The Front of House Manager:
When a production / event is organised, everything that is not directly related to the performance
itself on the night, is down to the Front of House team, led by the Front of House Manager. This will
be my role for the Arley Hall Event in February 2014.
From the start, right through to the end of the planning process and on the evenings of the
performances, I will be responsible for the catering, monitoring of the ticket sales, car parking
organisation, the distribution of programmes and ensuring the guests on the night have a pleasant
evening and are happy and comfortable with the arrangements that will be put in place. I will do my
best to cater for everyone’s needs.
I must consider disabled parking and possibly parking for the elderly. This is important because I
must be able to make the evening as enjoyable as possible and putting the guests first is significant.
In relation to carparking overall, I am responsible for the smooth operation on the night. This means
I will have to organise the sign postage and be aware of the space and where is best for people to
park. To help me with this, I will liaise with the FoH manager from the last Arley event and ask for
advice as that ran particularly well and she gained excellent feedback. I would like for this to
continue so that in the future people are willing to return to the events we run.
I will be in charge of the box office / ticket collection on the night as the audience arrive. It is
essential that this is well organised prior to the event because it needs to be a smooth and easy
process on the night to avoid complications. This means I must monitor the ticket sales at Arley
closely and regularly to help me determine how many tickets have been sold and how many are left.
This then affects how many refreshments and programmes will be needed in total. Last time, the
ticket selling process was different and it was worrying on the night as we were not 100% sure how
many tickets had been sold. This time around it will change because we will know for certain and
only be collecting tickets. I am under the impression that tickets cannot be reserved, which makes it
simpler for us as it will be less to worry about on the door. I will ensure everything is organised well
by running throughthe order of what would happen if I were a member of the audience arriving on
the night. If I break this down clearly, I will be able to focus and not miss out anything important.
I will also be responsible for the smooth running of the interval, where we shall be providing
refreshments. This is a very significant role because the catering is always provided at the break and
has a big impact on the event as a whole – good feedback is important to us as a team;therefore
everything must be taken into consideration.
Firstly it will be my job to source the refreshments. I will need to confirm where they are coming
from and who will be ‘donating’ them. I must find out whether we can gain sponsorship or not. As
the event is an Arley event, not Priestley’s, the profit will not go to us, so sponsorship is not likely to
be taking place. However it would be better for us to try and get refreshments for free because it
saves reimbursing as much afterwards. Before I look for refreshments, I must determine, along with
my team, what foods and drinks will be sold. We must come to a sensible conclusion over what sells
best / what is the most popular. We can do this by conducting a questionnaire, or if there is not
enough time to do so we could ask for a variety of people’s opinions. When a catering company /
caterer has been confirmed, we must set a volume, plus a date and time for when the refreshments
(i.e. cakes) can be with us at college. This ensures that the caterer knows what they are doing, how
much they are making and when they must be done by. Effective communication is a key element
because it must be clear what is said, as we will not be seeing the person on a daily basis to check
that they can and definitely are able to help us.
I am also responsible for the equipment that we will take, use and bring home safely. I may need to
source equipment depending on what is required, such as pots, pans, cups, plates, napkins, trays,
table cloths and so on. Other pieces of equipment will be the float (to hold our money/change) the
clicker (to keep on track of how many people have arrived / are due) and radios (for communication
when on car parking duties.) I must stay on top of our budget spread sheet, which is particularly
relevant here because however much the refreshments cost the caterer to make, we must add it as
part of the budget. Likewise if anything needs to be bought, we need to find a donation or be
reimbursed. This is important because it clearly displays how we control our money as a team and
ensure that we do not spend too much on unnecessary items, that could have been provided
To help me stay organised and on track, I will make a very detailed checklist which I can add to when
needed. This is a learning curve from the last event. It was apparent that something that could
improve this time around could be more in depth, double checked, and edited checklists.
Lastly, and arguably the most importantly, throughout the entire process I will be responsible for a
team of FoH members. I will need to delegate roles appropriately and lead them through the
planning process. This team will also be helping me on the night, I must organise who will be doing
what in advance so that it is clear what each individual’s tasks are and that everything is done to a
In addition, I must ensure our deadlines as a FoH team meet with what is agreed with the Events
Manager. We cannot afford to miss any deadlines that are set because it has a knock on effect for
other teams in other departments. This can be achieved by working together as a team and being
helpful and supportive of one another. We will also be careful as to stay realistic with setting
deadlines and the amount of work that has to be done by a certain date. If I set too much, there is a
high chance that we can fall behind.
For the audience’s safety, it is essential that we abide by the health and safety rules and regulations.
This will be done by confirming our ideas with the events manager and a member of staff if need be.
