Background Growth in business and need for diversification generates a requirement to streamline “house keeping” House keeping constitutes mostly workflows that enable smooth operation and accountability without interfering with peoples core duties; Stores requisitions Purchase requisitions Cash vouchers Cheque vouchers Asset movement Asset relocation Leave requests Equipment logs Incident logs Access authorization Etc.

Motivation With all these processes and more being a necessary means to achieve business objectives, they can be a cause of frustration in a large organization especially with a wide geographical spread if they are not structured right. They also rely on physical availability of concerned parties. Archiving and therefore reference of historical information a nightmare-causing loopholes in ensuring compliance. Bulky storage required. Time consuming. Control and fraud detection is hampered because its easy to forge signatures and authorization.
  4. 4. Objective: Allow people concentrate their time and energies on their core function and take away unnecessary overheads. Do so at minimal cost. Cut to minimum, the usage of paper for any processes. (and therefore cost of stationery and related costs)
  5. 5. achievements Cut expenditure on paper significantly, in the region of 35-40% as well as related costs. Cut turn around time from hours and days in some cases to minutes. 100% transparency in workflow process- improving accountability. Archival and/or retrieval/reference is straightforward and much less bulky. Distribution and communication of documents so much more easier and accessible. Confidentiality and integrity of information.
  6. 6. Set backs Integration with existing systems. Managing user and management expectations for automation. Feedback mechanisms and resolution of outstanding issues. Insecurities with sensitive process like cash vouchers, Cheque vouchers.
