If the event is a children’s party then this won’t be that hard because kid’s party ideas are everywhere and every party
supply store has equipment for you to buy or rent. What makes this easier is that you can even ask your child what he
or she likes and from there you can already start planning the party. Kids have great imaginations and can usually
decide quickly what type of theme they want.
There are also big parties that you can do it yourself as long as you have the correct checklist.
The very first thing that you need to do is to get a pen and paper and prepare your own checklist with this simple
guide. Creating a checklist is one way you can be a good event planner.
1. Theme – as mentioned above for small parties, you may ask your child. For adults it would be same process.
You can ask your client, friend or family member what they want. Having the idea of the type of theme will
help you get started. Write down the desired theme and under that are other things like: colors, backdrops,
centerpiece ideas, giveaways, entertainment, location and more.
2. Food – who will prepare the food? This is an important question that you should bear in mind. This can be
organized at the same time as the venue planning. Is the venue a restaurant and capable to cook or prepare
the food for you? Or are you planning for an outside service? Next is deciding what food to order. The food
will depend on the event, and time of the event. If the event falls in line with breakfast, lunch or dinner time
than you may want warm food while snacks can work for in between times.
3. Entertainment – this is next on the list to plan. Consider how and who should entertain your visitors. For
kid’s parties, you can think of games and prepare prizes; or you may want to have a clown. For the adults,
this would depend on the type of party. Things like a live band can make an anniversary, wedding or
birthday occasion perfect.
4. Venue – in choosing the venue there are many things to consider.
• First is the number of people attending – this is very important because the venue should have enough
capacity for all the expected visitors. Aside from the number of expected people coming, there should be
extra space to make everyone comfortable. A venue visit can help you figure this part out.
• Arrangement – the space is not just about the number of people but also the arrangement of the tables and
chairs for the entire venue. The tables will not just be used for seating arrangements but there are tables to
be arranged for the food and desserts.
• Venue coordinators – each hotel or venue may have coordinators and managers that you must get to deal
with. You must be clear on your needs like tables and chairs, cleaning service, etc. This is important because
as an organizer, you must make sure that the hotel can properly coordinate with your needs for the event.
