4. How do I make a Reservation?
Carefully read the instructions on how to make a reservation. Then register online or use a Council
Reservation Form (located in the back of this guide) and follow the instructions at the top of the form
according to whether you are registering as a troop/group or individual. Please make sure to meet the
reservation deadline. There will be a $5 late fee on all programs unless otherwise noted.
Reservations are on a first-come, first-served basis unless otherwise stated. If a session is full, you have the
option of being placed on a waiting list.
Note: Due to limited space and the nature of these activities, tagalongs cannot be accommodated,
unless noted otherwise.
Reservation Options:
Online at www.kansasgirlscouts.org
• This is the fastest and easiest way to make a reservation for an event.
• Each family and the troop/group will have a registration account. This account can be used for training
or event reservations. New accounts will be created as members of the troop/group register for Girl Scouts.
Passwords will be e-mailed to the e-mail address on file (parents of individual girls or leader for troop
accounts) or can be requested by calling the Girl Scout Center–Wichita at (316) 684-6531 or
(888) 472-3683.
• Full payment for the reservation is required and can be made by e-check, Visa or MasterCard.
• If you do not have access to the Internet, here are some options:
– Computers are available at some of the Girl Scout Centers during office hours Monday through Friday.
– Other locations such as libraries, schools and community centers may have computers with access to
the Internet and our Web site.
By Mail
• Complete the Council Event Reservation Form in the back of the Road Map and mail or bring it to the
Girl Scout Center where the event is taking place (noted next to the program contact).
• Full payment may be made by check. Please do not mail cash.
By Phone
• Call one of the Girl Scout Center locations to make a reservation. E-check, Visa or MasterCard required
for phone reservations.
Payment Options:
Checks or e-checks
You can mail a troop or individual check with your reservation form or go online to log on to your family or
troop/group reservation account and pay by e-check. All checks will be processed as e-check transactions
that withdraw directly from your checking account. Make checks payable to Girl Scouts of Kansas Heartland
(GSKH). By entering this information online or providing a check as payment, you authorize Girl Scout of Kansas
Heartland to process a one-time electronic funds transfer (EFT) or draft drawn on your account. If your check
does not clear your bank, it will be charged back against your family or troop/group account along with a
$30 service charge and any additional bank charges. Your reservation(s) will not be complete until this total
amount is paid. Call (316) 684-6531 with any questions regarding electronic funds transfers.

5. Credit Card or Debit Card
• Go online to log on to your family or troop/group reservation account and use a credit card (for family
accounts only) or debit card to make a payment. Credit cards are not approved for troop use.
• You may also pay by credit card or debit card in person or by phone.
Cash
• You may pay by cash if bringing your form directly to a Girl Scout Center.
• Do not mail cash.
Cookie Credits
Cookie Credits may be used for council events; reservations must be made before Nov.15, 2009.
Cookie credits expire Nov. 15, 2009.
Event Reservation Deadlines:
All program event reservations begin Dec. 22, 2008.. Check each event for reservation deadline.
Reservations must be received by 5 p.m. the date of the reservation deadline*. Some events fill quickly
and may be closed before the reservation deadline. In this case, the participant may be placed on a
waiting list. Go online to check for event openings or call the Girl Scout Center. When events are filled to
capacity, registration automatically closes.
* Late Fee: There is a $5 late fee on all programs unless noted otherwise.
Who can participate in events and programs?
• Registered Girl Scouts and adults can participate in any program that is age-level appropriate
(unless otherwise noted).
• Girls and adults who are not currently members can register as Girl Scouts and attend all events listed
in the Girl Scouts of Kansas Heartland Road Map. A girl or adult is registered when the GSUSA registration
form and $10 have been received at the Girl Scout Center. Troop/group leaders must also be registered
members of GSUSA and have on file a volunteer application, references and criminal background check.
• Troop reservations require that troop adults be in attendance. Individual girls who register for events are not
required to be accompanied by an adult (unless otherwise noted).
• Most programs cannot accommodate walk-ins; therefore, walk-ins will be allowed only at select events
which are noted.
Tagalongs: Due to limited space and the nature of these activities, tagalongs cannot be accommodated,
unless noted otherwise. Tagalongs are defined as individuals of any age who are not registered Girl Scouts or
a registered Girl Scout attending an event specified for an age level that is different from her age level.
Participants with Special Needs
When registering, please indicate if there will be girls or adults attending who have special needs. Advance
notice will help staff and volunteers who are planning the event to make any necessary arrangements to
accommodate special needs.
Financial Assistance
Assistance is available for girls who may not otherwise be able to participate in Girl Scout events. Assistance
may be requested for troop/group dues, uniforms, books and council programs. Application forms for
financial assistance are available online at www.kansasgirlscouts.org or in the Girl Scout Centers. Financial
Aid requests must be submitted four weeks prior to the event and approved before making a reservation.

6. What if an event is cancelled or I need a refund?
Event Cancellations
Event cancellations may happen due to lack of reservations or weather. In the case of lack of
reservations, participants will be notified. If an event is cancelled because of weather or some other
unforeseen circumstance, the council will notify radio and television stations of the cancellations. Make sure
to check an event’s status before assuming it is cancelled; sometimes the weather that affects your area may
not affect the location where the event is taking place.
Event Refunds
Refunds less a $10 non-refundable fee are provided for events when (not applicable for event fee under
$10 and may not be applicable for event deposits that have been paid):
• A girl moves out of council.
• A girl is certified ill by a physician.
• There is a death in the family.
Full refunds are issued when:
• A girl is not placed in the program because it is full.
• An event is cancelled due to lack of reservations.
• A written notification is received seven business days prior to the event date.
Refunds will not be issued when:
• Deposits for event facilities, transportation or accommodations have been paid.
• Program cost is under $10.
• A girl is a no-show.
• A girl leaves early due to homesickness, parent’s request or cancels for non-medical reasons.
• Written notification has not been received by the Girl Scout Center where the program is taking place within
seven business days prior to the event date.
To receive a refund:
• Notify the Girl Scout Center where the program is taking place.
• Send a written notification seven business days prior to the event date. Please state the reason for the
cancellation.
• Acknowledgement of refund will be sent. Cookie credits will be applied to the family reservation account.
What else do I need to know?
“Safety-Wise”
“Safety-Wise” is a Girl Scouts of the USA publication containing health and safety guidelines for Girl Scout
programs. Girl Scouts of Kansas Heartland abides by these guidelines to help ensure a safe and sound
program experience that will protect and maintain the well-being of every Girl Scout.
Capacity of Events
Capacity may be determined by any or all of the following: age level of participants, space, facilities,
consultants or program resources. If an event is full, or if there is a problem with your reservation, you will be
contacted.
Confirmation Notices
Event confirmation notices are not sent unless noted otherwise. Check availability by going online or calling the
Girl Scout Center. Those who register by mail will be notified only if girls/troops did not get placed.
Lost and Found Items
Every effort will be made to return any items lost and found at council events to the original owner. Lost and found
items from an event will be held for pickup for three weeks in the Girl Scout Center. After that time unclaimed items
will be donated to a worthy cause.
