Not all logic needs to be coded programmatically. Force.com's workflow and approvals engine lets you easily invoke tasks such as email alerts, database updates, or messaging based on a set of triggering events. This session demonstrates the platform's basic workflow capabilities, including approvals.

  • Thanks Mike. Alright here is our agenda for today. First we will talk about workflow – What is it, Why does it matter/how does it add value to your business. We’ll look at the mechanics of creating workflows, spend some time creating some sample workflows. Then we’ll look at how Mike is using workflows at Insulet.Next we’ll repeat the same for Approval ProcessMany of you are probably curious about the Roadmap for Workflow and Approvals, so will touch on that.And we will leave enough time for questions in the end.Let’s get started!
  • Aside from being simple, workflow is extremely powerful since you can take most common business action and automate it. On the left side you have some business actions that should be a signal for you to think “Ah that’s workflow”. On the right is the corresponding workflow action that can be used to automate the business action.Let’s say you want to alert a person or a group of people with new information, you can automate that with workflow email alerts e.g. alert a department that inventory is running low.If you want to allocate tasks based on rules you should use workflow tasks e.g. create a task for a sales engineer to start an RFP response based on opportunity date.If there is a need to update the information on a record, typically status, in an automated way use workflow field updates e.g. set the status of a job application record to closed once the candidate has accepted the job offer. Finally if you want to send a message to an external system, use Outbound Messages. These are SOAP messages that are essentially notifications that are sent out from salesforce e.g. message an external HR system to initiate the reimbursement process for an approved expense report.Finally, another dimension to workflow actions is- you can specify an immediate action e.g. send an email now- or a time dependent action e.g. send an email 2 days before the close date on an opportunity
