  • Let’s begin by sharing recent data on BYOD globally
  • SharePoint has always been much more than a product to simply build websites or Intranets. Increasingly it is being used in conjunction with third party products, like the Colligo range of enterprise applications, to build business criticalsolutions.A recent Microsoft white paper (The ROI benefits of Business Critical SharePoint) defined a business critical system as one that:“Extends and automates important business processes across, and even beyond, organizational boundaries by exposing line of business (LOB) data, and allowing it to be used across the organization.”The paper found that by providing wider, and more efficient, access to LOB data these systems become hugely important to the organizations that use them: “Customers found that these solutions, rather than delivering savings in the marginal range (e.g., 10 to 20 percent), actually drove “transformational” savings as high as 80 to 90 percent. By employing BCSP as the path to these solutions rather than other IT approaches, companies also realized faster deployment, far less custom coding, and simplified ongoing administration and governance.”
  • Let us look at three specific examples where SharePoint becomes a Business Critical SystemCreate Systems of EngagementProjects often start out promising high levels of user adoption and interaction. Yet in reality both of these things can be extremely hard to achieve, especially in the long term. Building a system that moves on from being a ‘system of record’ (such as a typical Intranet with basic documents and static content) to a ‘system of engagement’ (where users are regularly collaborating on content and sharing insights with each other).One route to achieving a system of engagement is to bake email directly into the process. While it is easy to forget the humble messaging protocol in these days of social tools and apps, email is by far still one of the most popular ways users interact with each other.Colligo Email Manager provides seamless integration between Outlook and SharePoint. Connect Mobile WorkforceThe modern workforce is no longer tied to the traditional office environment, or the standard desktop PC. Remote working grows in popularity every year, and with it people’s expectations of being able to use any laptop, tablet, or even smartphone to access the tools and content they need for their day to day work.As a result of these trends a successful business critical system needs to be mobile from the outset. SharePoint 2013 offers fantastic support for mobile devices and access. General markup and mobile page layouts have been improved, and are much more standards compliant than they were in the past. In addition SharePoint systems are built to target specific mobile devices with specific content.Colligo Briefcase Enterprise (for iOS) takes this a step further, giving iOS users productive offline access to their SharePoint content. Connect line of business systemsAs we have seen a key feature of a business critical system is connecting to line of business systems, and providing a central view of disparate data. SharePoint has historically been very strong in this area, and the latest release offers a number of significant improvements.‘Business Connectivity Services’ (BCS) is a specific SharePoint feature that allows it to connect to a wide number of external systems, and provide read/write access to their datasets. This could be as simple as pulling in SQL database information, or it could be as complex as full interaction with an externally hosted website. BCS can create ‘external lists’ which have all the power of standard SharePoint lists, put whose data is populated from an outside source. Once in a list this data can we manipulated in standard ways, including the use of SharePoint Views.Knowledge management - How to harness conversations within an organizationCollaborative working - The ability for multiple users to work together on documentsConsumerization of IT – Manage consumer and business tablets and smartphonesSecurity - Offering data security and integrity 100% of the time
  • Let’s begin by sharing recent data on BYOD globally
  • The first use case I will talk about is Field Service Personnel. A few example of these users are:Employees servicing medical equipment in a clean roomService workers for power companies visiting remote sites to read metersServicing relay stations in a remote locationThese groups of user have a number of common experiences:They are often truly offline with no access to their SharePoint servicesThey require access to manuals , diagrams, maps, etc to allow them to services the machineryThey need to be able to report back information to the main office, including filling out InfoPath forms & uploading photos taken from the devicesBriefcase can help these users by caching the content, allowing them to work on the machinery efficiently.
  • The next example I will present is a truly offline use-caseWe have Airline flight staff need access to flight manuals, operating handbooks, corporate procedure documents etcIt is essential that the documents are available to the crew, indeed it is regulated. The legacy approach to this is to print the documents and provide them to the crew; clearly keeping the copies digital is preferable to printed copies for a variety of reasons, including costs of printing, timely delivery of updates, and simplicity for the usersThis use-case is truly offline, unless you are willing to argue the the FAA that Gogo in-flight is a business critical solution
  • The next use-case is driven more by the enhanced user-experience that a Native app can provide. Board members are meeting on a regular basis. It is important to provide documents to these users with minimal amounts of fuss, the board members should be pushed the required documents for their meetings.They need to review these documents and add their own annotations to the content, much of the review and discussion will be carried out offline.As the documents may be confidential, it is essential that IT can manage the environment. Including the ability of the application to encrypt content, delete content after failed log ins, and wipe the entire app as necessary.
  • This example I will discuss is a group of users who need to be sure they have their documents downloaded. Given sufficient security control around remote access, attorneys should be able to connect to their SharePoint sites from the courtroom. However the potential cost of a failed, or just very slow, connection is high. For these users the simplest way of ensuring these user have the content they require is to save it locally on the device – we do that by caching the content in Briefcase.
  • The final example is Sales RepsExamples of these are:A rep for a drinks company visiting franchised supermarketA rep for a Building Products company visiting regional dealershipsThese user need to be able to access marketing content such as datasheets, brochures, videos, images and spec sheets, they need access to sales documents such as pricelists and competitive analysis.As there may be large numbers of documents, users need to be able to use Search to find key documentsAgain the may wish to save notes back up to a central locationThese workers *may* be able to access their SharePoint sites in the field, however to the users, the cost of no connectivity is high so the ability to cache documents locally is very important to the them. Indeed for these employees, if you don’t provide a solution they will find their own alternative. Also, the files content may be relatively large; downloading or streaming on-demand is possible could be slow and may be expensive to due 3/4-G bandwidth requirements.

FireStarter are running a promo on their range of bicycles. Gylfi will be presenting these bikes to management. Gylfi prepares for client meeting in Starbucks, he connects to the public wifi grabs a coffee and pulls his iPad out. He accesses the Bitzer enabled build of Briefcase, signs in to the app an initializes a sync to ensure he has the most current content.NOTE:As he is able to connect to the SharePoint securely site via the tunnel he does not need to start a VPN, he also does not need to chew through his data planBriefcase has been set up to use Colligo Administrator, so when he was first provided the iPad he did not have to configure it to connect to the site, the Marketing and Sales sites were automatically pushed to himHe knows the client will be interested will be interested in the FireStarter bikes so he gathers all the relevant document into a Playlist. He creates a new Playlist, browser the "Product Info" document library, uses a filter to find the relevant docs and adds them to the Playlist. Next he uses search to find any new documents, he finds one and adds it to the Playlist.He also grabs the promo price list document and adds this to the PlaylistHappy that he is ready for the meeting he reviews a new white paper that his marketing team produced while he finishes his coffee...
