  • File Synchronization And Sharing Platforms are trying to kill traditional ECM? Michael Knight michael.knight@kofax.com about.me/michaelknight www.linkedin.com/in/michaelknight
  • What is ECM? Enterprise Content Management (ECM) is the strategies, methods and tools used to capture, manage, store, preserve, and deliver content and documents related to organizational processes. ECM tools and strategies allow the management of an organization's unstructured information, wherever that information exists. - AIIM
  • Wait, take a step back. What is Document Management? Document management… is the use of a computer system and software to store, manage and track electronic documents and electronic images of paper-based information captured through the use of a document scanner. - AIIM
  • Got it. So ECM is more than just Document Management? ECM is also:  Security & Compliance – Who can/cannot see it  Search (Finding content)  Workflow (aka BPM)  Lifecycle – when to kill it  Collaboration Yes. Content is more than just documents. Images Audio Video Web Data It’s any digital information.
  • So who buys Document Management, and why? ORGANIZATIONS DROWNING IN PAPER. • To Improve Productivity & Customer Service (Speed) • To Decrease Risk (Security)
  • Who do they buy it from? Originally, ECM vendors exclusively: o Big ECM o FileNet o Documentum o OpenText * o Oracle o SMB Market Vendors o Westbrook o Hyland o Laserfiche o Perceptive * Remember OpenText. We’ll come
  • Until SharePoint… • Over ½ of the inquiries that Gartner gets on ECM are related to SharePoint • More than 1/3 of Gartner clients have SharePoint as their core ECM strategy • Best selling server-side product ever for MS • Free basic license available with Server 2008 • Tight integration w/MS Office • It seems like it’s everywhere…..
  • So everyone is doing it? ……….. NO !!!!!  Approximately 80% of small and medium sized companies don’t have ECM
  • What are the other 80% using? No, not floppy disks…. Consumerization Has Made File Sync And Share A Must-Have Capability The explosive proliferation of powerful mobile devices has led to employee demand for solutions that will allow seamless access to enterprise content from any device. Solutions like Dropbox, originally developed for consumer usage, have barged into the enterprise, forcing IT to reconsider how to balance its portfolio against consumer demands.” Forrester Research The ForresterWave™:File Sync And Share Platforms,Q3 2013
  • What is File Synchronization And Sharing ? A range of on-premises or cloud-based capabilities that enable individuals to synchronize and share documents, photos, videos and files across multiple devices, such as smartphones, tablets and PCs. File sharing can be within the organization, as well as externally (e.g., with partners and customers) or on a mobile device as data sharing among apps. Security and collaboration support are critical capabilities of EFSS to address enterprise priorities. - GartnerGroup Magic Quadrantfor Enterprise File Synchronization and Sharing Published: 2 July 2014
  • Origins of File Synchronization And Sharing Slide 11 The Cloud… Amazon Web Service (AWS) introduced cloud storage in 2006 • Apps currently using AWS include • Dropbox • Pinterest • Tumblr • Alfresco ECM
  • Who are File Synchronization And Sharing providers? Slide 12 Google Drive – 120M active users  Storage/sharing/collab. editing  Home of Google Docs - 300M active users  Storage/synchronization/backup/sharing  5th most valuable web start up ever - 20M active users  Sharing/collab/synchronization/app. integration  100K companies - 250M active users  Storage/synchronization/sharing  From Microsoft – tight Office integration
  • How does rank these providers? Slide 13 First Magic Quadrant just released on July 2, 2014  Leaders  Box  Citrix  EMC  Accelion  Challengers  Google  Dropbox  Microsoft  IBM
  • Any downside to File Synchronization And Sharing? Slide 14  Impacts Productivity & Customer Service  (Speed = slower)  Increases Risk  (Security = riskier)
  • So why would anyone use this and not ECM? Slide 15 It’s easy … It’s cheap… (but is it effective?) Welcome to the consumerization of IT in the enterprise (CITE).
  • What’s CITE? What are the benefits? Slide 16 Organizations expect to see CITE creating a positive impact in: o user satisfaction, o user productivity, o process efficiency and collaboration, o and business agility. - IDG Enterprise Consumerization of IT in the Enterprise Study 2014 The use of technologies easily be acquired by non-technologists. CITE includes personal devices (BYOD) , social networks, consumer tools (Skype, LinkedIn), mobile applications, cloud file synchronization and collaboration.
  • So CITE, especially File Sync, is threatening ECM? Slide 17 Exactly Left to their own devices: Does your enterprise have a “Dropbox Problem? …knowledgeable end-users will often overlook security and compliance in favor of getting the job done by taking advantage of free and readily available alternatives.” - Aberdeen Group, July 2012
  • ECM and File Synchronization & Collaboration are converging? Slide 18 They are • ECM is moving rapidly to the cloud • Online vendors (e.g., Box) are looking to improve security • Online vendors are looking to add app integrations • Gartner predicts By 2017, less than 10% of today's EFSS destination vendors will offer stand-alone products • OpenText Announced Free Enterprise File Synchronization and Sharing for Content Management Customers on July 8, 2014
  • So how do I position ECM against CITE? Slide 19 SECURITY & CONTROL • KISS: Keep it Simple Stupid (user interface) • Support mobile devices • Make it available in the cloud * • Stress: • Compliance • Auditability • Workflow • i.e., SECURITY
  • Wrap Up Slide 20 • Consumerization of IT in the Enterprise (CITE) is a trend that will continue to grow • File sync and sharing services are one of many adoptions in CITE • File sync and sharing services are encroaching on the ECM software market • When selling ECM vs. CITE stress security • Deploy ECM in a CITE-like manner
