  • Today’s webinar will take about 30 minutes, then we’ll have a Q&A session at the end. You’ll be muted during the webinar, so if you have questions along the way, be sure to enter them into your GoToWebinar panel. I’ve asked Alison, our moderator, to represent you during the session. So she’ll keep me honest and jump in with questions that she thinks might come up for you along the way. \n
  • So we’re here to talk about the universal challenge of tracking time as you work through your projects. And let’s face it, tracking time can feel like just another administrative task, unless you keep the end-game in mind. So let’s look quickly at 5 ways that tracking time each day delivers big payoffs over the long-run. \n
  • \n#1 Every organization needs to do strategic planning. For instance, how many projects and which specific projects can we take on? To answer that, you need to know the number of hours, resources and costs for each project under consideration. Where does that baseline data come from? In large part, it comes from the time tracking data of past similar projects. \n
  • #2 When you do your strategic planning well, you’re more likely to deliver projects on time and on budget. Keeping your promises is a surefire way to establish a reputation as a credible and reliable business partner. \n
  • #3 Time tracking data is a great way to discover processes that need to be streamlined. For instance, if you notice that certain types of tasks consistently take much longer than they should, it’s probably time to dig in and take a closer look at those processes. \n
  • #4 When you do improve those processes, it’s quite likely that you’ll also reduce project costs and increase profits. \n
  • #5 Finally we make a shameless plea to your personal motives. We know that you’re a team player, but maybe you’re that oddball who doesn’t spend every minute of the day thinking about the corporate bottom line. Still, the day will come when you’ll want something, and you’ll need some hard data to make your case. \n\nFor instance, maybe you want more resources for your marketing project. You can use the time-tracking data from past marketing projects to justify how many man-hours you’ll need. Or maybe you want to justify a raise or a promotion. Your personal time-tracking data is actually a solid record of your contributions to many successful projects. \n
  • So we think those are five good reasons to track time, but let’s drive the point home even more with a few examples of the kinds of data you can get when you log time in LiquidPlanner. First we have sample export of timesheet data, where each row is an individual time entry. In addition to the number of hours logged, notice that you can see the type of work being done, as indicated by the Activity that was associated to the time entry. You also can see billing and pay dollar values for these hours. Timesheet exports are great for feeding your payroll and billing systems. \n\nNext we have a sample Project report that I created in the Custom Report Builder. This one is an analysis of logged hours for each project. Blah blah blah.\n
  • So I’m going to jump into a demo workspace now, to show you how to make this all happen in LiquidPlanner. I’ll be showing you three things. I’ll of course show you how to log time to your tasks, but before that, I’ll show you how to create activities to categorize your logged hours by type and billable status, and how to use rate sheets to drive those dollar valuations of your logged hours. \n
