  • 3. Where Did All These Documents Come From? Vincent A Alascia Az State Library, Archives and Public Records State Documents Librarian We received documents from mail, email, donations The rest are from the back-file Currently at 42,236 +/- Since July 1 we have cataloged 8.96% of it (about 4,100 documents)
  • 4. Where Do They Go? Vincent A Alascia Az State Library, Archives and Public Records State Documents Librarian Mail / donations processed within the week ahead of the back-file We request 2 copies of every document Record Copy – Offsite Storage Filing Copy – Accessible by ILL Online Copy – Arizona Memory Project (when received)

Record Copy Vincent A Alascia Az State Library, Archives and Public Records State Documents Librarian We currently have 26,302 items in offsite storage boxes In 2009 we implemented a new Offsite storage procedure to better acocunt for items currently we have 215 boxes with 10,712 docuemnts We will be adding the remaining 471 boxes over time

How the Procedure Works Vincent A Alascia Az State Library, Archives and Public Records State Documents Librarian Remote items are separated and then checked out to designated record copy boxes Each box has a unique number such as REC01578 When Searching for an item you will see in the catalog that it is held Remotely by its location designation: REMOTE STORAGE

  • 11. Filing Copy Vincent A Alascia Az State Library, Archives and Public Records State Documents Librarian Our State Docs area holds 44,778 cataloged items In addition there is the back-file of 42,236 documents for a grand total of 87,014 documents
  • 12. Digital Reports Go Online Vincent A Alascia Az State Library, Archives and Public Records State Documents Librarian All electronic reports go right from the inbox of, reports@lib.az.us to the Arizona Memory Project (AMP) We link the record in the online catalog to AMP via an 856 field
