The school system has a policy for retaining and destroying electronically stored information (ESI) in accordance with state law and records retention schedules. All emails are automatically retained for 3 years, but some must be kept longer according to the schedule. Employees must review the schedule and retain relevant emails. The school system has an ESI team to implement litigation holds to suspend normal disposition of related records during legal proceedings. Requests for ESI records must be made in writing and reviewed by the records officer and school board attorney if needed before release. The superintendent can implement additional ESI retention procedures consistent with this policy.
