Project Statuses <ul><li>Wait / Initiated : The project has been initiated with heading information and is waiting to be started </li></ul><ul><li>Started : The Workflow is started and activities has been activated </li></ul><ul><li>Closed : Project Closed </li></ul><ul><li>Rejected : Project Rejected ( Workflow is terminated ) </li></ul><ul><li>Hold : The Project workflow is on Hold and only the Manager can restart it </li></ul>

Project Phase & Objects Statuses <ul><li>Project Phase </li></ul><ul><ul><li>In Progress : Document Input is required </li></ul></ul><ul><ul><li>Completed : The Phase has been completed </li></ul></ul><ul><li>Objects / Documents </li></ul><ul><ul><li>Available : Can be seen by everybody but the activity cannot be completed if the document is mandatory ( must be approved ) </li></ul></ul><ul><ul><li>Approved : Can be seen by everybody and the activity can be completed </li></ul></ul><ul><ul><li>Rejected : The document is not valid, another one has to be entered </li></ul></ul><ul><ul><li>Not available : The document can be seen only by the author </li></ul></ul>

    13. 13. Plone PDIS Portal – Business Folder <ul><li>The Business Folder is the container of all Project objects related to one business. A user that has a local role of “Manager” inside this folder has the ability to initiate new projects and organise the entire folder structure. </li></ul>
    14. 14. Plone PDIS Portal – Project Folder As default view the Project folder contains all heading info, a phase summary view and the list of published documents
    15. 15. Creating and Running a Project <ul><li>Create a project </li></ul><ul><ul><li>Initiate : Inside a Business folder choose Add new element > Project </li></ul></ul><ul><ul><li>Enter ALL Mandatory information : Complete all prompts marked with a red square </li></ul></ul><ul><ul><li>Select Project Team : At least one user for each dept involved must be selected </li></ul></ul><ul><li>Running the project </li></ul><ul><ul><li>Once the Project has been created it turns in “wait” status, this means the creator must “Start” the project before the workflow proceed to the first phase of inputs </li></ul></ul><ul><ul><li>From now on all operations can be performed from : </li></ul></ul><ul><ul><ul><li>The Workflow menu </li></ul></ul></ul><ul><ul><ul><li>The My Tasks view </li></ul></ul></ul>

The Workflow menu <ul><li>Once the Project is created and the workflow initiated, all workflow actions for the logged in users are under the workflow menu </li></ul><ul><li>The Project creator has the “ Project Status Control ” series of actions to start, hold, reject or close the project anytime </li></ul><ul><li>Workflow Tasks are assigned to users via local Roles/Groups : for example “Marketing Input for Phase 1” is assigned to the Marketing group, and only users assigned to this Role/Group can perform it </li></ul><ul><li>All actions are performed via the workflow “Action Screen” </li></ul>
