FIRST RULE: K.I.S.S.
"Keep It (presentation) Simple, Stupid“
EFFECTIVE PRESENTATION TECHNIQUES
What is Presentation Used For ?
1. What am I going to present?
2. What will the flow be like such as the order of the
content?
3. How can I start to my presentation?
4. How can I gain attention for my presentation?
5. How am I going to choose an appropriate design for my
content?
6. What are the important factors that I should consider in
creating my slides such as font size or number of lines?
7. What are the important tips for delivering effective
presentation?
EFFECTIVE PRESENTATION TECHNIQUES
How am I Going to Prepare?
• First choose an appropriate topic for your presentation.
• Pick one topic, one argument, that is finite, limited.
• Do not try to explain everything; it can't be done.
• Avoid the temptation to put everything in your
presentation.
BE CAREFUL : Choosing a feasible
topic is the first step for preparing a
good presentation.
EFFECTIVE PRESENTATION TECHNIQUES
What am I Going to Present?
Could you tell what the subject of this presentation is?
EFFECTIVE PRESENTATION TECHNIQUES
How will the Flow Look Like?
Bad Presentation Flow
• Techniques for:
• Organizing ideas in a logical sequence
• Creating a coherent and persuasive presentation
• Examples:
• Chronological flow
• Numerical flow
• You have to choose an appropriate flow structure
for your subject.
ATTENTION : To learn more about
“Flow Structure” please look up Week

You must always…
1. Introduce yourself and your subject.
2. Give a brief outline of your presentation.
3. Gain your audience’s attention.
DO NOT FORGET : Keep your introduction
short and strong. People want to know who
you are, but they also want to get into the
point of your talk...
EFFECTIVE PRESENTATION TECHNIQUES
How Can I Start?
• Minimize the number of slides
• Choose a proper font style
• Avoid switching between programs several times
(such as calling up a Web page frequently).
Make your presentation easy to follow:
EFFECTIVE PRESENTATION TECHNIQUES

Appropriate Design for My Content?
DO NOT FORGET : The first 5 minutes is very important
for your presentation. If you gain the attention of your
audiences in these 5 minutes, then most probably you will
deliver your message successfully.
Use art to help convey your message. But do not add
too much visual aids because it interrupts the
audiences focus.
Too destructive!

• Contain one concept, and each one expressed in one
title
• Restrict yourself to one sub-bullet level only
• Contain key words only such as nouns, verbs and
modifiers.
• Avoid using articles, conjunctions and prepositions.

What Is the Important Tips for Delivering Effective
Presentation?
vs
• While demonstrating your presentation, be careful about:
• Appearance
• Carry yourself in a confident and professional manner.
• Eye Contact
• Keep eye contact with your audience. This will keep audience alert
and make them feel that they are being directly spoken to.
• Body Language
• Be natural - don't move around too much or too little.
• Be relax when talking behind a desk -this creates some intimacy with
the group slowly and on occasion move from side to side to engage
all parts of the class
• Gestures
• Use meaningful and appropriate gestures to make a point.
EFFECTIVE PRESENTATION TECHNIQUES
Tips for Delivering an Effective Presentation
• Articulation
• Speak clearly, pronouncing words carefully -don't mumble. Control your
lips, teeth and tongue to assist you.
• Voice
• Speak loudly enough to be heard. Your voice rate is important.
• Speak more quickly to convey enthusiasm. Speak more slowly to
emphasize key points or issues.
• DON NOT speak so quickly that materials would be glossed over rather
and would not be understood well.
• Language
• Avoid "pet" expressions (e.g."O.K.","Like", "You know")
• Enjoy
• Use humors but only appropriately
EFFECTIVE PRESENTATION TECHNIQUES
Tips for Delivering an Effective Presentation
GOLDEN RULES– Presenter Focus
• Don’t read your slides
• Keep your presentation a bit slow and steady
• Pause to let strong ideas sink in.
• Terminate your presentation STRONGLY
• Ask and give enough time to your audiences for their
questions and suggestions.
LESS IS MORE : A presentation is only a presentation never a
document. It only helps you to visualize what you want to say.
PowerPoint was created to support the speaker, not be the
speaker.

EFFECTIVE PRESENTATION TECHNIQUES
Tips for Delivering an Effective Presentation
FOCUS– PLAN – PRACTICE
FOCUS on the main point(s) you want to make.
PLAN the layout of your presentation. This means carefully
considering each slide, as well as the presentation as a whole. Does
everything fit together?
PRACTICE your entire presentation at least once before you
present it to your audience. If possible, have someone watch and
listen, then ask questions about anything that they find unclear--
prefer facing a difficult question from one person to facing it in
front of an audience!
EFFECTIVE PRESENTATION TECHNIQUES
Summary
Try to be consistent in your
presentation(in background, color, fonts
and styles), but keep in mind that;
• Differences draw attention
• Differences may imply importance
• Use surprises to attract not distract
• Some Final Words about effective presentation;
• Communication is the key. Use:
• Text to support the communication
• Animations for complex relationships
• Sounds only when absolutely necessary

Editor's Notes

  1. We will learn to prepare high quality presentations.
  2. We will learn; how do we add value to our presentations and how do we deliver these values effectively to our audiences. We will give these questions and other questions’ answers respectively. K.I.S.S. means keep your presentation simple, stupid. “Stupid" does not have to mean simple minded. Keeping it simple means avoiding the complexity of too many competing, confusing factors. This applies to choosing a presentation topic as well as writing a sentence or running a business. DO NOT FORGET : This tool’s name is NOT “power paragraph” or “power article”. Its name is PowerPoint
  3. Could you tell what the problem is with this presentation? This panaromic view of the presentation shows that no two slides are alike, this disturbs the audience. Forcing them to readjust to each new slide. A visual assault!!!! No structured presentation.
  4. There are 16 flow structures such as Modular flow, Problem/Solution flow, chronological flow. You have to choose an appropriate flow structure for your subject. The subject and flow has to be compatible with each other. Let me give you 2 or 3 flow structure examples. if your presentation is about historical event then you can use chronological flow. Or if you try to explain an statistical data, series of connected ideas or arguments it is very suitable to use Numerical flow as your presentations main structure.
  5. Minimize the number of slides : To maintain a clear message and to keep your audience attentive and interested, keep the number of slides in your presentation to a minimum. Choose a font style that your audience can read from a distance : If your audience can not follow you effectively, they become bored and you cannot deliver your message. Avoid switching between programs (such as calling up a Web page).  This takes extra time and can make it difficult for your audience to remain focused on your presentation.  Choosing the right font size helps to get your message across;  The following measurements indicate the size of a font on your computer screen, not projected on a screen for your audience in full screen mode. A one-inch letter is readable from 10 feet. A two-inch letter is readable from 20 feet. A three-inch letter is readable from 30 feet. If you don’ t understand from these measurement you can use your eyes for measurement ☺ To do this; Print out a slide containing text, then place the page on the floor.  Can you read the slide from a standing position?  If yes, then your audience can likely read it from their seats.  If no, then the font size needs to be increased.  Previewing your presentation in the room you'll be using?  Walk to the back of the room--if you can't easily read the slides, your audience won't be able to either.
  6. Use art to help convey your message : Use graphics to help tell your story. Don't overwhelm your audience by adding too many graphics to a slide, however. These can be effective in certain situations, but often distract your audience from the main points you are making. These pictures have to; - be understood easily - simplify complex concepts - support what you are saying
  7. Make labels for charts and graphs understandable: If your graphs or charts are too complex, audience do not understand anything about these pictorials in your presentation. You have to take care about that graphs, pictures or charts. Be careful about these pictorials NOT to be confusing or distractive!!! NOTE THAT : Use only enough text to make label elements in a chart or graph comprehensible. What is the problems with this upper left table? Numbers placed vertically in the graph Number of decimals (Too much numbers makes the graph hard to follow) No order of the numbers on the axis Horizontal versus vertical (The line up of the values) Number of grids (Too much grid) Lines are thin, which makes reading it very difficult The information on the axis is missing No title, no labels Too much information per data point You have to come up a conclusion? What do you want to demonstrate? Ask yourself about the aim of showing this graph, Is it to compare the trends? Or Showing maximum, minimum of something? Or only show the number Problems: # of decimals is hard to follow No order of the numbers on the axis Horizontal versus vertical # of grids Lines are thin, which makes reading it very difficult Ask yourself about the aim of showing this graph, what do you want to demonstrate? To compare the trends? Showing maximum, minimum of something? The information on the axis is missing No title, no labels Too much information per data point
  8. Make labels for charts and graphs understandable: If you don’t explain your graph or chart to the audiences, most of them do not understand anything about these pictorials in your presentation. For example we add a table in this slide. Do you understand anything about what these number means?? Most probably your answer will be “NO”. So you have to explain If you add anything to your presentation.
  9. Keep your text simple by using bullet points or short sentences : Use bullets or short sentences, and try to keep each to one line; that is, without text wrapping. You want your audience to listen to you present your information, rather than read the screen. Some projectors crop slides at the edges, so long sentences may be cropped. You can remove articles such as "a" and "the" to help reduce the word count on a line. DO NOT MAKE ME THINK : Write any set of bullets in a parallel (grammatically the same) form so that the similarity and relationship of the underlying concepts become obvious. (If you start with a verb fallowing bullets also has to be start with verb.) if your audience is concentrating on written text, they are most likely not giving you their complete attention.
  10. Make slide backgrounds subtle and keep them consistent: Choose an appealing, consistent template for your content. You don't want the background or design to detract from your message. MS PowerPoint has several themes and templates for different concepts.   For more information about using themes, see Apply or customize a document theme. Use high contrast between background color and text color: The readibilty of presentation effects Audiences. Bad design can distract Audiences very easily. You have to set the deep contrast between a light background with dark colored text or dark background with light colored text. Use colors that work well together (Such as yellow or white on a dark blue background. Avoid use of red) Check the spelling and grammar: To earn and maintain the respect of your audience, always check the spelling and grammar in your presentation. Timing is important : Do you want people to take notes during your presentation?  Leave them sufficient time to do so.
  11. You have to ask to yourself; All the slides are coherent with each other? The related content come together meaningfully and respectively? The transitions
  12. Don’t read your slides: They should support what you are saying, not be what you are saying. The same goes for your notes. Keep it slow and steady: Pause when you need to take a breath, you’ll think better. Don’t agonize over mistakes, and don’t say you’re sorry. Keep confident and if you mess up—move on. Pause to let strong ideas sink in. This can be hard to remember, but your audience needs time to absorb and take breaks too! Pause to let strong ideas sink in: This can be hard to remember, but your audience needs time to absorb and take breaks too! Terminate your presentation strong : Make your finale crisp, clean and powerful. Be prepared for interruptions and questions. If you are doing well, you’ll have lots of questions. Ask and give enough time to your audiences for their questions and suggestions. Learn from your mistakes. I know that I learn a little every time I get up and speak. NOBADY IS PERFECT, you can make some mistakes naturally. But learn from your mistakes and try not to do next time.
  13. GOLDEN RULE 2 – Audiences' Perception : By understanding perception psychology and applying it properly, you can control the effects of your presentation on your audiences All western countries (uses Latin characters) languages are printed from left to right and top bottom. As a result a western readers, ,like most of your audiences’ eyes are conditioned to move to the upper left corner to start new passage.
  14. Timing is important !!! Nobody has too much time. You have limitations. If you plan a certain amount of time for your presentation, do not go over. If there is no time limit, take less time rather than more to ensure that people stay engaged.
  15. BE CAREFUL your presentation will be; Big Simple Clear Progressive Consistent
  16. Keys Too many picture Too many wording Words are not legible Contrast is bad Inconsistent color choice
