  • Hi, I’m Andrew Sims, the GM of Suite.Talk about what we’ve been doing for our clients and the issues solved using Office 365.
  • Who is Suite?Microsoft cloud partnerSpun out of Provoke to help SMBs get more for less from their IT setupWe advise, deploy, configure and support Office 365 for SMBsWe only do Office 365 so there’s no confusion between cloud and on-premises solutionsWe also have an application called Suite Files that takes all of the complexity out of SharePoint for users and synchronises selected files with iPhone and iPadSMBs are our target clients – we have a fixed price per user or mailbox rate card so SMBs know what they’re getting when they start out.Today we’re going to have a quick look at what Office 365 is and then 5 “case studies” of clients we have moved to Office 365 and what they’ve got out of it

  • Business Problem:Brand new businessNo money for a new infrastructure set upInitially located within a large government department with a very locked down infrastructure – not conducive to a “start-up”When moving out in early 2013 need to be able to move without issueMust scaleReceived the call on the Monday, needed email and document management for 2 groups (internal users and external users – board portal) by the FridayWhat we did:Setup an Office 365 account7 internal users, 7 external users to access SharePointDeployed email using Exchange Online, accessed through OWA (Standard Desktop – Office 2003, IE8)Document management with SharePointCompleted by the ThursdayBiggest ChallengesSetting up the DNS for the email, cutting through the red tape of who actually owned the domain and getting approval from the right people to make the changes – probably would have been done a day earlier if didn’t come up against thisExternal users – some had Live Ids and didn’t realise so had to help them through that process.Now: Running smoothly and the business is growing
  • Business Problem:Engineers inspected the current premises and deemed it an earthquake risk, everyone needed to leave that day and not return until the building was fixedOn premises server had all documents on itWe got a phone call around 2pm on the Friday asking to get documents into the cloudBackground:We setup Office 365 a few weeks earlierCompleted email and Lync – so no issue with theseClient was busy so we hadn’t got to the documents and were waiting for the end of the rep rugby season and some quiet to make the moveWhat we did:The server was about to be turned off so even if we had access to it there wasn’t time to migrate the 16,000 documentsImportant parts of the file system were copied onto a USB drive (16,000 files, 7 GB) and couriered to usWe spent just over a day analysing the data and ensuring it was all ready to migrate – there were a number of files that couldn’t migrate (e.g. thumbs.db files, executable files, files that were too large like a 130MB PowerPoint presentation, we did get a 70MB Microsoft publisher file to migrate, and files with long names or restricted characters)Then ran our Suite Moves migration tool and got everything into the Suite Files document management solution in 4 hoursNow:All documents are in the cloud and accessible from any device with a browser and internet connectionStaff can work away from the building until it’s fixed
  • Business Problem:Wanted a best of class, affordable email solution for the businessBackground:Accounting practiceWanted to be fully cloud basedIn start up so looking for cheap options so initially chose GoogleHad used an Exchange based solution in the past with other businesses – frustrated with lack of complete solution and the add-ons required to make it work somewhat smoothly, liked the previous Exchange experienceWith Office 365 Exchange Online had become an economically viable option for the businessWhat we did:Migrated 11 users from Gmail to Office 365Used the MigrationWiz tool – worked really well, took all contacts and calendar items from the Google accountThe business had a mix of Mac and Windows users so we helped with instructions and support to set up Outlook on both environments for those who used it, some also wanted to only use Outlook Web AppSet up share mailboxes and distribution groups as requiredNow:Got a fully scalable solutionJust bought another accounting practice and doubled in size, easily ramped upThe 12 new staff were provisioned with email in a matter of minutesNext job is to migrate their mail history, contacts, calendar items from the old business into Office 365
  • Business Problem:New health agencyNeeds to be promoted and provide information to the publicAlso needs to share information with working group members and provide email for management teamBackground:Another spin off from large government organisationThe internal infrastructure would prohibit the fast, cost effective creation of a solutionWhat we did:The usual Office 365 for email and document managementCreated a set of SharePoint team site for all the working groups and set up appropriate access permissionsUsed the SharePoint public web features to create a great looking web site that will be launched in the next few weeks
  • Business Problem:Lightning strike on buildingExchange server literally friedNeeded email running againWhat we did:Created the Office 365 account with all usersSetup email and had mail go to the Office 365 accountsWith the mail server restored we migrated all of the mail history into the Office 365 setup
