  • 1. NExpress Koha Cataloging in the New Shared Catalog
  • 2. Two basic cataloging procedures 1. Add holdings to existing records 2. Bring in (import) records for items not in the catalog
  • 3. 1. Adding to Existing Records ●First, search the catalog for the item you have in your hand.
  • 4. There are two ways to get to the cataloging module in Koha
  • 5. In the Cataloguing Search box, type in the book’s ISBN number
  • 6. Search tips ●Use the ISBN on the verso page, not back cover. If the book has a 13-digit and a 10- digit ISBN, search for both. (Ex. 9780810883567 & 0810883562. ●Also, trying searching by title & author last name if no results are found, especially on older materials (Ex. Lifelong learning in public libraries Gilton). ●Use the advanced search if you want to.

  • 8. Search Results tips ●Click the MARC button to look at the MARC record of items in the search results, to see if it's the correct item or not. ●IMPORTANT: in the case of duplicate records, please choose the record that has the most items -- you can see this in the search results. Report the duplicate record to Heather, especially on new & popular items.
  • 9. Click Add/Edit Items Click Add Item Fill in necessary informat ion (field descriptions on next screen)

Important Fields 8 - Collection Code (Fiction, DVD, etc.) a - Home Library b - Current location c - Shelving location (Adult, YA, Children) d - Date acquired g - Cost, normal purchase price (opt) o - Call number p - Barcode v - Replacement cost y - Item type (book, movie, etc) z - Public note (opt)
  • 11. 2. Importing Records 1.Most Common way: ○ Import via Z39.50 2.Alternate way ○Download and import new records ■ Via Agent, OCLC, vendor, or other source
  • 12. In Koha: ●If no search result is found, click z39.50 search ●Put the ISBN in the ISBN field ●Choose the databases to search (best are auto- selected already). ●Click Search. ●Click on MARC to check the record ●Choose the best record & click Import ●Change the framework from Default to Standard ●Click Save ●Add item information ●Done!
  • 13. ●Click z39.50 search ● Choose databases (best ones are auto- checked by default). Click Search
  • 14. Click MARC to check the record for accuracy
  • 15. Click Import
  • 16. Change the framework from Default to Standard ●Then, click Save. ●Add the item information
  • 17. If the item can’t be found in a Z39.50 Search: ●Import from the Hybrid KLC or ●Import from OCLC or ●A vendor or ●Another source
  • 18. Batch Import of Records ●Download batch of records to your desktop from the Hybrid KLC or other sources ●Go to More-->Tools. Then, click Stage MARC Records for Import (must be logged in as TECH) ●Use the Browse button to find and add the file on your Desktop. Then Upload file.
  • 19. Batch Import of Records (cont.) On the next screen, make sure your settings match 1-4 below. Click Stage for Import when the settings are correct.
  • 20. Batch Import of Records (cont.) ● If you tried to download an item already in the catalog, you will be notified. Click Manage Staged Records. ● 1. Change the framework to Standard, not Default. ● 2. Click Import...
  • 21. Batch Import of Records (cont.) ●Click on the Biblio Number or wait 10 minutes to Search for the Item. ○Also, you can right-click each biblio number and open it in a new tab to immediately access each record. ●Add item information.
