1. 2.

Bas van Veen (left) &

Jan den Hartogh

On our annual creative brainstorm

event. The purpose of those days

is to come up with ideas to improve

the use of digital pen and paper

which can be used in Healthcare

Solutions.

Our team
 2. 3. Our idea

The use of digital pen & paper for

Healthcare registration

 3. 4. How it works

The digital pen and paper converts handwritten information into powerful XML data and saves also a copy of the form in PDF.

This data can be imported into any back office system or EPD.

No need of retyping the information because digital data is also available.

Inside the digital pen
 4. 5. Why…?

Since the dawn of time, mankind has communicated visually.

Today writing is still the most used and easiest method for care registration.

We still teach our children to write.

 5. 6. The impact (on Healthcare)

Reducing of 30% per employee per day on administrative tasks.

More time for care with the same amount of employees.

Connected with an EPD, all data is directly converted and stored in the right patient record.

Mandatory data like physician’s signature can be incorporated.

 6. 7. The impact (on the user)

User-friendly = high user acceptation.

No extra (IT) skills needed, if you can write - you can use it!

No need to change work routines.

No failures at input, no wrong information at the wrong patient record.

More time left for care.

Growing acceptation by user for digital registration of information.

 7. 8. The impact (on the patient)

Natural face-to-face interaction without intrusive computers.

Patient information is directly available in the EPD and more accurate.

In Homecare situation, information can be digitally shared with family.

Easy accessible for patient surveys.

Patient will benefit through reduced costs, reduced data collection errors, reduced liability due to incorrect information and increased productivity and efficiency.

 8. 9. The people

> 1 million people are working in the healthcare space.

They spend every day an amount of time registering patient information in an EPD or back office system.

Due to the aging of the population its important to make the administrative processes more efficient.

It’s an important step towards awareness of digital registration.

A lot of processes are easier to register with pen and paper than with a computer or handheld device.

Due to high usability no resistance from healthcare staff.

 9. 10. Finance

Based on monthly subscription per pen for 3 years.

Including Digital Pen, software, handwriting recognition software, several licenses, router for pen data, helpdesk, updates, training and further support.

Development, programming and printing of forms, based on 5-10 forms per user per day.

Total cost of ownership by >20 users: € 4,00 per pen(user) per day.

Investment

Saving 15 - 30 minutes per user per day on administrative tasks

Based on a hourly rate of € 42,20 per employee

Saves approximately between € 10,00 - € 20,00 per employee per day

Other advantages:

Digitally stored in the back office system or EPD

No extra traveling needed to Homecare Office for updating and reporting

ROI
 10. 11. What else is needed?

Awareness from DMU’s involved in ICT and EPD processes

Cooperation with software companies (EPD, back office systems)

Confirmation and acceptation for proven technology (>1 million users)

 11. 12. Risk / Benefits analysis

Lost of the pen

Pen is out of ink

Handwriting recognition

Patient not recognized by Database

Always depending on supplier of EPD due to import module

Risks Benefits

Easy to Use

Always a hardcopy

Standard ink refill

Long battery life

Easy to charge

Powerful XML data

Secure data transmission

Eliminate handwriting by using checkboxes if possible

Smart programming for handwriting fields

Manual validation by PDF if patient is not recognized by Database

Unique Pen-ID identifies user

Pen uses digital timestamp

Signature verification available

 12. 13. The future

A long way to go but with a sunny perspective!

It will not be the computer… It will not be the software… But it will be man and woman in healthcare who will make the difference in the future! Jan den Hartogh, H2OChallenge 2009
