  • 3. o Preparedness is a continuous cycle of planning, managing, organizing, training, equipping, exercising, creating, evaluating, monitoring and improving activities to ensure effective coordination and the enhancement of capabilities of concerned organizations to prevent, protect against, respond to, recover from, create resources and mitigate the effects of natural disasters, acts of terrorism, and other man—made disasters.
  • 4. Every organization must have a plan to be executed in case of emergency. Such a plan guides people ‘what to do’ and ‘what not to do’ in case if a disaster strikes, such as an Fire a Terrorist attack a Earthquake or similar natural calamities m Unintentional mistakes, such as deleting a file or formatting a Server.

Role of Owner/ CEO / Director / ERP Coordinator. 0 Most of the information is stored in electronic format on the computer 0 Computer, being a machine may malfunction due to circuit failure for instance Verbal instructions are not enough. Have you prepared a document and asked stakeholders to sign the same? Is there a log kept which is checked?

Take backup of your computer system l o Remember WTC Twin Tower attack on 9/11? 0 Disaster can strike any time Take backup of all data program Common mistake: User takes backup of data but not of the program. 0 You see, software versions may change and old version of software will not work properly with latest data.
  • 7. Remember that joke? 0 A guy comes crying, I lost my car keys? But you don't you have a duplicate key? Yes, but duplicate is inside the car. O What is the point of taking backup, if the copy is in the same premises or on the same LAN?
  • 8. WHAT IS BACKUP ? Copying the data programs on a removable media, and store in another physical building, in lock and key, is called backup. iv Restore program is required to get the data back. as Backup and Restore is a pair of tasks. Backup on cloud is fine but it should be fail safe. Restore, and run to check. Even cloud is known to fail. You will be surprised a guy will come and say there is no back up computer with a proper server operating system! Means he or she has actually never tested and verified. Once you rollout the ERP you cannot go back to manual system, can you? w Imagine a situation when you cannot prepare a single sales invoice?
  • 9. Why backup? 0 Nowadays, most of the information is stored in computer hard disk, and not in paper format. Less—paper office, is a good idea, but not taking backup is not safe. 0 The computer disk may malfunction or virus attack may corrupt the data. O It is necessary to take backup of the data and programs because organization cannot afford to lose the same.
