Integrated Booking Management
At its core HotelMate features an interactive booking grid
that will give you an excellent overview of all of your
bookings, past, present and future.
It allows you to create, edit and cancel bookings directly from
the grid as well as giving you the colour coded status of each
booking. You also have the ability to create bookings based
on the client type, whether it be for the individual guest or
their company. Making group bookings is simple with the
program letting you create a fully editable quote for the
client.
HotelMate has been developed to integrate with many
popular online booking sites, giving you greater control of
your online presence without the need for double handling.
Any changes made to your grid will be instantly reflected on
all of the booking sites you are associated with, also any
incoming bookings will be automatically added to your grid

All bookings made through the GDS & IDS distribution systems are automatically added to your HotelMate PMS system as
soon as they are created. There is no more need for double handling of bookings or manually adding them to your
HotelMate system. When a booking is made from one of the many travel agents systems connected to GDS, or via a top
online booking site or OTA, all your other connected GDS and IDS booking sites are then updated with the changes.
Additionally, any manual bookings you add to the HotelMate system will automatically send up to the GDS & IDS systems,
blocking out the availability for that particular stay.

Accounts and Finance
HotelMate lets you confidently split invoices, or transfer
charges between accounts.
You have the ability to create an invoice before the guest
has arrived and email it on after they have left. Billing
items and vouchers can be added easily to a guests
invoice during their stay.

Complete Guest, Company and Agent Database
With HotelMate you can quickly and easily create, edit and
search all of your client records, allowing for all their
important information to be retained for the next time they
stay.
The program lets you communicate via email with your
customers right from their record, and because all your
records are in one place there is no need for multiple
copies of incomplete data.
HotelMate also lets you keep important staff details on
record allowing you grant them access to certain areas of
the program depending upon their privileges.

Intelligent Reporting
Create relevant and easy to understand reports outlining
the occupancy or financial areas of your hotel, allowing
you to make intelligent decisions about you business.
Output your government requested monthly statistics
reports with all the relevant fields automatically filled in.
Daily Immigration Department reports of tourist details can
be exported automatically completed and ready for
signature/stamp to distribute to authorities and relevant
departments.

Telephone Monitoring with PhoneWatch
Record all out-going calls made from your guest rooms
with the PhoneWatch software, then automatically transfer
the charges directly to the guest's bill in MotelMate. The
programme lets you set different charge rates for local,
national and international calls as well as 0800 numbers
and calling cards.
The PhoneWatch plug-in is included in the MotelMate
package and will work with your existing PABX system.

HotelMate is supported by a full time help desk.
Our experienced technicians are fluent in all areas of the
HotelMate and TrafficMate packages.
Phone and email support is available between 8.30am
and 5.00pm, Monday to Friday.
Urgent Hotline Phone support is available 24/7 through
our HotelMate Hotline
Training programs and ongoing training are available, we
work with you to identify needs for training, scheduling,
participants and assist when you have turn-over of staff

lesson. VNC (Virtual Network Computing) allows our

easily accessed through the programme, giving you up to
date information on all its features. HotelMate users also
have access to video tutorials, as well as an online forum
that lets you discuss common industry topics and
upcoming features, with other HotelMate and TrafficMate
users.
