  1. 1. Timetable integration: CASES21 and First Class<br />Need to know<br /><ul><li>Reference data (students, rooms, staff and subjects) must exist in CASES21 or the import of the timetable will fail.
  2. 2. Use CASES21 for maintenance: (Ctrl+F to find) Students (ST11001), Staff (SF11001), Subjects (SU11001) and Rooms (SM11001).
  3. 3. For accurate timetabling, data changes in CASES21 should be imported into First Class.
  4. 4. For accurate Ultranet class data, changes in timetables should be imported into CASES21 from First Class regularly.</li></ul>Process summary<br />Step 1: Export data from CASES21 into First Class<br /><ul><li>From the Timetabling menu in CASES21, select Import Export Data then select Timetabling Export Files.
  5. 5. Double click on Export Timetable XML Base Data
  6. 6. Select ‘Run’
  7. 7. Specify the destination folder and file name to be used. Select ‘OK’
  8. 8. A success or failure message will be displayed</li></ul>Step 2: Import data and create timetable in First Class<br /><ul><li>From the First Class menu, select File then Import, CASES21 Base Data XML.
  9. 9. Browse for and select the file.
  10. 10. Set ‘If an item exists’ to Update item
  11. 11. Select Test Update
  12. 12. If the test update is a success select Update, else address errors identified.</li></ul>Step 3: Export timetable from First Class<br />Once all your data has been prepared, <br /><ul><li>From the File menu, select Export>To Another Application.
  13. 13. Select CASES Timetable XML from the Export Program drop-down list.
  14. 14. Select the file location, year and semester</li></ul>Step 4: Import timetable into CASES21<br /><ul><li>From the Timetabling menu, select Import Export Data then select Import Data.
  15. 15. Select the Import XML Schedule Information option.
  16. 16. You will now see the CASES21 Import Task Screen.
  17. 17. From the Printer drop-down menu, select a printer destination for any error report.
  18. 18. Click on Run, select OK, select the source file and click OK
  19. 19. A message is displayed advising the file has been copied to the server, select OK.
  20. 20. A message will appear indicating that initial validation has been successful, select Yes to continue to import the timetable.
  21. 21. The file will then be validated. If validation is successful the timetable will be imported, otherwise an import error report will be displayed. .</li></ul>If any data doesn’t match (for example, there is a subject code that isn’t in CASES21), the import will fail. You may need to export from First Class again, making sure you fix the relevant error as discussed in Step 3.<br />If the data does match, you will successfully import the data.<br />Step 5: Set the dates the timetable will apply to<br />Once you have successfully imported your data, you need to Specify the dates over which the timetable applies. <br /><ul><li>From the Timetabling select Import Export data then Import TimeTable Data and Assign Timetable to School Days
  22. 22. Specify the timetable which applies and the inclusive date ranges
  23. 23. If any existing timetables apply for the dates selected, you will be prompted to adjust dates or overwrite as appropriate.</li></ul>Tips for imported timetables<br /><ul><li>The easiest and quickest way to make changes to the timetable is to make any required changes in First Class, then import the updated timetable into CASES21.
  24. 24. To keep CASES21 current, it is recommended that this process is followed regularly in line with your school timetabling procedures.
