Legal and Administrative Assistant (Job Description)

  1. 1.   1   LEGAL & ADMINISTRATIVE ASSISTANT Job Description: • He/she shall report directly and only to Atty. Apollo X.C.S. Sangalang; • He/she shall assist him in case, records and documents manangement, and in performing the following functions, among others: o Monitor and follow-up cases under litigation in various courts and administrative agencies, and prepare status reports; o Receive and record all incoming mails, emails and correspondences, and file them for future retrieval; o Send, mail, deliver and record all outgoing mails, emails and correspondences, and maintain file copies for future retrieval; o Recommend and implement best practices in case, records and documents management; • He/she shall assist him in library, references, data and knowledge management, and performing the following functions, among others: o Record, maintain, keep track and make available for retrieval his library and reference materials, whether in physical or digital forms; o Record, maintain, keep track and make available for retreival all his pleadings, motions, memoranda, contracts, affidavits, legal forms, templates, books, papers, articles, lectures, talks, slides, diplomas, certificates, ideas and other intellectual outputs and creations, whether in physical or digital forms; o Recommend and implement best practices in library, references, data and knowledge management; • He/she shall assist him in calendar and task management, and in performing the following functions, among others: o Keep track and give reminders of all hearings, meetings, conferences and official appointments; o Keep track and give reminders of all deadlines, commitments, priorities and calendar of activities; o Set, arrange, confirm, reschedule, postpone or cancel apppointments, and extend deadlines; o Prioritize goals, plans, and tasks, and prepare calendar of activities; o Recommend and implement best practices in calendar and taks manangement; • He/she shall assist him in clients, prospects and contacts management, and in performing the following functions, among others: o Record and maintain profiles and database of clients, prospects and contacts; o Develop and maintain excellent relationship with clients, prospects and contacts;
  2. 2.   2   o Recommend and implement best practices in clients, proscpects and contacts management and relations; • He/she shall assist him in billing and collection management, and in performing the following functions, among others: o Prepare and send statement of accounts to clients; collect payments and reimbursements from them; and issue and send provisional or official receipts; o Recommend and implement best practices in billing and collection management; • He/she shall assist him in petty cash, bookkeeping, and accounts management, and in performing the following functions, among others: o Safekeep, record, disburse and liquidate petty cash; o Safekeep official receipts and other proofs of revenues and expenses; o Record revenues and expenses in books of accounts; o Record, disburse, liquidate and replenish client’s out-of-pocket expenses; o Coordinate with outsourced accountant and auditor; o Coordinate with banks and credit card companies; o Recommend and implement best practices in petty cash, bookkeeping, and accounts management; • He/she shall assist him in managing, relating, dealing and/or coordinating with: o Lessors, utilities providers, service providers, suppliers, and contractors; o Virtual assistants and other independent consultants and professionals; o Partners; associates; other staff and employees; o And in recommending and implementing the corresponding best practices; • He/she shall assist him in tax and other government compliances, and in dealing and coordinating with various government agencies, such as: o BIR, SSS, ECC, PhilHealth, Pag-IBIG, DOLE, DTI/SEC, City Hall, Barangay, etc.; o And in recommending and implementing the corresponding best practices; • He/she shall assist him in providing notary public services; and in preparing and maintaining his notary public books, reports, and applications; • He/she shall draft and sign brief and simple letters, transmittals, requests, notices, and other official correspondences on behalf of Atty. Sangalang on a case-to-case basis; • He/she shall represent Atty. Sangalang in hearings, meetings, conferences, follow-ups, and other official appointments on a cases-to-case basis; • He/she shall assist in preparing, proof-reading, formating, and printing documents, correspondences, presentations, and other papers and materials; • In general, he/she shall assist Atty. Sangalang in his professional and business engagements, in his advocacies, and in the management and coordination of his office and team; Qualification: • Male or female;
  3. 3.   3   • At least 3rd year college or 2-year vocational school graduate; • Excellent in written English; and proficient in verbal communication; • Healthy, energetic and open-minded; • Voracious reader; dedicated to a lifetime of continuous learning and self- improvement; desires to be trained, mentored and coached; welcomes feedback and constructive criticisms; • Computer and internet literate; proficient in office, business, productivity and social media applications; high-tech gadget enthusiast; • Trustworthy, high standard of integrity and moral character, and very discreet in handling official, legal and confidential information; • Amenable to flexible result-oriented work arrangements, including off-site-work or work-from-home arrangements; and occassional long or extended working hours, night-time work, overtime work, work during weekends, holidays and rest days, and take-home work; • Dreams of becoming a successful business & corporate lawyer, labor & employment lawyer, trial & appeals attorney, business & HR consultant, or entrepreneur someday; • Willing to report to multiple office locations within Makati City, Taguig City, Pasig City, Mandaluyong City, San Juan City and Quezon City areas; and • Meticulous to details; and punctual.
