  • MicrosoftOffice 365 Advantages:Microsoft Office 365 is an all-in-one solution. As opposed to box.net, 365 covers not only file-sharing but also communication tools (requirement 1) and other apps. Furthermore, Microsoft can be considered as a ‘trustworthy brand’ because of other products and services they deliver (source?). 365 will be easy to integrate within our company because our people are already familiar with most of the Microsoft software such as Word, PowerPoint etc. 365 reduces the complexity of the IT systems this way, as Underwriters Laboratory, a company showed: they These and other tools included in the package Microsoft offers, also allow for working offline, as programs as Word can be accessed from multiple mobile devices that do not have to be linked to the internet in order to work.Another advantage is that using Office 365 will enable us to store our documentation in the clouds. This means that it reduces costs that otherwise had to be spend on servers or hardware. There are case studies on for example hhpberlin (a fire safety consulting company) that state that the company reduces its costs by 36% after they implemented Office 365 (http://www.microsoft.com/casestudies/Microsoft-Office-365/hhpberlin/Fire-Safety-Firm-Expects-to-Reduce-Costs-by-36-percent-with-Cloud-Based-Solution/4000009919, 2012) and UL (Underwriters Laboratory) cut IT-costs with 50% by using this tool.The IT department will be in control at our company (???)LOCKED INUsed by MTV , Pepsi Cola and parts of Sony (only use SharePoint stuff)Disadvantages:The main disadvantage of 365 is that it has a user based pay per subscription policy. Costs will thus be quite high for medium to large sized companies, even though it might save a company costs by reducing the usage of their servers/hardware.Another disadvantage of 365 is that it is tied to hardware (??) -Integrated with all other MS apps – no need for much training (trustworthy brand?)- Allows for IT department to retain same powers and functions- Allows for functioning offline- Allows you to reduce physicals costs on servers/upgrading etc. Isn’t this the case with every technology?DisadvantagesCosts, but lower costs because less costs on hardware- Still tied to offline hardware i.e. laptops, not usable on every random pc- Problems associated with outsourcing IT security to other organisations i.e. sensitive data
  • Advantages:
- Good all-rounder - a holistic web portal for all business, productivity, collaborative and single-user tools.
- Designed specifically for group collaboration - chat, mail, docs, projects, calendars, wiki's, storage, meetings are all completely integrated.
- Huge range of business apps, designed to make specific tasks easy for remote teams e.g. invoicing, recruiting, reports, HR etc.
- Custom apps - open source + API's allow for design of custom applications that link in with existing tools e.g. company servers, MS office etc.
- Zoho creator allows those who aren't experienced in code to design their own custom apps, that perform specific functions.
- Designed to solve the issue of having different software programs, installed in different locations, without needing to invest in building a totally integrated system. Trying to eliminate the need to buy pre-packaged 3rd party software.- Allows for online creation/editing of most common document formats-24/7 support
- No need to upgrade or update software provided by Zoho. Constantly being updated and refreshed with new features.- Used by lots of big companies e.g. Sony, Lenovo, Pixar, Harvard University, Cambridge University, Ikea, Paypal, BBC...
Disadvantages:
- Web apps can take some time to learn and adjust to
- Editing in web apps can be limited > advanced/powerful tools still need to be used on a PC
- Can require substantial time and skill to integrate into programs such as MS Office to the same degree as solutions provided by Microsoft
- Has had some issues with handling the editing of large files (this is being worked on)
