30 seconds The Windows Optimized Desktop focuses on three areas. Making people productive anywhere, managing risks though enhanced security and control, and reducing costs by streamlining PC management. The Windows Optimized Desktop relies on a number of products like Windows 7, the Microsoft Desktop Optimization Pack, also known as MDOP, Windows Server 2008 R2 and other products on this slide to make this vision possible. For the rest of my presentation I am going to focus on how we can help you make people productive anywhere.
30 seconds To help you make people productive anywhere, we focus on three areas. Since information and data is at the core of most enterprises, we need to provide seamless access to data from anywhere. Without the applications to view and manipulate the data, it is useless, so we should also give people access to the right applications from anywhere. Lastly, we need to make everyday tasks faster and easier to help increase productivity of everyone in the enterprise.
12.5 minutes When I think about providing seamless access to data from anywhere, I think about all of the enterprises that I have talked to who have a population of mobile workers and what their experience is when trying to get access to information when they are outside the office. When your mobile workers, contract workers, or work at home users need to connect to the corporate network, how do this do this? Most enterprises that we talk to say that these users establish a VPN connection . We also have heard that users who use the corporate VPN software to establish this connection are not very happy about using it. They say it takes too long or it is cumbersome to setup the connection. There are also the technical support issues related to the VPN to deal with. In a commissioned study by Forrester on behalf of Microsoft, it was determined that 10% of help desk calls are VPN-related issues. To mitigate this, many enterprises have started adopting ways to get access to corporate information without using the VPN. A great example of this is the Outlook Anywhere feature. This feature in Outlook gives you ability to get your email from your Exchange Server over the internet in a secure fashion. This may help with email, but what about all the other corporate resources that are behind the firewall like SharePoint sites, or line of business applications that you need to access? I bet many of you have been in a situation when you have been working at home and reviewing your email, and one of your email messages has a link to document that requires you to create a VPN connection to access it. You want to review the document, but you don’t’ want to go through the hassle of setting up the VPN connection . You then begin to weigh the benefits and consequences of not reviewing the document at that time. As we all have probably experienced, we sometimes decide that it is not worth the effort to setup the VPN connection and say to ourselves “I will deal with this later, when I get into the office or when I really need to setup the VPN connection”. This directly relates to lost productivity, because of the poor experience. If you improve the experience, you improve productivity. Along the same lines, we hear from IT Professionals that if these remote users are not on the VPN it difficult to confirm that their machines meet the corporate information security policies, like having the most up to date security patches or anti-virus definitions. Many enterprises rely on their remote and mobile users to connect their machines to the VPN to get security patches or anti-virus definitions, which can be an issue. What if the user connects to the VPN for only a short amount of time or worst case never connects to the VPN? Today there are ways of mitigating this with products like System Center Configuration Manger which allows you to patch the machines over the internet without a VPN connection, but there are key operating system features like group policy and folder redirection that cannot be used without the VPN connection. What can they do? With the DirectAccess feature in Windows 7 Enterprise and Windows Server 2008 R2, you can help make it easier for your remote workers get access to resources behind the firewall without establishing the traditional VPN connection. Leveraging technology standards like IPSec and IPv6 , DirectAccess gives your users seamless access to resources like file shares, intranet Web sites, and line of business applications that are behind the corporate firewall by just having a connection to the internet. No more weighing the benefits and consequence of putting off reading that document that was linked to in your email. Enterprises tell us that there are critical resources that you don’t want accessed from outside the company network though. DirectAccess gives you the ability to choose if you want all resources behind the firewall made available to your users or just particular ones. DirectAccess also supports the use two factor authentication with a smartcard to provide an additional layer of security. It also has the ability to reduce the amount of Internet traffic flowing through the intranet by allowing IT professionals to allow internet traffic to go straight to the internet. Your IT Professionals can also use DirectAccess to confirm that the machines meet the corporate information security requirements and if not, push patches and configuration settings to them even if the user is not logged into the machine. The machine only needs to be turned on and have access to the internet. To encourage computers to comply with security and health requirement policies and reduce the risk of malware spreading, non-compliant clients can be restricted from accessing intranet resources or communicating with compliant computers. Using Network Access Protection also known as NAP with DirectAccess, IT professionals can require DirectAccess client computers to be healthy and comply with corporate health requirement policies. For example, client computers can obtain a connection to the DirectAccess server only if they have recent security updates, anti-malware definitions, and other security settings. IT Professionals can also make sure that the user’s data is synced when using folder redirection and DirectAccess. This helps them make sure they have the most up to date copy of the users data which is important in case the user loses their laptop. Another set of users I think about when discussing accessing data from anywhere are branch users who are sometime mobile workers but also spend most of their day in your remote offices. In many businesses these branch offices are usually connected to a main office with a low-bandwidth link . One of the consequences of this is that accessing corporate data located in the enterprise is slow for end users. For example, what if headquarters posts a large training video on a media server and sends an e-mail to all employees worldwide. All the users in the remote office will need to download this file which will use a lot of bandwidth and possibly effect the performance of other users trying to access data outside of the remote office. You could solve this issue by buying more bandwidth, but this is a costly solution. Using Windows 7 Enterprise and Windows Server 2008 R2 you have another solution called BranchCache. With BranchCache, employees at branch offices can access data from servers at a main office as easily and securely as if they were accessing a server at their branch, without negatively impacting network bandwidth utilization. BranchCache keeps copies of files cached locally, so when other users access that file, they access the local copy instead of the one at the main office. Depending on where the cache is located, BranchCache can operate in one of two modes: Hosted Cache mode or Distributed Cache mode. In distributed cache mode, local Windows 7 clients keep a copy of the content and make it available to other authorized clients that request the same data. This is best used in small offices where there is limited infrastructure. There is also a drawback to distributed cache mode. If I am in the office and my machine is caching a file that you want and I leave the office, you will need to go back to the original location and download the file. This is where hosted cache mode could be an option for you. The Hosted Cache mode operates by deploying a computer that is running Windows Server 2008 R2 as a host in the branch office. If we use the previous scenario and I leave the office, but BranchCache is setup in the hosted cache mode, you can get the file from the Windows Server 2008 R2 box in the branch office instead of going back to the original location. Either way you implement BranchCache, it can help you reduce WAN bandwidth consumed by end-users. Lastly, we know that most users in the organization, be it remote, in a branch office or in the corporate headquarters need to find data. How do they go about finding the data they need ? Users usually look for content in two ways: by browsing though folders that are stored on their pc, network shares, and intranet sites, or by using a search tool that allows them to query an index that returns a list of content that best matches the submitted search string. Unfortunately, time is wasted looking for content that they need to find quickly . There are times where Information Workers don’t know the correct location for the file they are looking for and have to browse through various folders to find the particular file. Ultimately the goal for the information worker is not finding the content, it is using the content . To help you find your content, Windows 7 has a new Federated Search feature that gives you the ability search remote repositories from Windows Explorer. If the remote repository can accept your query in the OpenSearch format and display the results as an RSS or ATOM feed, the repository can be used for Federated Search. For example we know many people use Microsoft Office SharePoint Server 2007 to store their corporate documents and files, Microsoft Office SharePoint Server 2007 is enabled for Federated Search out of the box so now people can query SharePoint from the explorer window. We also created a feature called Enterprise Search Scopes . This allows IT Professionals to surface the most accurate and authoritative data sources that users should leverage when searching for data in the organization. Enterprise Search Scopes also allow end users to quickly rescope searches to the remote repositories. IT Professionals use group policy to setup the enterprise search scopes which appear in the search results displayed in start menu and at the bottom of their search results in Windows Explorer. Enterprise Search Scopes are available in Windows 7 Enterprise and Ultimate. StatoilHydro, a diversified energy company headquartered in Norway with about 30,000 employees, and is a great example of a company that is using Windows 7 to help provide enhanced connectivity to their mobile workers. StatoilHydro has worked hard to develop a global reach, but its increasingly mobile and geographically dispersed workforce drove new requirements for remote connectivity to the corporate network. The company’s older Windows XP operating system–based computers were not optimized for a seamless experience while remotely accessing collaboration applications. Also, mobile employees found it cumbersome and time consuming to access files while connected to the Internet over a VPN connection. Their solution to the problem was to begin using and testing the 64 bit version of Windows 7. They have found that by using Windows 7, they will be able to better support their strategy as a global company and easily share information no matter where their employees and consultants are. The quote I have on the slide sums up nicely why StatoilHydro is pleased with the Windows 7 experience and how it is helping them empower their users.
5.5 minutes Now that you have access to the right data and the right applications, what about your experience interacting with them? For example, you probably wish it were easier to find the files you use most often . Most people try to solve this problem by saving files directly on the desktop . You may like the convenience of this, but could do without the cluttered look. We also know that one of the benefits of Windows is the ability to work with large numbers of documents and programs at the same time. However, as you open more and more windows, you may find yourself spending more and more time managing them. Have you ever had to wade through a dozen open documents to get to the right window, or had to minimize a number of windows to view a gadget on your desktop? Or do you often line up two windows so that you can easily compare their contents? We also know that browsing the Web is the one of the most popular activity on the PC. With both the time people spend on the Web and the range of things they can do on it continuing to grow, the web is playing an ever-increasing role in the enterprise as a platform for mission-critical applications. Enterprises have told us that they are moving more and more applications to the web but they sometimes find it hard to take data from one web application and use it in another . While you want to get things done more quickly, you also value the familiarity of Windows and don’t have time to re-learn how to do the things you’re comfortable doing today. We also know that training users can be costly and time consuming so we need to make it easy to learn new features. Windows 7 enables users to be more productive by making everyday day tasks faster and easier. The user interface enhancements in Windows 7—ranging from new ways to arrange and work with windows, to enhancements to the Windows Taskbar, Start menu, and Windows Explorer—are designed to be intuitive, familiar, and to help you get more done with fewer clicks. For example you can use the Aero Shake feature to minimize all but the window you are shaking. You can also snap open windows to screen borders, so you’ll no longer have to click tiny objects in the corner of a window to change the window size. A great example of this is that you can drag the top of a window to one side of the screen, and as your cursor touches the edge, the window will resize to fill that half of the screen. This makes it easy to compare contents of two windows side by side We have also introduced a new feature called Libraries that allow you to instantly organize files that are located across a number of different locations like file folders on a hard drive and file shares indexed on remote computers. Libraries also allow you to pivot your views of these files using the metadata that is stored with them. This makes organizing and finding files easier especially when they are located in many locations. We have also made connecting to the right printer easier with the new Location Aware Printing feature. Location Aware Printing allows you to have a different default printer setup for each network you are on. So, when you are in the office your default printer could be the printer right outside your office door, but when you are connected to your home network, the default printer could be the printer in your study. Location aware printing make it easier to print to the correct printer so you don’t have to worry about remembering to pick the correct printer for where you are located or changing your default printer when you move from one network to another. Just think, no more accidently printing your personal documents to the office printer. Internet Explorer 8 can also be used with Windows 7 to help you reach beyond the page with features like Accelerators and Web Slices . Accelerators make it easier to take action on information stored on web pages. Web Slices enable you to instantly monitor changes on sites of interest. Transelectrica is a example of a company that is helping make everyday tasks faster and easier with Windows 7. With roughly 2,300 employees Transelectra, the Romanian state owned company responsible for power transmission and operations of the power grid in the country was looking to reduce costs and deliver maximum business value with its operating system. Their solution to this was to start upgrading to Window 7. They benefited from an increase in system performance with Windows 7 from startup and resume times and even file transfer speeds. The quote I have on the slide explains one of the many reasons why Transelectrica is using Windows 7.
