APSPH Reporting Procedure

  1. 1. Chart 2 Chart 3 Chart 5Chart 4 The APSPH Reporting Procedure Is the report about an establishment or person hiring horses without a licence? Is the report about concerns for the safety and welfare of children? Is the report about misconduct, bad practise or misuse of membership? Is the report about Pony Welfare? All reports made the APSPH will be dealt with as follows. Reports can be made anonymously. The nature of the report kept confidential unless other authorities and governing bodies need to be notified. To make a report it must be done so in writing to the APSPH either by letter or email

For all other reports of misconduct or bad practice please email enquiries@apsph- polo.org.uk Please send your report with details about the date, time, location, the name of the horse/s provider and details of your concern to enquiries@apsph-polo.org.uk Please include contact details if you have them of the person who owns the horse you are concerned about. We would recommend you also report the issue to the HPA Welfare Committee Is the owner of the horse a member of the HPA? Is your report about Pony Welfare? YES NO YES NO Are you concerned about the immediate safety of minors or children in the care of a pony provider? Contact your local authority or the police immediately with the details of your concern. Send a report with details to enquiries@apsph-polo.org.uk AND YES Is your report about a member of the APSPH? YES NO NO If you are concerned that someone is hiring ponies without a Riding Establishment Licence contact either your Local District Council or email equiries@apsph-polo.org.uk AND If you need to make a report to the APSPH The APSPH Reporting Procedure
  3. 3. Is the report about Pony Welfare? Is the report about a member of the HPA? Does the report involve one of the directors? The report will be circulated around all directors not named in the report (Marking communications as Private & Confidential) One director will be appointed to make first contact with the persons named in the report to investigate the report Does the final directors report include serious unresolvable welfare concerns? The directors will inform the HPA of the report and work with them on the report Go to chart 1 The establishment or person will be contacted. They may be asked to provide a veterinary report to show the fitness of the horse/s Is the reported establishment or person a member of the APSPH? The establishment or person will be offered advice and guidance to avoid future reports NO YES YES NO YES YES NO NO YES Chart 2
  4. 4. Is the report about misconduct, bad practise or misuse of membership? Go to chart 1 Is the report about a member of the HPA? Does the report involve one of the directors? The directors will inform the HPA of the report and work with them on the report The report will be circulated around all directors not named in the report (Marking communications as Private & Confidential ) One director will be appointed to make first contact with the persons named in the report to investigate the report The establishment or person will be contacted and advised of the report and offered membership/ help/ support and advice on their legal responsibilities Is the establishment or person reported a member of the APSPH? The report will be filed as resolved and no further action taken Does the final directors report include serious unresolvable concerns? The directors will inform the Local District Council. In the case where the directors feel the report is serious enough membership may be revoked. NO YES YES NO YES YES NO YES NO Chart 3

The directors will inform the HPA of the report and work with them on the report The report will be circulated around all directors not named in the report (Marking communications as Private & Confidential) One director will be appointed to make first contact with the persons named in the report to investigate the report They will be advised about the Riding Establishment Licence and the Animals Act and offered advice and guidance to obtain their licence if they do not have one. If they do not show intension to licence then the APSPH will report the establishment to the Local District Authority Does the reported person or establishment have a licence? They will be invited membership to join the APSPH If they are based or are part of an HPA Affiliated Club the HPA will be informed NO YES YES NO YES NO Chart 4
  6. 6. Is the report about concerns for the safety and welfare of children? Go to chart 1 Is the report about a serious concern of immediate danger? The person reporting the issue must be advised to contact the local authorities and the Police immediately and the Director will also do the same Is the report about a member of the HPA? Does the report involve one of the directors? The directors will inform the HPA of the report and work with them on the report The report will be circulated around all directors not named in the report (Marking communications as Private & Confidential) One director will be appointed to make first contact with the persons named in the report to investigate the report The establishment or person will be contacted regarding the report and they will be asked to provide further details and evidence to the contrary. Does the final directors report include serious unresolvable welfare concerns? The establishment or person will be offered advice and guidance to avoid future reports The directors will inform the Local District Council NO YES NO YES NO YES NO NO YES YES Chart 5
