time it might be easier to book a meeting room (provided you have one available). Location of the participants: Information exchange, project / follow-up and recurring meetings are ideal for virtual meetings. When motivational or influencing aspects are the main factors of your meeting (management, process, sale ) then still try to meet your participants face-to-face on a regular basis. Meeting type: This underlines how normal and virtual meetings complement each other

Normal & Virtual meetings <ul><li>“ Body language” – both positive and negative - can be an influential factor in the meeting </li></ul><ul><li>The sound is interpreted according to its source. The brain is able to follow two conversations and manages this automatically. </li></ul><ul><li>By looking at the participants the presenter can check if his message is understood </li></ul><ul><li>Everyone is on an equal level without “physical” influences, reducing hierarchical influences. </li></ul><ul><li>The “protection” related to distance facilitates the proposal of ideas. </li></ul><ul><li>Because the sound is mono, the brain cannot follow two simultaneous conversations therefore more attention is required... </li></ul><ul><li>It is more difficult to interrupt. Consequently the speaking time is better distributed. </li></ul>

Normal & Virtual meetings <ul><li>Well-being: the presence of others can arouse positive or negative feelings, dependent on the character and stakes of the meeting </li></ul><ul><li>In general normal meetings are longer and often overrun. </li></ul><ul><li>Empathy: participants influence one another and don’t always say what they really think! </li></ul><ul><li>The speaker has much less possibility to check if he’s heard and understood. Therefore he will naturally start using specific techniques to regularly get feedback. </li></ul><ul><li>The setting of the meeting –although pleasant – doesn’t motivate procrastination. Participants concentrate on the essence and meetings are short and “To the point” </li></ul><ul><li>The participants feel “protected” by the distance, causing less empathy and more honest feedback. </li></ul><ul><li>The distance effectively support the use of collaborative tools. This facilitates a more systematic and flexible organization of ideas. </li></ul>

Elements that influence a virtual meeting <ul><li>Decoration of a virtual meeting room: this improves the feeling of belonging and is important to create a certain depth. </li></ul><ul><li>A virtual meeting obliges you to prepare your meeting and the presentation documents. </li></ul><ul><li>The visual dimension avoids the lack of active participation common to traditional audio conferences (non visible participants that don’t have access to visual aids tend to do other things…) </li></ul>
