Summit 2010 OPTIMIZING ENGAGEMENT Donor Relations and Stewardship Defined: Donor relations is the comprehensive effort of any nonprofit that seeks philanthropic support to ensure that donors experience high-quality interactions with the organization that foster long-term engagement and investment. This effort is commonly thought to have five elements—gift acceptance, gift management, acknowledgement, donor recognition, and reporting—that together support the acquisition and retention of donors.

Summit 2010 OPTIMIZING ENGAGEMENT Best Practice Areas of Focus •Gift Acceptance •Standards and systems that address a variety of issues institutions consider before accepting gifts, including the procedure by which proposed gifts are reviewed, the gift levels required to endow funds, name physical spaces, and/or qualify for membership in giving societies, gift agreements.

Summit 2010 OPTIMIZING ENGAGEMENT Best Practice Areas of Focus •Acknowledgment •Standards and procedures for generating and delivering accurate, timely and meaningful acknowledgments (including, but not limited to letters, receipts, phone calls, visits, emails and other electronic communications, etc .) Other topics may include acknowledgment of donor milestones (i.e., first time donors, consecutive giving, pledge completion) as well as memorial and honorific gift acknowledgments and notifications.

Summit 2010 OPTIMIZING ENGAGEMENT Best Practice Areas of Focus •Recognition •Opportunities and methods for appropriate and meaningful donor recognition including such factors as donors' preferences (i.e. anonymity) and institutional culture and values. Examples include giving societies, honor rolls, websites, printed and electronic publications (newsletters, annual reports, etc.), external publicity (press releases), plaques, donor walls, events, awards, and mementos.

Summit 2010 OPTIMIZING ENGAGEMENT Best Practice Areas of Focus •Stewardship and Reporting •Standards and systems to demonstrate fiscal stewardship (i.e. prudent investment and spending in accordance with donors' expectations), to convey ongoing appreciation, and report on programmatic impact of philanthropic support (including but not limited to unrestricted, endowment, facility, planned gifts.)
