  • Welcome to our presentation on Collaboration in the Cloud with Microsoft 365.

    We are going to focus on Microsoft 365, our comprehensive solution that brings together a hub for teamwork with our best-in-class productivity apps and built-in security. And in this presentation, we want to highlight how this solution helps you collaborate more effectively with your colleagues to accomplish common goals and drive faster results.

    Today, we’ll spend a few minutes talking about:
    The trends we see in the industry, driving a need for digital transformation, and adopting a cloud-first approach specifically within the SMB space.
    The real business challenges that companies like yours face and how collaboration in the cloud addresses those pains.
    And we’ll wrap up with the business value scenarios and benefits other customers have seen moving to a Microsoft 365 solution.

  • While companies are all unique and have their own identities, we see common trends affecting the culture of work and employees’ expectations on what a modern work environment provides.

    More collaboration. There is a movement toward transparency and inclusivity in how decisions are made. Organization structures are becoming more flat. And those teams are dynamic. It's rare that people don’t change on a multi-month project, which means there is a greater need for communication and collaboration to sustain performance and drive results.  

    Increased productivity. When someone new joins a team, the first step is usually for all team members to go through their email and find the information needed to get the new person up to speed. It doesn't help when information and project files are scattered throughout their inboxes. In order to avoid falling behind on deadlines, it’s essential that all documents and files are consolidated in a single, shared place for easy viewing and modification. This calls for increased productivity. 

    Greater mobility. In addition to an increase in the amount of collaboration and productivity, there are other characteristics that are different about how we’re working together today. There’s a greater need to enable communication and productivity regardless of where team members are located.

    Most employees juggle their jobs with busy personal lives. People are increasingly looking to work remotely and adjust their hours and schedules as needed (without compromising either their personal well-being or work productivity). And here are some reasons why: 
    Teams are increasingly geo distributed.
    People on teams are a mix of employees and outside vendors. 
    Teams with remote workers have unique challenges. Because they’re not in the office with their team, remote workers often feel less engaged and connected to their company, which can hurt productivity and performance.
    Today, we are finding that companies that embrace greater flexibility at work experience 25% less employee turnover than companies that do not allow remote work (Owl Labs). In fact, 69% of millennials will trade other work benefits for flexible workspace options (IWG). We also see that small companies are twice as likely to hire remote employees (Owl Labs) and agile teams will become the norm in SMBs. 
  • Are you prepared?
    Based on the trends we’ve seen, we can confidently say that teamwork looks different today. And it can be difficult to stay productive when there are ongoing technical and cultural changes happening all around you.

    SMBs now face new challenges that come with trying to accommodate the rise of mobile workforces and dynamic team structures. It’s difficult to collaborate effectively when you cannot reach someone because they’re out of the office. And you may face productivity challenges when communication between team members dissolves into long email threads with various attachments and different versions of documents. While we won’t focus too much on this today, we do want to note that companies are finding it increasingly difficult to manage and secure your business files and applications when employees are accessing data on personal devices. This introduces serious security risks.
  • The question now becomes, how do you help your business grow and adjust to the new ways that teams work? How can you enable greater collaboration and boost productivity across your entire organization?

    Work from anywhere by holding online meetings with anyone inside or outside your organization.

    Make work easy using the meeting scheduling assistant, sharing screens, and using collaborative note taking as part of online meetings. You can also record meetings to save or share with others.

    Collaborate in real time with 1:1 or group chats centered around different workstreams.

    What’s more, after your meeting has concluded, you don’t need to worry about forgetting details or action items. Access shared files and notes that already exist in one place for easy viewing and follow up. Once you’re back at the office, jump right back into work projects without missing a beat.
  • If you’re able to access work emails and files on your personal devices, it can be easy to accidentally leak company data in ways that you don't realize. You also want to make sure that you never lose that mobile device. But we’re all human, and it can be easy to accidentally leave your phone somewhere like a restaurant, a company event, or a cab. And that can create a lot of stress for a company. 

  • You never want someone who isn’t authorized to access your company's information. And if you use personal phones to access that data, the risk is steeper. 

    The solution is not to tell employees to never use their personal devices for work. Or that they just can’t bring their work phones and laptops home. That doesn’t help your company modernize and embrace a flexible work environment. Instead, the solution is to enable collaboration from anywhere by securing your devices—especially phones.

  • We’re all busy people. And it can be extremely challenging to stay on top of our work when we need to be in multiple places at once.

    For example, what happens when you’re away from your desk and you need to quickly join a meeting or touch base with a customer?
  • Microsoft 365 includes our hub for teamwork that lets you collaborate with remote team members in real time. When you join a meeting on Microsoft Teams, unlock greater creativity and innovation with tools that enable you to make your ideas come alive, collaborate on documents or presentations in real time, and share information in one central place. 

    Access and share content that’s at your fingertips with your colleague. With Microsoft Teams, you can quickly pull up information while you’re in a meeting and store it in the appropriate project folder right inside your Teams channel. 

    Connect and work together across multiple projects and get important notifications in real time. Create comments or action items inside different files or projects, send group chats, and invite specific people when you need their support. 

    Coauthor files simultaneously with productivity apps, like Word, Excel, and PowerPoint. Simply pull up the document or presentation that you need to work on with your colleague and start making changes together at the same time regardless of where you’re located. 
  • Now that we’ve established some of the ways Microsoft 365 can remove barriers to collaboration, we also want to address some critical dates that you should be aware of.

    End of support is here for Windows 7 and Office 2010. And that means that if your company is still using those services, you will no longer benefit from security updates, which puts your company at risk. With that in mind, now is the best time to get modern with Microsoft 365, which includes all the services you were previously using as well as a hub for teamwork and even greater security features.
