One of the most important elements of any business is the ability to manage
assets. Asset tracking software can help to improve the efficiency and profitability
of business in nearly every industry. Each organization establishes its own unique
structure and configuration for physical assets. Assets can be centrally located or
widely distributed. They can be fixed, movable or even mobile. They can be
moved to new location, replaced, swapped and removed for repairs. Additionally
assets can be mechanical, electrical or civil. A large enterprise may have thousand
of individually numbered assets performing one function in a process of many
functions. Therefore proper asset management is essential for the production of
quality goods and services

    • Current System Typically a unique identification number will be assigned to each asset after procurement. All details related to the asset are maintained in a database against the asset ID. The asset ID is written on the asset or is printed on a paper label and pasted on the asset. The identification and tracking of assets are done manually and the physical stock reconciliation is also done manuallyTechnology Radio frequency identification (RFID) is a generic term that is used to describe a system that transmits the identity (in the form of a unique serial number) of an object or person wirelessly in a tag, using radio waves. Tags or Transponders are micro chips with an antenna which have a unique Identifier Number and memory which can be programmable according to the customer requirement www.arumansoft.com 3
    • Proposed SolutionAsset Tagging • When new assets are received, all necessary details will be entered in to the application software • A unique asset ID will be generated by the software for the asset • This asset ID will be programmed to a RFID jewelry tag using a desktop RFID encoder or by using a RFID enabled barcode printer • Encoded tag will be then attached to AssetAsset Transfer •When assets are transferred from one location to another within the organization, a portable RFID reader will be used to read the asset ID’s of assets transferring • Asset id’s will be transferred to the application software and location wise inventory in the asset management software will be updated www.arumansoft.com 4
    • Physical Verification • Stock taking is done by using a portable RFID handheld reader • If each location is identified by a RFID tag, location id will be first read by the RFID reader • Asset id of all assets belonging to this location will be read and these data will be saved in the portable reader itself • This process will be repeated for all locations • Collected data will be transferred to the application software and report containing the missing or misplaced assets will be generated from the softwareAsset Search • An asset can be searched by keying in the asset ID in the portable handheld reader and reading the probable assets. • When the keyed asset id matches with the read RFID tag on the asset, the reader produces beep sound indicating that asset has been found. www.arumansoft.com 5
    • Asset Tracking• Asset movement from one location to another can be tracked by installing theRFID gate reader on the entry/exit points of important locations• When the assets are moved through the gate, the reader will automatically readthe asset ID encoded on the asset tag• This data will be then transferred to the application software and locationinformation will be updatedOffline Reading • Other than asset ID, RFID tags can also store key data which can be read without the connectivity to data base • User can know the important specifications such as Warranty expiry date, calibration due date, Preventive maintenance due date etc by reading the asset tag using portable hand held reader. www.arumansoft.com 6
