Essay F - You have just participated in an important meeting with your superior. How will you ensure that every part of the instructions you received will properly reach all subordinates, suppliers and clients, located in different parts of the world?
1 - During the meeting you should take notes and listen very carefully to every aspect of the info shared. Should also try to resolve separately with him/her if you have any specific doubts that could not be answered during the meeting.
2 - Document the minutes of the meeting listing every point discussed and pending confirmation after the meeting.
Include in the minutes of the meeting : names of the attendants, actions points, owners and deadlines.
3 - Determine what are the key questions that need to be answered to the different parties according to their roles and responsibilities, and define the system to be used to collect and provide the right feedback to each query. An Efficient and effective info sharing process will further increase the cooperation between all stakeholders.
4 - To ensure that the instruction will be reached properly and clear.
I’ll use the approppiate tolls to contact all (subordinates, suppliers and clients), located in different parts of the world at the right times.
• Creating meeting invitations well in advance will ensure to have all expected attendees able to participate in case of an online conference.
5 - Conference Call and F2F meeting with Subordinates:
