As these originate from any one of Group Fives 18,000+ suppliers (8,000+ active at any given time. The solution enables Group Five to process all monthly invoices within their current Shared Services Accounts Payable team of approximately 25 people. Today invoices are processed by the 56+ finance people located at each site. An invoice of 5-10 lines takes a user approximately 3-5 minutes to process manually; a multi-page invoice can take up to half an hour. However, with an automated solution as per this proposal, this same task could be instantaneous (if all information is correct and the invoice has been receipted). If the invoice is not correct and requires human intervention, there will still be a drastic reduction (50%+) in time taken due to the removal of manual entry and manual checks for SARS compliance. In addition, where currently the entire SSC AP team utilises at least 10 days out of each month (an approximate total of 250 man days per month) performing payment reconciliations to supplier statements, with this solution and the addition of the JDE reconciliation module it is expected that this effort will be halved.  Should Group Five take advantage of these savings, calculations show that the solution will show a return on investment (ROI) in approximately 6 months.  The total cost of the solution includes R 1,701,420.00 for development and R 1,567,015.00 for Kofax licensing. Implementing the solution will require a total investment of R 3,268,435.00 excluding VAT. The project is expected to take 12 calendar weeks or 3.5 months to deliver from the time of the kick-off workshop (subject to availability of required Group Five resources and infrastructure).
