Expenses in CRM On Demand

  1. 1. Expense Reporting Suggestions for CRM On Demand
  2. 2. Agenda • Expense Tracking Questions • Suggestion 1 – Activity Object • Suggestion 2 – Activity Object with Excel
  3. 3. Expense Tracking • Many Businesses require the tracking and management of Expenses for Sales and other personnel – Most Expense Tracking processes involve • Data Entry • Approvals • Paperwork
  4. 4. Expense Tracking – Data Entry • Question Set One – Do you have ONE procedure or one procedure by business unit? – Do you have an existing data entry formats (Excel Spreadsheet or similar)? – Can this be retained (maintaining process intact) and used with CRM On Demand?
  5. 5. Expense Tracking - Approvals • Question Set Two – Are the approvers of your Expense reporting process all CRM On Demand users? – Are they email users? • It may be more efficient to maintain the Approval process outside of CRM On Demand
  6. 6. Expense Tracking - Paperwork • Question Set Three – How do users Print their Expense report? – How do they collect Receipts and account for them? – Are human signatures required as part of the process? • Can you justify creating new Reports to print and manage this data? Is it appropriate or useable?
  7. 7. Suggestion One – Activity Object • The Activity Object (Appointment or Task) is a candidate for Expense – Contains Commonly Used Expense Fields • Type, Approval Status, Status, Paper Sign • Reject Reason, Cost, Currency – Owned by One or More Users – Related to many Primary Objects (Institution, Person etc) – Contains Attachment Related Information Section (for Scanned Receipts)
  8. 8. Suggestion One – Activity Object • Reporting and Analysis Objects are available • Light customization of CRM On Demand supplementary fields, Custom Layout (based on Type) to implement simply • Simple Workflows to implement Approval Emails or Update records
  9. 9. Suggestion One – Activity Object • Challenge – how will the detail of the Expense Report (multiple lines, multiple types, tax or no tax, multiple currencies and exchange rates) • Entering this kind of detail is NOT the sweet spot of CRM On Demand • You may have different procedures in different countries
  10. 10. Suggestion Two – Activity with Excel • If your company already uses Excel spreadsheets as the primary Expense vector – Use Activity Object and Attach the Excel Spreadsheet – Possible automation of Excel Spreadsheet integration with CRM On Demand to propagate summary information into CRM On Demand
  11. 11. Suggestion Two – Activity with Excel • Excel spreadsheet to capture detail of Expense • Excel spreadsheet implements integration to CRM On Demand or insert summary data into CRM On Demand
  12. 12. Suggestion Two – Activity with Excel • All the Business Process is in your current Excel sheet – Format can be region specific – Summary information can be integrated to CRM On Demand for Reporting purposes • Challenge – How will the relationship between Expense reports and Institutions / People be resolved by your integration?
  13. 13. Further Questions for Analysis? • Will each region or business unit have an identical process for Expense management? • What reporting or data visibility in CRM On Demand will increase User Adoption? • Will users have to login to CRM On Demand to view their Expense status – and is this positive or negative for users?
