    • Goal: By the end of this training, you will know how to run efficient and effective meetings
    • Learning Objectives:
        • You will know what pre-meeting preparation needs to be done
        • You will understand how to craft a well-designed agenda
        • You will know how to effectively facilitate a meeting

  • 5. Pre-Meeting Preparation
    • For a meeting, never forget your MAPS—without them you will be lost!

      • Materials : relevant handouts, notes from the last meeting, flip chart, markers, snacks & drinks, etc.

      • Agenda : the goals for the meeting should be determined before the meeting. Once the goals are set, an agenda should be created based on the goals. Set time limits for each agenda item.

      • People : Make sure the right people are at the meeting and people should understand their role

      • Space
        • Physical space: make sure you have a comfy spot to meet
        • Social space: lay ground rules to create a welcoming atmosphere
  • 10. Building an Agenda
    • Agenda = A list of items or topics to be discussed
    • An agenda “frames” the meeting by identifying:
      • 1. The current reality
      • 2. The target (goal) of the meeting
      • 3. The objectives (steps) you need to take to reach your goal
    • Design an agenda that allows time to cover each objective and reach your goal
      • Set time limits for each agenda item
  • 11. Example Agenda
    • Current Reality: Our school doesn’t have recycling bins in classrooms
    • Target (Goal): Develop a plan to get recycle bins in classrooms
    • Objectives (Steps):
      • (10 minutes): Brainstorm potential strategies for getting bins in classrooms
      • (5 minutes): Vote and decide on the best strategy ideas
      • (10 minutes): Assign roles and responsibilities for group members
      • (10 minutes): Recap strategy, roles and responsibilities as well as set up the next meeting

  • 13. Facilitating a Meeting
    • Every effective meeting has a facilitator – someone who makes sure the meeting runs smoothly
    • Facilitate = create a space that is comfortable and productive for your team
    • The facilitator should not dominate discussion
