By using a simple structured scheme to title policy, procedure and guideline documents we can support rapid and effective retrieval. This low cost intervention can work within the limitations of guideline database tools and be progressively deployed.

How do we ensure people can locate the guideline they need quickly? Complicating factors? • Idiosyncratic guideline management system • Close to 1,500 documents in system • No standardisation of terms describing different types of document • Guidelines are precious to their authors Approach to improvement • Examine search interface to see if it can be improved • Liaise with librarians who have been working in this area (identified via forthcoming Policies, Procedures and Guidelines Toolkit) to seek good practice • Ask around on LIS-MEDICAL for other experience • Examine sample of titles of documents in system [topic word] and [what is happening] GSTT [department] [document type] [year of creation] First word of title is the main topic What is being done about the topic All titles include the Trust or Network name – department only added for non trust wide documents Standardised for clarity Year supports rapid assessment of likely currency Sample simplified titles Before: Blood Transfusion Manual - Blood Transfusion Clinical Policy: Procedure and Guidance Document After: Blood transfusion GSTT Manual 2016 Before: Clinical management guideline for adult patients with hyperkalaemia After: Hyperkalaemia GSTT Guideline 2016
