  • This section of the site visitor guide will walk you through the steps of preparing for and conducting the actual site visit: There are three sections: 1) the materials you should have read before the day of the site visit 2) The meeting with the team to discuss program specifics and to finalize the plan for the day, and 3) The site visit process and protocols for observing programs

Preparation Prior to the Site Visit <ul><li>Review of Program Materials </li></ul><ul><ul><li>Proposal and supporting documentation </li></ul></ul><ul><ul><li>Curriculum templates/matrices </li></ul></ul><ul><ul><li>For continuing programs, the site visit reports, program final reports and reflections of the Program Director </li></ul></ul>

The Schedule <ul><li>9:00 – 9:30: Meeting with Program Director; review program syllabi, course materials </li></ul><ul><li>9:30 – noon: Class observations </li></ul><ul><li>Noon – 2:00: Lunch and interviews with at students, instructors, and/or staff </li></ul><ul><li>2:00 – 2:40: Site Visit Team meets to debrief </li></ul><ul><li>2:45 – 3:30: Team meets with Program Director </li></ul>

Things to remember <ul><li>Every program is different </li></ul><ul><li>When programs have more than one language, but only one Program Director, you may submit one report, but differentiate between the languages in the report. </li></ul><ul><li>Where programs have both student and teacher programs, they should be reported on separately. </li></ul>
    6. 6. Follow-up Site Visits, if necessary <ul><li>The team may determine that a follow-up visit is necessary. </li></ul><ul><li>Discuss a future date with the Program Director and offer any consultations that may be necessary. </li></ul><ul><li>Follow-up visits are made only to ensure the success of the program and to increase potential for future funding. </li></ul>
