  • These are the challenges we’re seeing within the organizations of our customers
    (143) As we all know email is the most common source of unstructured content and the most prolific from a risk perspective and over the next 2 years it continues on and is expected to hit 143 billion.
    (6) Enterprise data volumes grow as well…to 6 trillion terabytes this year alone.
    (80) 80% of this data is not in rows and columns…it’s unstructured. Email, files, SharePoint content, digital media, social and web content etc.
    (43) Complicating matters further is that nearly half of corporate data is stored in unmanaged repositories like file shares.
(5X) Gartner projects that to keep pace with this kind of growth, enterprises are going to need to continue to reinvest in their information governance programs over the next couple years.
(31 and 1 in 5) Stemming some of this tide, organizations are considering cloud services help streamline and predict costs around archiving, email systems and even their ERP environment. It’s no small number and it continues to grow – one upward trend sees nearly 1/3 of organizations rely on cloud archiving…Office 365 is another. Microsoft projects that by 2016 nearly 20% of Exchange mailboxes will be in the cloud.
You probably have many of these challenges, and trying to solve them all at once isn’t usually an option. So let’s concentrate on how you can navigate through and start to tackle the 4 most prevalent issues.
Let’s look at how you can:
address the velocity of content growth
deal with a more complex regulatory environment
adapt to the changes in how users are interacting and expect to interact with content
employ strategies to govern all enterprise information regardless of where it resides
  • What are those key elements that you, as an organization have to navigate/overcome .

Addressing the Velocity of content Growth
    1. Corporate Content is expected to be 50x greater by 2020 according to the IDC group.
92% of corporate data has been created over the past two years alone, so Enterprise data volumes continue to grow …. and 80% of this data is not in rows and columns…it’s unstructured.
Email remains the most common source of unstructured content and the most prolific from a risk perspective and over the next 2yrs it continues on and is expected to hit 143 billion. (Radicati - Information Archiving Market, 2012-2016)
Consider how much your Content Server implementation has grown since you first deployed, how much redundant content exists here and in local file shares.
90 percent of unstructured information globally will require formal governance and management by 2020. (According to IDC “The 2011 Digital Universe Study," June 2011)
Information Governance challenges are further complicated by this sprawl and growth of content – and the volume and variety of information requiring formal retention and management are also increasing dramatically.
Regulatory reform worldwide continues to evolve and impact how content is governed. With an increasingly global economic system, for those of us operating internationally, the complexity of adhering to a variety of national regulations can also have a profound effect. There are thousands of regulations worldwide. From HIPAA to FATCA, Federal Rules of Civil Procedure to Dodd Frank the need for strategic information governance practices rises to the forefront.

Dealing with a more complex regulatory environment
    2. Regulatory scrutiny and enforcement are increasing. A few examples from a recent report from the IGI: (The Impact of Global Legal and Technology Changes on Records Management and Retention http://iginitiative.com/report)
A US financial regulator collects its largest fine in history for email retention violations ($7.5 million),12 then only weeks later surpasses that record by fining a different brokerage firm $9.5 million for “failing to obtain or retain required records,” including email and text message data.
A global bank is fined £3,076,200 by UK regulators because its “computer-based record system” was inadequate, among other things.
A drugstore chain pays $80 million because of “an unprecedented number of record-keeping” and other failures – the largest settlement of its kind.
A German shipping company pays $10 million to US regulators for a “pattern of falsifying records.”
In Hong Kong, a securities firm is fined $1.3 million and a senior executive is banned from the business due to recordkeeping and other failures.

Adapting to the changes in how users are interacting and expect to interact with content
    3. The way users consume and interact with content is changing.
Mobile, social, consumerization and the cloud are transforming what users expect from applications

Instant access, anytime, anywhere, from any application and any device has become a necessity for productivity and innovation.
Employees now bring their own device to work, and their expectation is that Enterprise software should be as user friendly as the Apps they use at home.
One of the biggest risks arises with Enterprise File Sync and Share (EFSS) becoming more and more widely used – some with IT’s blessing, but often without.
These applications while effective to share and collaborate, run a high element of risk - being an additional unmanaged source as well as content security and data loss.
On top of these shifts – we’re also facing the reality of shrinking budgets and at the same time increasing focus on being efficient.
Users are facing increasing workloads being measured against results.
Providing instant access to a single source of truth, anytime, anywhere, from any application and any device has become a necessity for productivity and innovation. We need to weed out the useless data we have to make sure potentially useful data is retrievable and searchable.
InfoGov must be transparent. Users don’t want the hassle of classification tasks related to RM policies, email and archiving tasks.
These changes bring new challenges that will only be met through increased focus on ease of use, flexibility in experience, and adoption of new technologies to support an effective user adoption strategy.

Employ strategies to govern all enterprise information regardless of where it resides
    4. Content isn’t and will never be centralized
The value and risk of managing information will never live solely inside the walls of your ECM solution or your enterprise. In 61% of organizations, half or more of their content is held in non-ECM/DM systems such as file shares, ERP, HR, Finance and legacy applications. (AIIM Industry Watch: ECM at the Crossroads, http://www.aiim.org/Research-and-Publications/Research/Industry-Watch/ECM-2013)
Lack of centralized control of all information stores not only poses a serious challenge from a governance perspective, buried in the deluge of information lays all the intellectual capital of the organization. This ‘big content’ is both the most costly byproduct of knowledge workers today, and at the same time, the most valuable untapped resource within the enterprise.

Our products improve because of you… this new generation of the Content Suite is all about AGILITY - the power of moving quickly and easily.

  • Content Suite 10.5 SP1 ensures you have technology in place to overcome/navigate through those challenges.

Optimize the scalability and performance of your systems, simplify administration and reduce your TCO
Content Suite 10.5 SP1 has been optimized for scalability and performance, addressing the need to capture and manage more content while making sure your system is compliant and administration is simple, with much focus in this release on helping to reduce the total cost of ownership of managing your Content Server system or a cluster of Content Servers systems. A few of the new advances that focus on simplified administration and improved performance are:
Cluster Administration / Patch Installer - Content Server 10.5 includes a new patch deployment system which will allow for easy patch discovery and deployment. All patches will be deployed on a master instance. Once installed the Administrator can validate the patches before pushing the changes to all other instances in the cluster.
Transport - Content Server Transport provides a means of transferring objects and their configuration across instances of Content Server.  Just about every customer will have a model similar to this. These new features will help support the process.
Performance & Scalability – Content Suite 10.5 SP1 focuses on strategic use of hardware resources that will help you more efficiently handle the explosive growth of information across your organization. CS10.5 is capable of handling twice the amount of load as CS10 on any given hardware, and up to twice as many users while still delivering excellent response times, thus reducing overall cost of ownership. (Content Server 10.5 Performance Assessment (vs. 10.0)  https://knowledge.opentext.com/knowledge/cs.dll/Open/46668878)
The performance and scalability improvements allow customers to put more transactions through on their existing equipment, that not only means better response times, it means more users can use the system at once.

    Agility
OpenText announces two new visionary products: OpenText Email Archive for Google Apps, and OpenText Archive All in One. These offerings expand our footprint and extend Information Governance further into the Cloud supporting governance of popular Google and O365 cloud-based mail, as well as any CMIS content type.
UPSELL! OpenText Archive All-in-One is a scalable, multi-tenant archive solution that helps organizations cost-effectively and securely manages unstructured data in a private or public cloud. Storing data in a centrally managed repository ensures appropriate retention and disposition policies are applied. Content is easier to find and can be acted on quickly, reducing the burden on both your systems and your workforce. (http://www.opentext.com/campaigns/opentext-archive.htm)
UPSELL! OpenText Archive for Google Apps captures all inbound, outbound, and internal email communications, ensuring organizations can confidently meet their legal obligations and regulatory requirements. Robust retention, records management, and auto-classification capabilities allow organizations to centrally and proactively manage Google Mail. (http://www.opentext.com/campaigns/archive-for-google-apps.htm)
UPSELL! Upgrade legacy DM/Livelink accounts to Content Suite Platform - Add Archiving & RM
Archiving – Using an ECM Archiving solution, long term storage costs are reduced through rationalization of storage infrastructure, smarter storage decisions, and decommissioning of legacy systems. Some of the key archive features that drive costs savings are tiered storage, single-instance archiving (SIA), and compression.
Records Management (RM) is a critical component of the OpenText Content Suite and can be applied to all content sources including physical objects, shared drives, ERP, email, SharePoint etc. Content does not have to be moved to specific places to be managed. OpenText believes the main principles of RM should be extended to all content to ensure timely and proper disposition, and provides easy settings, configuration options and tools to do so.
As organizations delete content, it is instrumental there is an auditable review process that is simple to use and does not impact the way people work. Records Management 10.5 has enhanced disposition approval processing with a new disposition review and approval dashboard is available which provides both end users and records managers with a snapshot of the processing and the status what records have been approved, rejected or still pending for approval.
Records Management 10.5 has extended its security features to support features related to data sovereignty, to ensure content is protected by the laws of the country where the content physically resides. For example, if I am in China, I may have the rights to see, edit content (but laws indicate that I cannot access outside of China). As soon as I try to access and edit content from another region, e.g. Germany, I will not have access. The system understands where you are located and then provides you with the proper permissions.
UPSELL! Email Journaling with Autoclassification - The ability to capture all email ( email journaling) while being able to automatically classify the content will generate immediate benefits while taking the effort away from the end user and ensuring your organization is compliant will all policies and regulations. Email is one of riskiest forms of content.

    Adaptability
For the Business and your End Users, Content Suite 10.5 SP1 is adaptable and includes things we’ve done to improve end user adoption, to make it easier for you and your users to use Content Server in a way that feels natural and easy to use and works within your business processes.
In 10.5, HTML5 native functionality has been leveraged as an alternative to client heavy technologies (JAVA, WebDAV) reducing the need to deploy and manage add-on software on client workstations. With these changes, risks to system security have also been greatly reduced.
Drag and drop - Leveraging new APIs available in HTML5-capable browsers this new feature allows the user to simply drag one or more documents into a Content Server browse view.
HTML5 Workflow Designer - Administrators and business analysts responsible for workflow design can use industry standard BPMN 2.0 process notation, to eliminate the ambiguity in interpretation frequently experienced between those responsible for business process design and IT generally responsible for implementation.
Document Thumbnails - Generate and display first-page image thumbnails of documents within the web user interface (many file types supported). This thumbnail will appear on the Document Overview, search results, and featured items pages. End users can quickly identify documents within folder browse and within search results.
UPSELL! WebReports - WebReports is a Content Suite Add-on that aggregates information from the Content Suite and other sources delivering dashboards, integrated reporting, and process- driven applications (http://www.opentext.com/What-We-Do/Products/Enterprise-Content-Management/Content–Centric-Applications/OpenText-WebReports)
UPSELL! ActiveView - ActiveView allows Role based views, so different users are presented with different views on the same information. For instance a Records Manager would have more options in the drop down menus than a standard user. The personalized menus improve user adoption. (http://www.opentext.com/What-We-Do/Products/Enterprise-Content-Management/Content–Centric-Applications/OpenText-ActiveView)
    UPSELL! Tempo Box and Mobile
ECM Everywhere, Tempo Box and Tempo Social are delivered on the OpenText Application Gateway which gives you the security of being able to remotely wipe applications and downloaded content from end-users devices should they leave your organization or no longer have access to certain resources.
ECM Everywhere enables information workers to view, edit and process their OpenText Content Suite information and workflows in a secure fashion - from any device. (http://www.opentext.com/What-We-Do/Products/Enterprise-Content-Management/Content-Management/OpenText-ECM-Everywhere)
OpenText Tempo Box provides a simple, cloud-based Enterprise File Sync and Share (EFSS) service which lets users easily share files across organizational boundaries in a secure environment. Users can easily sync content across desktops and their mobile devices while all files are safely managed and controlled within the OpenText Enterprise Content Management infrastructure. (http://www.opentext.com/What-We-Do/Products/Enterprise-Content-Management/Content-Management/OpenText-Tempo-Box)

    Extendibility

The developer makes all things possible is one of our new mantras, and we did a number of things in 10.5 reaching across all Content Suite components making rapid application creation and system integration infinitely easier.

In 10.5 we’ve introduced new easier, faster, standardized and documented development tools make rapid application creation and system integration infinitely easier.
A single RESTful API for all OpenText Suites is now exposed for developers to easily build mobile or web browser applications
UPSELL – ONLY WITH 10.5! When requirements call for a deeper level of development within the Content Suite, the introduction of an updated IDE based on Eclipse (a popular, open-source development environment) reduces the previous barrier to entry for OScript development.
Free and only with 10 and 10.5! The Content Server Widget Framework provides a set of reusable HTML5 widgets that can be used to expose Content Server Content and functionality in any web application.
With 10.5 our integration with other platforms has expanded even further and deepened.
UPSELL! With OpenText™ SharePoint Services for Extended ECM for SAP , the OpenText Extended ECM for SAP Solution portfolio can now integrate with SharePoint documents and content. This gives SharePoint users access to SAP data, content and related business processes. So now you can have improved interoperability between your SharePoint and ERP systems and extended governance and compliance that includes SharePoint content. (http://www.opentext.com/What-We-Do/Products/OpenText-Suite-for-Microsoft/OpenText-Microsoft-SharePoint-Services-for-Extended-ECM-for-SAP-Solutions)

  • How can we help you make the upgrade process easier?
You now know why you should upgrade - but where do you start?
We acknowledge upgrading has significant cost and impact on your resources – both people and budget
We know you have conflicting priorities
In the past module availability may have been a roadblock but with 10.5, we’ve been diligent in rapidly releasing the modules used most by our customers
    You may have done customizations
So to make it easier to figure out where to start and what the scope of your project will be, we’ve put together this complimentary program from Services to help you get there

And to make it easier for you to identify the value of upgrading that’s specific to your own implementation and also to begin the planning process the OpenText Professional Services team are offering a complimentary (free) Customized Upgrade Checklist service to provide you with a personalized analysis and outline of your Content Server 10.5 upgrade path.
This service includes the recommended stages and actions to take to complete your Content Server upgrade and is specific to your unique configuration.
To ensure a successful upgrade, your complimentary Customized Upgrade Checklist identifies the system requirements as well as the user requirements, including the very important people-side of the change process. The result of this analysis will be a plan outlining the steps and tasks required of the various parties involved.
This analysis will help identify where upgrading can have the most impact in your organization and help you with a starting point and checklist to guide you through a successful upgrade.
  • Last year when we released 10.5, we added 600+ new features (over 10) into the Content Suite
Since then, in the past year, with the quarterly updates leading up to SP1 we’ve added an additional 583 feature requests.
    Close to 1200 new features

  • Improve the process of moving objects and configuration along the flow from a development system ultimately to production.

    What is it?
Content Server Transport provides a means of transferring objects and their configuration across instances of Content Server.
    Benefit:
Transport allows customers that have several instances of Content Server for development, testing and production to move business objects between instances..
    Reduces risk of human error
Provides better control of configuration of production systems
Extensible – developers can make their custom objects transportable.

    How is it used?
Transport Administrators are able to select a document or a folder of document s and package them up for transport. These packages will contain information about the documents and their dependencies that facilitate moving the objects to another instance. These packages can be copied to a drive where it can be stored, moved or added to another instance by a Transport Administrator.

When a package has been added to an instance, the Transport Administrator can then validate the contents and deploy it to the instance. This means the Transport Administrator can create the documents and/or folders in a new instance based off the information stored within the packages.

  • Cluster Administration (Patch Deployment)
    What is it?
Content Server 10.5 includes a new patch deployment system which will allow for easy patch discovery and deployment. Patch dependencies will now be enforced along with the removal of superseded patches. All patches will be deployed on a master instance. Once installed the Administrator can validate the patches before pushing the changes to all other instances in the cluster.

Why did we build this feature?
It is currently difficult and time consuming to discover patches required for a Content Server deployment. The new patch deployment system will offer a single point of access, from inside the Content Server 10.5 Administration pages, to discover, download and deploy patches. Content Server Administrators can now be confident that their Content Server deployment is at the correct patch level.

Managing and maintaining a single Content Server deployment is challenging; doing that across a cluster can be extremely difficult. With the new patch deployment system Administrators can deploy patches on a single "Master" instance. Once deployed the patches can be tested to ensure satisfaction before deploying them across the entire Content Server cluster. Patch deployment across the cluster is now performed by deployment agents removing many of the manual steps and resulting in a faster, less error-prone patch deployment experience.

    How is it used?
Using Content Server 10.5 Beta Administrators can now perform an analysis of the “Master” Content Server instance to discover which patches have been installed and which ones are missing.
Content Server 10.5 Beta will include a test patch which when deployed will be very visible to Administrators. Please attempt to deploy this patch to the identified “Master” Content Server instance.
The test patch, included with Content Server 10.5 Beta, can be safely removed from the “Master” Content Server instance using the patch deployment system.
  • As part of an ongoing initiative to improve customers’ ability to support the discovery process, CS10.5 SP1 will include enhancements to Content Server Search to improve the ability of legal staff (vs. IT admins) to locate and defensibly collect content. When organizations are asked to produce all relevant information for a particular case/topic, they need a way to temporarily grant read access to all the content, be able to collect that content and create EDRMXML files …

Improved eDiscovery support - eDiscovery Mode - Key requirement for litigation support applications. A user can be granted privileges to locate and collect any item, regardless of permission restrictions.
Improved experience in collections (finding, downloading and exporting)

Managed objects are restricted by permissions
Traditionally, this means that only super-users could perform eDiscovery tasks
New eDiscovery Mode grants search, browse and collection access to everything in the system
eDiscovery rights are assigned by super-user, does not confer other elevated rights to the user
Clearly marked when in use, audited
Allows paralegals or lawyers to perform their own eDiscovery operations

    Improved Performance for Collections
Customers are building much larger Collections for eDiscovery, gathering millions of objects for litigation
Significant performance improvements to accommodate the increased requirements
5x to 10x improvement for “Collect all search results” with large data sets
  • Defensibility of the contents of a Collection used in litigation is a key concern
With SP1 we’ve built out the feature set to assist with Collection Defensibility - A number of enhancements that improve a customer’s ability to describe and defend the contents of a collection presented as legal evidence.
Reduce the time and effort to explain to the authorities what you have
What it represents and how you should interpret it
Net overall effect is a much stronger story for defensibility - Helps to establish trust with 3rd parties

Information is reflected in a Disk Image Manifest
The Manifest is self-contained set of interactive HTML pages that provide information about the contents of the Disk Image
Summary tab has information about the configuration, creation, and collection used
The Content tab shows detailed information about each object in the Disk Image
Can include versions, audit, categories & attributes, classifications, RM classification

Simplifies the defensibility of a Disk Image
System that created the Disk Image
    Collection creation date range
    Has Collection been tampered with
    How was Collection built
The collection includes a help file – making it easier for those handling the legal concerns to understand what they’re looking at – not Content Server users, it’s the judge
    Was eDiscovery used (nothing missed)
Did Collection and Disk Image creation have errors?

In a snapshot the system can told you everything was done correctly – if it tells you items were deleted you’d still have to look at audit history to determine, but courts may say it is good enough
The task of identifying that everything that was exported in this disk image collected correctly, rather than this being a long investigation through audit records, it’s now there for you- automated -

Also, improvements to - Collection Delivery - Integration with Managed File Transfer to provide easy, fast, secure delivery of a Collection disk image to internal or external destinations.

Records Management has enhanced disposition approval processing to allow for flexibility in automating disposition approvals.
    Customer Benefit:
Allows tracking of the approval details which enhances its traceability and defensibility. From an efficiency standpoint, automating the review process allows Records Managers to increase focus on high value governance tasks.
  • Introducing Archive All-in-One with fully integrated Email and files system archiving support. This is a major step forward for OpenText and allows pure archiving solutions to be deployed stand alone from Content Server at lower cost, while maintaining ease of use.
Same archive backend as conventional Archive Server, but reimagined as a multi-tenant, cloud ready archive.
It provides rapid deployment, full sis, and reducing the conventional hardware footprint to operate significantly.
Built-in file and email archiving under a single roof, along with CMIS support for content residing in standards based repositories. All-in-One also supports API level connectors and integrations with other OpenText applications like OTMM, SAP archiving, CCM, WEM.

  • OpenText Archive for Google Apps provides compliant data archiving from Gmail

Email continues to be a mission-critical business application at the core of how organizations communicate, and highly personal method of communication. As email volumes continue to increase and IT infrastructure cost and complexity rise, legal and compliance risks grow. Having an effective program in place for managing information, in particular email, is a necessity as organizations reduce cost and legal risks.

One approach employed by both public and private enterprises to lessen this burden has been the adoption of cloud based email systems. Cloud certainly brings some significant business benefits around cost predictability and streamlining IT infrastructure. It also brings some new obstacles for legal departments, and records managers looking to manage the information lifecycle appropriately, and meet legal and compliance obligations.

Unmanaged or poorly managed data at today’s volumes are unsustainable – moving to cloud may help, but without proper information governance you are only shuffling the problem off site.

    Compliance-ready archiving
OpenText Archive for Google Apps monitoring captures all inbound, outbound and internal email communications ensuring organizations can meet their legal obligations and regulatory requirements. Data is journaled directly from Google Apps to the OpenText repository on premise where the data is de-duplicated, metadata is extracted, retention policies are applied and data is indexed and stored in the OpenText Archive.

Gmail historical collection and data clean up
OpenText Archive for Google Apps archiving, configured to run transparently in the background, enables collection from Gmail user’s mailboxes ensuring organizations can properly govern, preserve and discover historical and day forward mail from Gmail. For additional flexibility OpenText also offers rules based archiving and clean up tasks based on size, age etc.

    Customer Benefit:
We now apply Information Governance to popular cloud based email environments.
Customers looking to move to Gmail as their corporate mail platform can rest assured that information governance can be applied to their data inside and outside the Google eco-system, data security and data sovereignty is protected, and longer term storage needs can be easily met.

  • Items are archived into the personal workspace and placed under Information Governance.
The folder structure from Google Drive is replicated onto the content Server

Content is also subject to Single Instance Archiving –reducing the copies of a document which I store and manage on the Content Server
Archive of documents into the Enterprise Workspace is planned
  • With the influx of O365 people still need to govern that info
    How are we supporting this?
We’ve now ensured you have the ability to extend your policies to control all info regardless of where it resides.

OpenText extended it’s proven solutions for on-premises Office products, like Exchange and SharePoint, to Office365. Our Email Management solutions today support Exchange Online. The latest release of Application Governance & Archiving for SharePoint now also supports SharePoint Online. Our product teams work hard to ensure our customers with the best governance and compliance solutions for Office, whether on-premises or in the cloud. OpenText has extended compliance to MS Office productivity tools for years and is committed to delivering those enhancements whether you’re on the desktop or in the cloud.
  • Organizations are also trying to simplify the governance of their information. As they move their office applications to the cloud, OpenText continues to support the governance of the content created in these applications.  Email Management for MS Exchange 10.5 SP1 to be released in December 2014 brings ability to reduce email retention by up to 70% and interactive classification to the Office 365 cloud platform. Other governance-related innovations in OpenText Content Suite 10.5 SP1 include improved support and defensibility for eDiscovery activities.

  • Information leaking out of your orgs in consumer tools – made it free for all those customers on 10.5
We have made EFSS a strategic component to ECM – making it a feature to the platform.

  • OpenText Tempo Box Content Server Value Edition 10.5.1 introduces new integration to Content Suite, which allows users to directly add Enterprise content to their Tempo Box folder and share Enterprise content with external users.

    What
The Enterprise Integration feature adds two key capabilities to Tempo Box:
Enterprise Content in Tempo Box - Add folders of content that are stored in the Enterprise Workspace to their Tempo Box folder. This will allow users to access and interact with that content from the Tempo Box Web UI, mobile clients, and synchronize that content to their desktop.
External Sharing of Enterprise Content – Internal Content Suite users with appropriate permissions will be allowed to share Enterprise Content with External users via Tempo Box
    Why
Tempo Box provides users with a simple tool for managing their Personal Business Content across multiple platforms including mobile, web and the desktop. By integrating Tempo Box with the Enterprise Workspace of Content Server, users can now use Tempo Box as an area to manage all of their business content – both personal and enterprise - that is relevant to them in their position. For example, along with managing their personal business content, users can add enterprise documents such as SOP’s or form documents directly to their Tempo Box, allowing access to the content from any of the Tempo Box clients.
Tempo Box also provides an easy to use sharing mechanism for securely sharing content with both internal and external users. By extending the Tempo Box sharing mechanism to the Enterprise Workspace, users can now easily share content in place with users outside of the organization using Tempo Box.

    How
If a user wishes to add an Enterprise folder to their Tempo Box, they will browse or search content server for the folder they wish to add. Then from the function menu they choose ‘Add to Tempo Box’. The folder will appear in the users Tempo Box folder, and will synchronize to the desktop if they are using the desktop client.
If a user wishes to share Enterprise content with internal or external users, they will browse or search content server for the folder they wish to add. Then from the function menu they choose ‘Tempo Box Participants’. This will open a new page where users can be invited by entering their name or email address.
System Administrators and Content Owners can control which areas of the Enterprise Workspace are Tempo Box enabled. As an example, a Sys Admin may allow Tempo Box functionality for the Contracts department, while the HR department would not support Tempo Box.

    Delivery
Tempo Box 10.5.1 was delivered in June.

  • Internal and External Sharing of Enterprise Content – Internal users with appropriate permissions will be allowed to share Enterprise Content with both internal and external users using Tempo Box. This means that users will no longer be required to copy or move content to Tempo Box in order to share with external parties, which ensures that a single copy of content is maintained.  External users will only have access to the content using the Tempo Box clients and will be restricted from accessing Content Server directly. Internal users with appropriate permissions can also share content with internal colleagues to create a secure collaboration space directly within the Enterprise Workspace of Content Server.  By utilizing Content Server permissions, multiple internal users can invite others to the share, allowing for co-ownership and management of shared content.
External users will receive a Tempo Box notification that a user wishes to share content with them.
After the user creates an account the content will be available to them in Tempo Box.
External users will NEVER be able to access Content Server directly.
Only users with Edit Perms permissions can invite external users to an Enterprise folder. This will ensure that content cannot be shared by users without appropriate permissions.
Administrators and content owners control exactly which Content Server content will be made available in Tempo Box.
How do we ensure that content is not being shared or synced when it shouldn’t be? Admin Settings
Admin must enable the Enterprise Integration Feature
Admin manages a whitelist of Content Server areas that can be integrated with Tempo Box (ie. allow integration for R&D project area, Marketing area. Exclude finance, human resources)
Admin controls whether External sharing is allowed via Tempo Box
Admin controls which users can share externally
  • Enterprise Connect now makes the documents in Content Suite 10.5 available offline, makes them open and save quickly, and works within MS Applications that users already know. Each of these things encourages employees to use Content Suite 10.5 and adopt a compliant way of working, without completely changing the way they work.

    What’s new in 10.5 ?
OpenText Enterprise Connect 10.5 allows OpenText Content Suite functionality to be surfaced in a way that users feel comfortable with like tree views and Microsoft look and feel menus

It surfaces ECM capability in the Desktop Applications that people use every day, like Microsoft Outlook, Explorer and Office. So if you use these MS applications, Content Suite 10.5 can run unobtrusively under them providing ECM functionality. When deploying Content Suite 10.5, you can ensure rapid user adoption because many users find themselves using CS without even knowing it.
Full support for MS Office 2013 including Outlook, Word, Excel and PowerPoint, and also Window 8 Desktop mode support
Users can take documents or entire folders offline so they can work and edit their documents when they have no network connectivity. With EC 10.5, they can ensure that when they are back online all their changes will be synchronized to the correct documents in Content Server even if other users moved or renamed the documents in Content Server. EC will track the location of documents and will ensure conflicts are handles and necessary synchronization is performed
  • EC Access pane is the most important innovation in the EC Outlook integration
It allows users to drag and drop emails to Content Server in back ground threads while giving UI back to the user. This is something that has been requested for many years
It also allows users to browse Content Server and work with their content without leaving Outlook or their inbox

    What
    •       Enterprise Connect Easy Access Pane is  an Outlook pane that resides within Outlook
    •       It is usually placed next to the user’s inbox and it allows the user to simultaneously work with their inbox and Content Server without the visual distraction of scrolling down and side ways
    •       The task pane is developed using Outlook object models and MS technology
    Why
    •       Prior to the introduction of the Easy Access Pane, the EC integration into Outlook was based solely on a MAPI. (Left hand tree view)
    •       The MAPI based integration was unable to deliver on a key feature many of our customers have been asking for – which is the background processing of dragging and dropping emails to Content Servers
Business Case 1: Most of our customers have small Exchange inbox size.  Many of the IT departments force their users to move their emails to Content Server using the EC integration
    •       Business Case 2: Another critical business use case if the process of filing emails that pertaining to a specific client or matter or contract.  Users have to find the appropriate folder in CS and drag and drop that email to it
    •       Prior to the EC Easy Access pane, the drag and drop to CS would lock up the Outlook user interface and user’s would not be able to work with Outlook until the process of creating emails on Content Server is complete.
    •       The Easy Access Pane transforms and simplifies how user’s manage  email with Content Server.  This is all about end user functionality and keeping them in their desktop application while performing critical business records governance

  • Once the administrator defines a EC Search profile, it becomes available in the Easy Access Pane
The correct search profile and text extraction is automatically performed whenever the user highlights an email that matches the pattern
This minimizes the number of click and reduces the time it takes to find a target folder.
  • People who work with consume and share content to accomplish their tasks have a growing expectation in the workplace for consumer-friendly experiences when using technology. Addressing the needs of today’s business user, Content Suite 10.5 SP1 features a user experience that is as simple and easy to learn as consumer applications with new features such as:

    Drag and Drop Upload
    Feature Overview:
Leveraging new APIs available in HTML5-capable browsers this new feature allows a allows the user to simply drag one or more documents into a Content Server browse view. This new feature simplifies the Add Document and/or Add Document Version process.
    Benefit:
Drag and drop upload enables users to get content into the system faster. Allows administrators to simplify the configuration and reduce the need for add-on software on client workstations.
  • Document Thumbnails
    Feature Overview:
Generate and display first-page image thumbnails of documents within the web user interface. For Word, Excel, PPT, PDF, CAD drawing like DWG, raster images (such as BMP, PNG, GIF, TIF, JPEG, JP2, JBIG, etc.) and other supported formats; a thumbnail of the first page of the document will be created. This thumbnail will appear on the Document Overview, search results, and featured items pages.
    Benefit:
End users can quickly identify documents within folder browse and within search results.
  • Workflow Designer – no Java required – lots more improvements coming to Workflow
    Feature Overview:
Content Server 10.5 features a simplified workflow design environment, implemented with HTML/CSS/JS replacing Java-applet-based Workflow Painter (CS10 & earlier).
Standardized process notation based on BPMN 2.0, with long term goal to model interchange with OpenText ProVision or other Business Modeling tools (beyond scope for this project).
Enhanced scalability and lower TCO through significant workflow engine performance improvements (leveraging the distributed agent infrastructure introduced in CS10).
    Benefit:
Administrators and business analysts responsible for workflow design will be able to deliver results more effectively with the new easy-to-use workflow design environment. By leveraging industry standard BPMN 2.0 process notation, the new workflow designer enables creation of readily recognized and understood business process diagrams that help to bridge the communication gap and eliminate the ambiguity in interpretation frequently experienced between those responsible for business process design and IT generally responsible for implementation. The new workflow designer also provides the ability to more intuitively handle large or complex workflow models.

It’s now easier than ever for Administrators to deploy, manage and configure Content Suite based systems through its use of modern, standardized technologies for user experience and workflow design. HTML5 native functionality has been leveraged as an alternative to client heavy technologies (JAVA, WebDAV) reducing the need to deploy and manage add-on software on client workstations. With these changes, risks to system security have also been greatly reduced.
  • Sales Play #3 Content Intelligence
Content Intelligence requires Content Server v10.5 or later.

OpenText Content Intelligence delivers business value and extended return on investment for ECM across a number of lines:
Increased User Adoption of ECM Systems:
Superior user experience via easy to deploy, simple, familiar interfaces
Content visualization based on the user’s role to improve usability and simplify carrying out of process steps and workflow tasks
Makes OpenText Content Server “work the way users want to work” vs. making them learn a new system and interface
    Tailored for the Enterprise:
Standards-based, rapid-to-deploy tailored applications based on organization-specific requirements and processes
Accelerated deployment without outsourcing or hard-to-find development specialization or certification
Custom dashboards and reports to simplify the ECM experience for executives and knowledge workers
Rapid integration of numerous content sources – file systems to ERP and CRM – to ensure a holistic view of enterprise content and data
    Productivity and ROI:
Content upgrades, customization migration, and change management for ECM are all accelerated
Learning curve is reduced, thereby driving productivity and overall cost of the system
Content views are presented “in-progress” and real-time, avoiding users waiting for report or dashboard refreshes and improving responsiveness and productivity

OpenText Content Intelligence bundles ActiveView and WebReports tools, as well as a complete set of instantly-deployable and easily modifiable prebuilt reports, workflows, and applications via the Report Pack, to make it easy for organizations to optimize the business user experience, drive adoption, and tailor applications to suit specific requirements of their Content Server deployment.
Improve user adoption by making OpenText Content Server look and feel the way your business users want it to
Limit or eliminate training costs by making it easy for users to work with your ECM system
Easily develop and deploy applications tailored for your organization’s specific needs without outsourcing or the need for specialized development resources
Make sure that consistent metadata is available and applied so that users can find what they need, when they need it and ensure the reliability of reports and dashboards
Build role-specific dashboards and automated content reports to avoid the need for users to burden IT with requests or learn how to create reports on their own
Lower TCO and improve ROI by making OpenText Content Suite a natural extension of the way that business users create and interact with enterprise content

  • We have already seen the power of WebReports used in Content Suite 10.5 SP1 to provide several modifiable reports within the Records Management package, but WebReports has largely been sold as a developer tool kit with limited “out of the box” reports that are ready-to-use. Customers who purchase WebReports need to invest time and money developing their reports themselves. The provision of a “ready to use” reporting suite for Content Suite will mean that customers can get a quick start for most common reporting needs

The Reporting suite will appeal to the broadest possible range of Content Suite customers because they have been designed to be generically useful for helping the most common tasks and problems that customers face, including
    General business user reports
    Administrator reports
    Workflow reports
    Project object related reports

  • OpenText delivers a common set development tools and APIs that enable customers and partners to quickly build EIM applications. OpenText also provides together the resources that developers need to be successful (https://developer.opentext.com)

  • There’s now a new companion to our SOAP based Web Services API. A REST API is what you want if your task is to build an application on a mobile device or a web browser application. It’s the type of API that all the various web services online expose for people to use for building integrations to online services. The philosophy is it’s easy to use. You can do only 4 verbs that map directly to the http verbs of – get, put, post, delete – we’ve exposed all the various node operations, authentication & users and groups to the REST API.

    Feature Overview:
Content Server now has a REST API. In general, the RESTful API model is noted for simplicity of use and understanding by developers. Specifically, REST APIs are what have become expected by developers that need to build mobile or web browser applications that interact with a remote server application. The Content Server REST API is a key foundation API for AppWorks. AppWorks will expose the Content Server API and the REST APIs from the other EIM platforms as a single RESTful API.

    Benefit:
This enables any developer experienced with HTML, JavaScript and CSS to build an application on top of the Content Suite 10.5 SP1 platform, making it easier to tap into the skilled resource pool available either within your organization already, or on the market as a potential new hire.

  • Note, the new Eclipse-Based IDE in the SDK for 10.5 is not compatible with 10 or 9.7.1.

Developing and customizing the Content Suite is now easier at all levels. When requirements call for a deeper level of development within the Content Suite, used if you need to change the way Content Server works or introduce a whole new set of functionality into Content Server with a module, the introduction of an updated IDE based on Eclipse reduces the previous barrier to entry for OScript development.

Developers will be delighted to use such commonly understood IDE features as color syntax highlighting, auto-complete “intellisense”, and in-line documentation.

We’ve replaced the Builder tool which was used in the past for Oscript development.
There is only this new Eclipse based development environment going forward.
The SDK for Content Server 10.5 now includes the Eclipse-Based IDE. Eclipse is a very popular, open-source development environment.
  • Embedding ECM into lead applications, we’re doing it, partners are doing it – enabled by our new Widgets
