  3. 3. 3 of 27 VIMS – VoIP Information Management System Introduction Doxum have developed three main billing systems: VIMS, DBRS and DBRS-Call shop. VIMS is a billing system or end users of pre-paid calling card and/or ANI services on prepaid or post paid mode. DBRS – Dynamic Billing and Routing System. It is Three-levels billing system oriented to wholesalers to help them on traffic switching and bill every call received and/or sent. DBRS-Call Shop. It is the billing system for call shop operators and owners. VIMS VIMS is a powerful tool that lets you offer pre and post paid calling card services that leverage the full power of the next generation network. VIMS works on Linux operational system with data base on My SQL. VIMS has web access interface. It means you can mange you bulling system from any where with an Internet connection. VIMS can easily integrated in your web site adopting its look & feel and getting the data from the same database on real time The user access is manage based on user name and passwords, implementing different access levels for each user or group of users like, customer service, payments or sales. VIMS receives and manages authentication and authorization requests and CDRs (Call Details Records) from one or more RADIUS-compliant VoIP gateways which may be installed on a LAN or a WAN. Billing features VIMS perform AAA, authentication, authorization and accounting for each account. Using VIMS you can:  Manage the prepaid and postpaid modes simultaneously on the same server.  Set start date, end date, life time, rate tables, minimum balance and contact information for the account  Generate batches of accounts and export account details for card printing.  Manage the accounts for originating gateways that use your gateways for termination  Manage the rates per call destination.  Flexible and different type of charges based on call results or fixed (by calendar)  Manage the payment data when you receive payments from the customers __________________________________________________________________________________ Doxum Technologies Inc. - 2900 Bathurst St. Suite 1105 – Toronto, ON.   4. 4. 4 of 27 GENERAL CALL- PROCEDURE OVERVIEW 1. Gateway answers the call from the user 2. Gateway plays the greeting prompt 3. Gateway plays a beep when ANI mode 4. Gateway plays “Please enter your account number” (just for prepaid calling cards) 5. Gateway collects the digits of the account number dialed by the user or the origination number for subscribers 6. Gateway sends the account number to VIMS 7. VIMS verifies the account number from the Gateway 8. VIMS sends the verification result and account balance to the Gateway 9. Gateway plays “Your account balance is ...” (only for ppcc) 10. Gateway plays “Please enter the destination number followed by pound” (just for prepaid calling cards) 11. Gateways gives to the caller a second dial tome for the destination number 12. Gateway collects the digits of the destination number dialed by the user 13. Gateway sends the destination number to VIMS 14. VIMS verifies the destination number and calculates the maximum call duration 15. VIMS sends the maximum call duration to the Gateway 16. Gateway plays “The maximum duration for this call is ...” (just for prepaid calling cards) 17. Gateway routes the call 18. Gateway plays a beep when the elapsed duration of the call is one minute less than the maximum 19. Gateway waits for the end of the call 20. Gateway sends the CDR to VIMS 21. VIMS saves the CDR from the Gateway 22. VIMS perform the accounting, update databases and generate call report.   5. 5. 5 of 27 MAIN MENU: ADMINISTRATION You’ll find options related with the account financial information, such as: Add / Edit Accounts, Apply Credit / Debit, End User Statement and Manage Rates. ADD Account Used when creating ANI-based customers. It allows to enter all the information relevant to your customer for both billing and operational purposes. Each customer could have either home and office contact information. Phone Numbers are also used for authorization and billing purposes when the OCP field is checked. Origination Call Point (OCP) is a phone number (eg: 4167897660) where the subscriber is authorized to make the calls from. You can register up to 4 OCP, by checking the associated check box. Some times, when you sign up a customer from a different city, you may need to add the country code, i.e.: If you customer will make his/her calls from Montreal, you have to register the OCP as: 15147897660, when your VoIP Gateway / VIMS are located out of Montreal’s area code. __________________________________________________________________________________ Doxum Technologies Inc. - 2900 Bathurst St. Suite 1105 – Toronto, ON.   6. 6. 6 of 27 In addition, you may have a PIN number to authorize calls coming from a different number from those already registered. It means that if you want to make a long distance call from a non register number, for example a pay phone you will need your PIN to authorize and connect that call. Rate Set This field has the rates you will apply to the account you are creating. This rate set, will be the default table or default rates for this account. You may have as many rates set, as you want. You can also gather account based on rate set, (i.e.: silver, gold and platinum) or using different currencies depending on the country you are working with. Once you finish and click on “ADD” button, the system will indicate if the OCP already exists it won’t be added; if the PIN already exists the system will replace it for an automated PIN generated by the system. __________________________________________________________________________________ Doxum Technologies Inc. - 2900 Bathurst St. Suite 1105 – Toronto, ON.   7. 7. 7 of 27 EDDIT Contact Information: You can access the account information either using the PIN/OCP or the Account No. When you edit a customer you can up- date all the contact information, as well as the OCPs. DO NOT include character on the OCP fields, just the numbers. You can enable or disable the OCP by checking the boxes. Remember to “SAVE” the changes when you finish. EDDIT Account: This option gives you the accounting related information including: company, OCPs, status, current balance, and rate set applied. It also offers a link to make payment or debit payment for those cases you want to reduce the balance of the account.   8. 8. 8 of 27 (i.e. if you make a payment of $200 when you really want to make a $20 payment. You can make a debit payment of $200 and then make the $20 payment) New PIN: allows you to create or modify the PIN number in the same way as your banking card. Status, indicates the current status of the account. You can change it selecting the desired new status for the account. For example, if your customer does not pay on time, you can keep the account but changing the status to inactivate while payment is received. Minimum Balance is the minimum money necessary to make a call. It is very common when the deposit made by the customer is only used when he/she wants to terminate the service. If it is not the case, minimum balance indicate when it is time to feed the account. Current Balance shows the fund available on the account to make calls. Rate Set is the current rate table used to bill that account. It may be changed to new rate, set previously uploaded, or another already existing. At the button of the dialog box, you will find two links: save and Apply Credit/Debit. Save will keep the changes you made and “Apply credit/Debit” let you make payments on that specific account. Apply credit/Debit Credits and Debits can be done at the new transaction box. Always introduce POSITIVE values, it dos not mater if they are debit or credits.   9. 9. 9 of 27 VIMS will keep a track of payments, dates and the user who did each one. You can create a short note whit each payment when you consider it necessary. Search is a link to the search box that helps you to look for and find any transaction made by using generic parameters or just listing all the transactions. End User Statement It is a HTML document that can be generated for a specific period of time and end user account. Once it has been generated, you can click on “view” to review, print it or send it by e-mail by using e-mail application such as outlook or outlook express. Your account statements should look like this: It show the detail of each transaction, the total cost of the calls and the previous and current balance. Visit Statement It will help you to look for and find and end user statements previously generated. If you select an account, the system will brings you all the statements generated for that account and then you can select the one you would like to read in detail.   10. 10. 10 of 27 A rate table is a list of rates for different destinations. It contains the rates per minute and the way it will be applied. The rate table may have one or many rows. A group of accounts may share the same rate table and every account must have an associated rate table. You may have as many rate sets, as you want. You can also gather accounts based on rate set, (i.e.: silver, gold and platinum) or using different currencies depending on the country you are working with The default rate, is the rate table assigned to the account when the account was created. You can create a new rate table or replace an existing one by clicking on “Upload Rates” at the main menu - Administrative.   11. 11. 11 of 27 1. Click on “upload rate”, to name the new rate table. The name you will assign, is the name you will have for future references at VIMS. It does not mater what name you assigned to you excel file. Once you have selected the file and gave the name, click Create to continue with the step 2. 2. Upload rate. The Browse button will let you search in your computer to locate the excel file you want to upload.   12. 12. 12 of 27 Edit Rate set It will brings you a screen where you can change information (name and description) related with a specific rat table selected by company or RatesetID. If you select by company, VIMS will show you all the rate set associated to this company. Having the list of rate sets, you can select the one you want to edit.   13. 13. 13 of 27 Edit Rate Entry Using this option you will able to modify one single line or destination of an existing rate table (RateSet). For example, if your carrier gave you a new rate for one specific destination, you will not need to upload or replace the whole RateSet. You can edit the table using the option and edit the destination you want to modify. You can change the rates, the billing conditions or both for one destination. This option allows you to create new entries or destination for a selected RateSet.   14. 14. 14 of 27 Maintenance The menu maintenance provides access to several data base functions, system configuration and quick problem solutions tools. Manage Companies It is for system owners only. It let you create different companies under your main company, creating a second level for billing right bellow the main company. When you are a BDRS/VIMS owner, you are able to resell billing services and you can create multiple and independent sub-companies under your main company. Each sub-companies will have their own accounts and users/operators working separately. Add Operators Operators are the persons authorized to with the billing system BDRS or VIMS.   15. 15. 15 of 27 The permissions assigned to an operator are controlled by user name and password when he/she sign in. Manage Operators You can change, increase or reduce access levels for a selected operator on this option. You can also modify the company or account where the operator belong to. Add Equipment Equipments are also known as a VoIP gateways, gateways or end points (EP). There are two type of equipment, for termination and for origination. Equipment for origination are those used for end users or customers to make a call. Termination equipment are those used to send the traffic (calls) to; usually provided by your carrier.   16. 16. 16 of 27 Codec, ASR, PDD, Model, Serial and Brand are for information purposes and they are not mandatory fields. Important: you have to ensure that the equipment your are adding belongs to the account shown at the field “account”. Remember that one equipment can only be used for termination or origination. It means you have to define what purpose will you use this equipment for. If you want to use the same equipment for both purposes, you will have to create the same equipment twice, one for origination and one for termination. When you finish filling out the form, click in Save and the system will prompt you a confirmation box when it was successfully created, The system will also show you a list of equipments with the new one added to the list. Manage Equipments It shows a search box to select the equipment based on the account it belongs to, the IP or the alias.   17. 17. 17 of 27 Once you find the equipment to modify, click on “edit” to make the changes you need. RADIUS CLIENTS Allows to add / edit VoIP Gateways that supports the Radius protocol for the AAA process. When adding a Radius Client, you must select a previously created equipment, type the Radius shared secret and the IP Address (Useful for equipments behind NAT or private networks) . You can create different types of debits and credits concepts to define new possible transactions. Manage Services It is a tool when you need to reload or restart the Radius configuration.   19. 19. 19 of 27 Data Base Maintenance Data Base maintenance allows you to make back ups of your system. There are 3 types of back ups: full back up, CDRs back up only and Full back up (without CDR). Data Base maintenance option let you delete CDRs for a defined time frame, if you need to do it or to save storage room in your hard disk. Change Password It option let the operator to change their personal password.   20. 20. 20 of 27 Reports The system includes fundamental reports for your business management. Additional reports could be created by demand, (Ask your sales representative for details). Your reports will give you information about accounts, balances, batches, PIN numbers and CDRs among others. It also let you create reports to compare, for example, CDRs billed with different rate sets or just get the calls for an specific PIN number. Get CDRs per Account You will get the CDRs by selecting a PIN/OCP or account number. Based on a period of time the system will generate a report with the CDRs ad the cost per call using the default RateSet associated to the account. Bill CDRs Bill CDRs is a powerful tool that allows you to bill a group of CDRs based on the origination and destination gateways for a selected period of time.   21. 21. 21 of 27 One of the mayor advantages of this report is that you can bill the group of CDRs with 2 different rate sets simultaneously to compare it. It is particularly useful, for example, when you want to compare your call with the bill sent by your carrier or just to know what could be your net profit for a ANI/ PPCC operation Get Rates When you are using VIMS, you can apply multiples rate sets to different business applications. You may have pre-paid calling cards, ANI subscribers, etc, and each of them with categories, i.e.: silver, gold, platinum.   22. 22. 22 of 27 Get Transactions You can easily take a quick look of all your transaction, you can separate them by type (debit or credit) and get all the details for them by clicking on the transaction ID link at the left of the list. Get transactions keep a record of all the transactions made by single account, showing information like value, type of transaction when it was done and who was the responsible for it. Accounts List It is an easy access to view all the account in your system. When you are the owner of the VIMS, you can see all the accounts registered in your system. When you are in hosted mode, just an user, you will have access to the accounts that bellows to the specific company.   23. 23. 23 of 27 Calling Cards / ANI Prepaid accounts used by calling cards operators and ANI subscribers are smartly manage by VIMS. The powerful batch management concept, handle PINs separately from the account numbers providing superior advantage over other billing systems. You can now have multiple resellers or distributors and take control on theirs PINs separately. PIN / Batch Generator PIN generator will create a batch to locate and handle your PINs.. The batch will contain the serial numbers and PIN numbers according with your specifications. Pin’s specifications includes a description for your batch, the quantity of PINs to be generated, the face value (credit), the number of digits per PIN and the rate set you want to bill them with. It also includes the expiration date which is the date the PIN will expire if it was not used.   24. 24. 24 of 27 Download PIN / Batch Once you generated your PIN/batch, you may need to download it to you computer ready to send to your card printer. VIMS delivers a .txt file with two columns: serial number and PIN numbers. You can generate your PIN /Batch and download them at any time later. VIMS keeps a record of all the generated batches. Access Number Access number plays a key role in the prepaid calling card business. You can apply different rate tables, depending on the access number.   25. 25. 25 of 27 Manage Batches It will gives you a list of generated batches by clicking on “find” link; it also let you choose from an specific company or batch. This report offers a detail information about the batch and let you edit it for description modifications. It is very useful to remind the conditions applied when the batch was generated, like rate tables, quantity of PINS, etc. Manage Charges There are three types of charges: -Fixed Value: It always has the same value and it’s applied when the call finishes. -Percentage: Its value depends on the cost of the call and it’s applied during the process of the call. For example a value of 50% indicates that an extra 50% will be charged to the cost of the call. WARNING: Applying this charge will cause the calls finish before the time told by the IVR. -Periodic: It always has the same value and it’s applied the Days of the Week you specify. 0 is Sunday and 6 is Saturday. For example you could charge for database and hosting every Monday and Saturday by putting 16 in the field Days.   26. 26. 26 of 27 You can have as many additional charges and types as you consider necessary. You can apply them at any time and take them off too. Remember: at this point you’ve only created you charges. They have to be applyed to the batch. Manage Charges per batch It is here where you have to select the batch and apply the charge created.
