Fast Facts <ul><li>What is Workgroup Edition? </li></ul><ul><li>Workgroup Edition is “instant networking“ software that allows you to instantly and securely communicate, exchange data, and share resources with others using the wireless LAN (WLAN) capabilities of your mobile devices. </li></ul>Click for next slide <ul><li>Who uses Workgroup Edition? </li></ul><ul><li>Workgroup Edition is designed for mobile professionals who need to interact with their team members when they are working together out of the office. </li></ul><ul><li>How is Workgroup Edition unique? </li></ul><ul><li>There’s no need for central access points, servers or Internet connections. </li></ul><ul><li>Workgroup Edition creates peer-to-peer collaborative networks on the fly whenever and wherever you need them. </li></ul><ul><li>Bundled peer-to-peer tools enable you to securely share folders, send messages, transfer files, share Internet connections and printers, and synchronize databases. </li></ul>

Working in the Office is Easy <ul><li>Alan is working on a project with his team and needs to share data when it’s created. </li></ul><ul><li>Because they have access to a LAN or wireless network at their office, they can easily store project data on their file server, print to a printer and send files and messages to each other using Email. </li></ul><ul><li>But what happens if Alan and his team need to work at a client site where they cannot get a reliable, high speed Internet connection? </li></ul>Click for next slide Wi-Fi Access Point Server
  4. 4. Create an Instant Network! Instant Network button Click for next slide <ul><li>Alan arrives at the client site where he and his co-workers are given temporary offices near each other. </li></ul><ul><li>Although they still need to share information, they cannot easily get VPN access to their office network. </li></ul><ul><li>With Colligo and wireless laptops, all they need to do to connect together is click on the “Instant Network” button at the top right corner of Workgroup Edition. </li></ul><ul><li>Note: Colligo also works over a standard WiFi access point or Ethernet hub </li></ul>

Instant Connectivity <ul><li>This will automatically configure each of the wireless LAN connections in their laptops for ad hoc mode. </li></ul><ul><li>Colligo does not affect the settings you use for Wi-Fi back in the office. </li></ul><ul><li>Now Alan is connected directly to his co-workers’ devices and they can get started. </li></ul>Click for next slide Note: The default Instant Network doesn’t use Wi-Fi security. Set up secure Instant Networks by clicking Manage > Options > Instant Networks This icon is displayed when you are in an Instant Network

Discover Nearby Devices <ul><li>Presence awareness: Colligo will automatically “discover“ nearby users. </li></ul><ul><li>Colligo can detect whether the users are in “do not disturb,“ “away,“ “idle,“ or “available“ mode. </li></ul><ul><li>Device-type awareness: Colligo can detect whether the users are using a desktop/laptop, Tablet PC, or a Pocket PC handheld. </li></ul><ul><li>Alan can instantly see all the nearby people also running the Colligo software. </li></ul>Click for next slide

Authenticate Users Italicized users have not been authenticated <ul><li>All data sent or received through Colligo is protected with SSL encryption, an industry standard used by large financial institutions. </li></ul><ul><li>Authentication allows Alan to confirm whether or not a user is indeed who they claim to be. </li></ul><ul><li>This will help prevent people from impersonating your team members in order to gain access to confidential information or resources. </li></ul>Click for next slide This icon is displayed to show that SSL encryption is on

Authenticate Users Anne and Alan read their code words to each other and verify that they match “watermelon kilo dog watermelon kilo bird“ <ul><li>The first time you communicate with someone you are required to authenticate. </li></ul><ul><li>Colligo’s codeword authentication method requires that you and your team member verify each other’s identities through unique code words generated by combining your individual certificates. </li></ul>Click for next slide

Create Groups Click for next slide <ul><li>Groups enable Alan to perform one action with several team members simultaneously </li></ul><ul><li>Create new groups through the Manage menu or by right clicking in the Group Membership pane. </li></ul><ul><li>Drag and drop Online Users onto the group name to populate it. </li></ul>Alan drags Marks name over the “Smith FS Review” Group to make him a member The “Rooms” feature is another way to filter Online Users into groups. Enable through the Manage > Options menu.

Three Ways to Access Colligo Tools Click for next slide Right Click one or several users to get a menu of functions you can perform with them Right Click groups to get a menu of functions you can perform with selected groups of users Left Click Actions to get a menu of functions you can perform with all users

Send Sticky Notes or Chat <ul><li>Sticky Notes are a quick way to send a short note. </li></ul><ul><li>You can also send a drawing or attach an image file to your sticky note. </li></ul><ul><li>“ Broadcast” sends a sticky note to all users. You can also just send to a select group. </li></ul><ul><li>Chats allow you to engage in a private live discussion with multiple people at once. </li></ul><ul><li>Chats are time stamped and can be saved in the Transaction History for later reference. </li></ul><ul><li>Files can be dropped into chats and are sent to all participants. </li></ul>Click for next slide Sticky Note Chat

Send Files <ul><li>Need to securely exchange files on the road when no Internet connection is available? </li></ul><ul><li>Colligo allows you to easily send files to another user or group wherever you may be. </li></ul><ul><li>Files can be transferred by dragging and dropping them over a user or group or by choosing “Send Files” from the Actions menu. </li></ul><ul><li>Optionally, files can be compressed to accelerate transfer speed. </li></ul>Click for next slide Choosing “Send Files” from the Actions menu enables Alan to pick files to send to Mark Mark is alerted to Alan’s request to send files and can choose the location where they are put. If he wants them in the “My Received Files” folder he simply selects “Accept”

Share Folders <ul><li>Mark can choose specific folders to securely share with his team members. </li></ul><ul><li>Shared folders may contain files or other folders, enabling large amounts of data to be shared. </li></ul><ul><li>Folder sharing is secured with IPSec. Shared folders are available only to authorized users and shares go away when you exit Colligo. </li></ul>Click for next slide Mark can share out a folder on his hard drive to Anne and Alan Anne and Alan map Mark’s folder as a shared drive, enabling them to run client-server applications on their ad hoc network Z: Drive Application on Alan’s laptop File server on Mark’s laptop Note: IPSec and drive mapping are available only if you are on Windows XP Pro or 2000.

Share Folders <ul><li>To share folders in Colligo, Mark clicks the Manage menu. </li></ul><ul><li>Next he adds folders, chooses the default drive letter and gives Alan access. </li></ul>Click for next slide Alan mounts Marks shared folder as the Z: drive by double clicking it Mark clicks to add shared folders He sets access rights to the folder <ul><li>Alan can then see Marks shared folders by clicking on the “+” sign beside his name in the Online Users pane. </li></ul>He chooses the default drive letter

Share Printers <ul><li>Allows users to print their files on printers shared by other Colligo users. </li></ul><ul><li>Set up just like shared folders by clicking the Manage > Shared Printers menu. </li></ul><ul><li>Print from any application as if the printer is on a network. </li></ul>Click for next slide Mark shares out his printer as “Mobile Printer” Alan sees Mark’s printer and installs it by double clicking it Alan can then print by simply choosing File > Print in most applications Note: File > Print is available only if you are on Windows XP Pro or 2000.

Share Internet Connections <ul><li>If the team is given a single Internet connection, one member can share it out to others. </li></ul><ul><li>Just double-click on the Shared Internet icon to access the connection. </li></ul><ul><li>Note: Shared Internet is not supported over a dial-up (telephone line) connection. </li></ul>Click for next slide Alan shares out his Internet connection to his team members over the Colligo Instant Network Pauline can see that Alan has a shared Internet connection and double clicks it This icon is displayed to show when you are sharing someone else’s Internet connection

Share Internet Connections <ul><li>To share out your Internet connection click Actions > Share Internet > Share. </li></ul><ul><li>Other users that would like to share your connection may only do so with your permission. </li></ul><ul><li>Others cannot piggyback on your VPN connection but may access their own VPN through your connection so they have a secure link to the office server. </li></ul>Click for next slide This icon is displayed to show when you are sharing out your Internet connection When Pauline double clicks on Alan’s Internet connection to request it, he is notified and can choose to accept it or decline it

Share Outlook ® Calendars <ul><li>Book meetings through Microsoft ® Outlook ® even when you do not have access to your Exchange ® server by right clicking on a user. </li></ul><ul><li>Colligo’s unique Meeting Manager allows you to instantly see the meeting slots when all members are available. </li></ul>Click for next slide He can instantly see the times when both he and Mark are available to meet Alan looks for 1 hour meeting slots

Share Outlook ® Calendars <ul><li>The calendar view enables you to view the group’s free time slots (not full calendar entries) for a particular week and pick a time to meet. </li></ul><ul><li>Meeting requests can then be sent directly to all group members. </li></ul>Click for next slide By clicking on a time, Alan can see that Mark is busy but cannot see other contents of his calendar

Transaction History <ul><li>Optional transaction history enables users to save a record of all file transfers, chats and sticky notes. </li></ul><ul><li>The transaction history is accessed by clicking File > Open Transaction History then choosing the type of transaction and date. </li></ul>Click for next slide Alan has a date- and time- stamped history of all his communication with Anne and Mark. Note that the chat log records his file transfers as well
