SAP EH&S Success Story @ YASH

Published on

YASH Technologies was selected as the long-term MSDS authoring partner for their ability to bring the necessary domain expertise as well as deep SAP EH&S knowledge to manage and maintain the MSDS creation process. Bringing a partner on board would eliminate the need to invest in data import/export procedures as all authoring would be done on Dow’s internal system.

SAP EH&S Success Story @ YASH

  1. 1. SAP EH&S Success Story @ YASH Chemical Company Utilized SAP to Create 1000 Material Safety Data Sheets Per Month with 100% AccuracyIndustry: Chemical Manufacturing Fast Growing Volume of Material Safety Data Sheets Created Inefficiencies for Internal EH&S TeamGeography: US Any organization that deals with, produces, and transports hazardousThe Client: material is required to have accompanying documents stating the physical and chemical makeup, how they may interact with other materials, whatThe client’s diversified industry- regulations are applicable, and what documentation needs to accompanyleading portfolio of specialty it (documents could include inventory, labels, safety directions on handlingchemical, advanced materials, the material). As a leader in the chemical manufacturing sphere, the clientagrosciences and plastics must continuously create and generate large volumes of Material Safety Databusinesses delivers a broad range Sheets (MSDS). The client’s internal EH&S team was able to produce 200of technology-based products MSDSs per month, but could not keep pace with the fast growing volume.and solutions to customers in It was expecting that in the next few years, the company’s business volumeapproximately 160 countries and was going to double, and the number of corresponding MSDSs and associatedin high growth sectors such as maintenance costs would also increase. In addition, it wanted to achieveelectronics, water, energy, coatings these objectives:and agriculture. In 2009, thecompany had annual sales of $45 ▪▪ Eliminate manual input ▪▪ Create consistency within MSDSsbillion and employed approximately52,000 people worldwide. ▪▪ Optimize system to its fullest ▪▪ Align strategies and operations ▪▪ Improve productivity YASH Technologies was selected as the long-term MSDS authoring partner for their ability to bring the necessary domain expertise as well as deep SAP EH&S knowledge to manage and maintain the MSDS creation process. Bringing a partner on board would eliminate the need to invest in data import/export procedures as all authoring would be done on Dow’s internal system.
  2. 2. Collaborative Partnership with YASH Allowed Company to Transform MSDS Authoring ProcessThe main challenge of this initiative was to create 100% accurate MSDS’s within shorter timeframes and with zerotolerance to quality process flaws. As this was the first time the client was outsourcing the MSDS authoring activity, oneof the significant factors of a successful partnership was the ability for YASH to define, create, and refine current processdocuments, along with associate training material. YASH was able to extract the data necessary such as standards andregulations and finalize and publish a MSDS. This process was complex as there were language and country-specificregulations in addition to all the variations of chemical make-ups and interaction formulas.A certain degree of change management had to be conducted on the client side to get the internal team and stakeholderstrained to work in a distributed environment. The adoption of new processes and the proposed effectiveness of thoseprocesses was a concern, along with potential risks and any mitigation plans that should be put into place. YASH workedin collaboration with the client’s information security team to define the appropriate level of system access in the SAPsystems, as well as the peripheral document-based communication that would be the key to ensuring the new processeswere kept in accordance with all audit and statutory mandates.YASH built its delivery infrastructure utilizing YASH’s offshore SAP resources. YASH initially started the project with fillingin six of the 15 sections of an MSDS and within the first quarter after the transition, YASH delivered 3000 successful andcomplete MSDSs. YASH used the client-standard Ariel tool to expedite the SDS creation process, as it reduced the timespent on analysis of regulatory information. Ariel would compare all components of the standard composition againstpredetermined North American regulatory lists and provide a summarized report of each component as if they alreadyappeared on these lists. The report was built by regulatory lists, not by component, and used Microsoft Access to createthese reports.By ensuring that every product and deliverable went through multiple stages of review, YASH was able to enhance theaccuracy, completeness and timeliness of the MSDSs. A peer and quality group review ensured product quality control.Periodic audits to verify compliance as well as management reviews for validating proficiency levels and appropriateprocesses ensured process quality control.Streamline Authoring Gave Client Ability to Produce 1000 MSDSs per MonthDuring the authoring initiative, YASH produced an average of 1500 complete material safety data sheets per month forthe client. YASH expanded the MSDS authoring infrastructure, enabling it to meet current and future authoring needsin a scalable model. The client realized significant cost reductions due to effective utilization of YASH’s offshore teamfor authoring and quality review. Consistent MSDS content resulted in improved compliance, reduced risk and decreasedliability through process automation. In addition, the client has realized a positive impact on its product lifecycle by being able to bring a new product tomarket faster by having YASH address all regulatory restrictions early in the product development stage. This wayexcessive regulatory research time and possible threat of stopped shipments can be eliminated, and the company canquickly expand into new markets.About YASH TechnologiesYASH Technologies focuses on customer success.
