Trainers Methodology Plus Facilitate Learning Sessions Date Developed: September 2012 Document No: Issued by: Page 1 of 7Developed by: BPAP Revision # Information Sheet Training Logistics Learning Objectives: After reading this Information Sheet, you should be able to list the logistical arrangements required for a successful training session. Good logistical planning is one of the most crucial aspects of training delivery. Logistics management in a classroom encompasses all activities from arranging materials to the delivery of training. These key operations include: inventory management, scheduling, and the selection of location and training materials. Therefore, it is critical for every trainer to know and understand how all these elements can, and must be managed as a “system”. Trainers are encouraged to create checklists for training logistics, which will help them prepare for a smooth and successful training session. Advance planning is rewarded when all arrangements fall into place with a minimum of worry or inconvenience. Remember that there will always be occasions when you have little or no control over some or all of the logistics, in which case it is best to be flexible and work with your participants to make the best of the situation. The Logistics of Classroom Training Preparing your classroom involves many different aspects. They are: Dates for training: Training arrangements must be in place no later than 1 week before scheduled training to allow for all participants to plan their calendars accordingly. Time of training sessions: The trainer must establish times to begin and end the training sessions. Times for breaks and lunches must be in place, but can be negotiated with the class on the first day. Location: The trainer is responsible for arranging for a suitable electronic classroom for the daily sessions where every participant can sit at a table or work surface Instruction may involve both print and online materials throughout the day. Number of participants: For the most effective training experience, a class should have no more than 15-20 trainees to allow the trainer and trainees opportunities to interact. The trainer must have an exact number prior to the training session to know how many training manuals to prepare.

Trainers Methodology Plus Facilitate Learning Sessions Date Developed: September 2012 Document No: Issued by: Page 2 of 7Developed by: BPAP Revision # Training Materials: The trainer is responsible for arranging equipment for training, such as a trainer’s terminal with Internet access, PowerPoint projector, white board, flip chart, overhead projector, PowerPoint software, microphone, etc. Test electrical equipment to make sure it works properly Reminders: Send out reminders to attendees, if applicable Transportation: If applicable, the trainer must oversee arrangements for the transportation of participants to and from the training venue. Access to Venue: If applicable, a map with directions to the training venue must be provided to all participants in advance. This could also include the directions for restrooms, breakout rooms, and emergency exits. Cleanliness: The training room must appear clean and organized. Lighting/Heating:  Determine how to turn the lights up and down.  Determine how the thermostat works or who to contact if there is a problem Seating  So the trainer can see each student and they can see the trainer  Students can see visual aids and/or whiteboard  If necessary, seating may be designated to separate students who disturb each other Space: Should have enough room for activities, games or individual work as well as group discussions. Organize Curriculum Materials and Lesson Plans: The trainer is responsible for collecting all workbooks, handouts, reading materials, etc. It must be decided beforehand how to store them in the most appropriate place for how they will be used. Development of evaluation form: The trainer must have the evaluation forms prepared, printed and available. Production of certificates: The trainer must have the completion certificates available for students at the end of their training. Reports: The trainer should be able to generate reports about student sign- ins, class attendance, and training results.
