  • The way we work is changing. In our personal life, we are used to be able to access or photos and videos and share with friends with just a few clicks. Today’s mobile workforce is demanding the same ability to access, share, and send business files any time, any where, and from any device. And users are now sophisticated enough to get what they want.
  • Over the last several years, enterprises have made a significant investment in traditional approaches to file access and sharing. These “workspaces” such as Sharepoint, FTP sites, file servers, and collaboration spaces have received a significant investment in the hopes of providing increased security and control over files. However, all of these approaches have a downside– they require users to take “extra steps” such as dragging-and-dropping or uploading files into the service before they can be accessed or shared. And most of these approaches are not optimized for external sharing. They require IT intervention to create external user ID’s and carry expensive licensing costs.
  • As a result, users are now rebelling against these approaches. In order to get what they want, they are moving content out of these “controlled” systems and onto their desktops. Ironically, while some organizations have desktop backups in place, many do not. As a result, all of the investment that IT has made in protecting that content in workspaces is negated.
  • To make matters worse, once that content is moved to the desktop, users put it in non-secure consumer-grade services so they can access the content on their mobile devices and share with colleagues.
  • As a result the enterprise is less secure ever day. Business-critical content is being moved to the desktop, where users actually work on it and is no longer under control. Furthermore, all of the resources IT is spending on securing content in workspaces is lost because they are securing old versions of documents. Furthermore, a recent survey by industry analyst group ESG found that 70% of IT professionals knew that their users were putting content in consumer-grade services against corporate policy.
  • Syncplicity by EMC was designed to address these issues in the enterprise:Replace Consumer tools like Dropbox. Enterprise IT is struggling with users putting work files in the public cloud because those users want an easy way to access their files on all their devices and collaborate with users inside and outside the organization. Syncplicity satisfies those requirements with an amazing end-user experience while giving IT the security, administration, and storage control and flexibility they need. File Distribution to a Mobile Workforce. Business users need an easy way to push content to all the mobile devices used by distributed work teams (e.g., marketing materials, sales tools, product information, etc.). Syncplicity makes that simple and secure. FTP Replacement (Send Large Files). Syncplicity makes it easy for users to securely send large files and create shared folders with users inside and outside the organization. All with no file size limits and no need for IT intervention and support. Real-time Desktop Backup and Continuous Availability. Syncplicity can be configured to continuously sync any and all end-user folders on a computer. As a result, files are protected immediately upon being changed (not at intervals) and if a device is destroyed, lost, or stolen, users can remain productive with our complex desktop restoration, either on a mobile device or a loaner computer with no loss of data.   • File Sync and Sharing represents a unique challenge to enterprises. One one hand, it is far more secure than consumer services. But if users don’t adopt it and IT can’t deploy it at scale, the benefits are lost. Strong IT controls and management features that allow them to secure corporate data by being as restrictive or permissive as they want.Flexibility and control over the storage layer so organizations can meet or exceed requirements for corporate or industry compliance, or data residency.
  • A consumer-grade “frictionless” user experience is a critical investment for Syncplicity. It gives users seamless access to all their files with no extra steps and drives adoption. Without this focus, users will continue to go around IT and business content will grow less secure by the day.
  • Syncplicity enables users to easily access, share, and collaborate on all of their devices, connecting business files that reside in numerous locations in the enterprise to all of a user’s devices. Today Syncplicity gives users access to their local/desktop files and files within Documentum. In the near future this list will be expanded to include other file repositories such as NAS-based file shares and repositories such as SharePoint. The key here is that these files are accessible through a consistent, secure, and easy-to-use set of apps, making files available to users any time, anywhere, and on all their devices.

We’ve also been selected as a featured app on the Microsoft App Store. Ultimately the design goal is to create a simple, frictionless experience for users.
  • We make it so simple for users that there are “no extra steps”.Syncplicity can be configured to sync any folder on a user’s computer. That means…The user just “Saves” and a file is synced to Syncplicity and is then pushed from there seamlessly to all their devices, both inside and outside your firewall. And if they saved the file in a shared folder, all the people with access to that folder get the new file as well. It’s that simple. There is no need to drag-and-drop files to a special folder or upload them to the web first. There is no need for IT to pre-configure collaboration “spaces” because users can organize files the way they want. And when users access files from their mobile devices they are using native Syncplicity apps that are tuned to leverage the power of each platform. This “frictionless” user experience is the difference between people really using the system, or continuing to go around IT.
  • Once files are synced to Syncplicity, users can easily share files and collaborate from anywhere. Folders can be shared with individual users or groupsExternal sharing is easy and secure, even if external users do not have corporate accounts. This allows users to quickly share folders with external collaborators without IT intervention, but without losing IT controlFolders can be protected with Read Only permissions. This allows folders to be shared to large groups (such as a global sales team) without risking content loss from one user deleting a file or folder (which can happen with consumer services)Syncplicity gives users control over whether shared folders are synced to their local drives or just accessible through the online file browser. This gives users ultimate control over where they want to access folders on their computers.
  • Another critical use case involves sending large files. There is no question that file sizes are increasing as we all start using more video and graphics in files. And unfortunately, email has become the de facto file sharing solution in many organizations. As a result, users continuously struggle with email inbox and message limits when sharing folders. FTP servers are complex for users, require too much IT intervention, and are insecure because more often than not, users share passwords with each other rather than asking IT for new accounts. Simply put, even secure FTP sites are very insecure. Syncplicity makes it easy to send large files from any device. Once a file is in a synced folder, it can be sent to recipients by just clicking on the file and sending a Secure Shared Link. There is no need to upload it first, its already uploaded!Users can restrict access to a recipient list and require a password. Syncplicity also makes it easy to generate passwords and email them separately from the file link. Links can be emailed directly from Syncplicity (without requiring a user to send a separate email) and it can include a message and picture from the senderUnlike other services, there are no file size limits, making this a great solution for any content, including huge video filesUser get the ability to track downloads and access to links, and resend a link that has not been accessed.
  • Because Syncplicity syncs files from any folder, users can stay productive whenever a computer crashes, is lost, or stolen. As a user works, Syncplicity always saves the latest version of a file. If a user needs to replace a device they can always access the latest version of all their files on another device. With a traditional desktop backup system users would not have access to files that were updated between backup cycles (which could be days). And with sync tools that only use one folder, a user would have to think about moving a file to the synced folder first– which doesn’t happen,With Syncplicity:Users always have access to the latest versions of their work filesThey can pick up working on any device if another device crashes, is lost, or stolenUsers don’t have to wait for IT to replace a device and restore it
  • The next important pillar of enterprise file sync and share is security and manageability. IT needs to have a rich set of policy controls, security features and monitoring so they can maintain control and deploy with confidence.
  • Syncplicity gives IT control by adding a layer of security to the frictionless user experience. That security layer includes robust protection at the device, user, folder, and file level. Syncplicity also provides a layer of admin tools that allow IT to manage users and groups at scale.

  • The third pillar of Syncplicity is storage choice. Enterprises need flexibility in where data is stored to comply with internal security policies as well as industry regulations and data residency requirements.
  • Obviously, the goal of Syncplicity is to make it easy for users to access and share files from any device. We do this by providing a highly-secure cloud-based “orchestration” layer that acts as a conductor by enabling sharing between users and devices.Syncplicity stores a copy of files and file history in our own data store so we can sync files across users and devices. Our customers can choose whether that data store resides in our cloud data center or on premise. Syncplicity works with any storage solution that supports NFS3 or S3 APIs, including EMC Isilon, EMC Atmos, EMC VNX, 3rd party storage such as Netapp, and EMC VIPR.By choosing on premise storage, a customer gets several benefits:They retain complete control over their data. In fact, in this configuration, their files are never cached or even pass through our service, they move directly from their storage to their devices.They can manage data residency requirements.And its easy to install and manage. Customers simply point Syncplicity to new or existing storage and Syncplicity will use that storage without any change to the user experience. To give organizations maximum control, Syncplicity’s policy-driven hybrid cloud allows IT to set policies at the user, group, or folder level that determines where data is stored. Some content can be stored in the cloud, other content can be directed to data stores in specific geographies, and some content can be stored in other storage arrays based on need.
