  2. 2. Welcome, we have assembled to learn to use MS Project 2010 from effort estimations to planning.<br />Welcome and Introduction<br />
  3. 3. Templates would provide examples for almost all kind of plans, so its good to go through those first.<br />Templates<br />
  4. 4. You can import tasks from Excel and Word.<br />You can also simply copy the list and paste in MPP.<br />You need to map the fields between excel and MPP to import the tasks.<br />You can similarly export to pdf, excel etc.<br />Import & Export<br />
  5. 5. Date would automatically start from today for Project plan, which can be changed as needed.<br />You can change things using proect>project information tool.<br />Start date should only be provided, let MPP decide the end date.<br />Defining project information<br />
  6. 6. Either new calendar can be made or existing can be changed using Project>Change Working time.<br />Either holidays can be accommodated using Exceptions, or overtime can be added using Work weeks tab<br />Defining project calendar<br />
  7. 7. Manually and auto scheduled task<br />With manual task, we can put any text instead of duration<br />Tasks can be organized using Summary tasks.<br />We can also have recurring tasks, if need be.<br />A non-budgeted task can be made inactive<br />Tasks, Inactive tasks & Summary tasks<br />
  8. 8. Milestone represents a work accomplished like customer acceptance etc., milestone do not have any duration.<br />Milestone<br />

All resources can be seen at View>Resource sheet<br />Resources work availability should be set in maximum unit column e.g. 70% of leads.<br />Also cost of resources can be put here.<br />Resources could be work, cost or material.<br />Resources normally gets added automatically but its not a good way. If you want new resources not to be added to the resource pool automatically, open, file>options>advanced and deselect add new resources and tasks check box<br />Resources<br />
  13. 13. Duration = Work units<br />E.g. if resource works for 50% units then task of 40 hrs is calculated to 80 hrs by MPP<br /> Thus, 80 hours = 40 hours 50%<br />Work = Duration X Units<br />E.g. If we enter task duration for 5 days at 40% resource usage, MPP would give output of 16 hours <br /> Thus, 2 days = 5 days X 40%<br />Units = work duration<br />E.g. MPP calculates units if work is provided 40 hrs and duration 160hrs.<br /> Thus, 0.25 = 40 hours 160 hours<br />Duration, work and units<br />

If hours assigned are higher than the maximum available time for a resource, over-allocation occurs.<br />Resource over-allocations can be analyzed using resource usage and resource sheet.<br />In resource usage view, all over allocated resources can be filtered.<br />It can be fixed using task inspector, team planner etc.<br />Resource over-allocations<br />
  15. 15. Whenever resource assignments are changed, MPP will trigger to select one of the three options. We need to click the correct option, as per our requirement there.<br />Resource assignments modifications<br />
  16. 16. Using team planner, one can assign tasks to users using drag and drop.<br />This can also be used to fix over-allocations of resources.<br />Team planner<br />
  17. 17. Timeline can be viewed at View>timeline.<br />We can add milestones on timeline and then copy that on email for providing visual treat to client.<br />Timeline<br />
  18. 18. One can create multiple project plans and then to analyze across the projects, one can create master plan and then add all projects plan as sub projects to that.<br />Master & Sub projects<br />
  19. 19. Resources can be leveled, however it can dangerously change the whole if whole project leveling is requested. Leveling delays and splits tasks to remove over-allocations. <br />For that leveling should be done small portion of plan.<br />Leveling resources<br />
  20. 20. Plan can be baselined from Project>Set baseline. There could be 11 baselines for a plan.<br />Scheduled is current plan, that may be same or changed per the progress going on.<br />Also actual can be used for inputting actual values, and then when required variance reports can be generated.<br />Baselined, scheduled and actual<br />
